ENABLON DATA ENTRY GLOSSARY
As you work in the Enablon system, you will become familiar with the following terms:

Entity
A unit of the business for which data is being collected, in our case a Factory.

Campaign
A collection of questionnaires. Each campaign will have a set closure date, at which time all questionnaires
within the campaign will be locked and no further data entry will be permitted.

Questionnaire
A collection of indicators, grouped together by SM&S Program. Questionnaires are grouped together into
campaigns

Reporting Period
The unit of time for which we are collecting data in a campaign – month, quarter, or year.

Indicator
An individual data point, such as electricity consumption or waste generated. Indicators are grouped
together into questionnaires. Indicators listed in green are for data entry; indicators listed in red are
calculated by Enablon.

GENERAL TIPS ON DATA ENTRY
v Make sure you Tab to get to the next line. Do not hit Enter on your keyboard. Enter will take you to the
questionnaire screen.

v For monthly questionnaires in a quarterly campaign, when you navigate to the Questionnaire screen, the default
questionnaire view is the last month of the campaign. For example, for a June-August questionnaire, the August
questionnaire will display. Make sure you choose the correct month on the top of the page:

v On the My Questionnaires Screen the status will be shown for the last month of the campaign. For example, in a
June to August campaign, the status as shown below is for the month of September. To find status for July or
August, click on the drop down selection shown in #1 below:

v Pay attention to the data integrity (data quality) rules to avoid Enablon data errors.

v Save your work often when entering data to avoid losing data.

v Keep in mind, if you’d rather download the questionnaire as a spreadsheet, enter data, and then upload back to the
system, this is an option on all the questionnaires.

v Common login issues: wrong link, user set up incorrectly or password issues. Contact Lst-
SM&S.SMSOnline.Support@nike.com for any login issues.

v If you can't see the questionnaire anymore, it may mean the questionnaire is closed. When the campaign is closed,
it will drop from the “My Questionnaires” screen.

v Data integrity errors messages ( ) may show up when accessing a questionnaire for the first time, this could be a
system error and not an error in the data (for example if there is no data in the questionnaire, in some
questionnaires a data integrity error symbol will display).

v For “Contributor Information” questionnaire, if you don’t have enough space to enter information, click on the
Pencil icon to expand the data entry box.

v You finished the data entry but campaign progress still says less than 100%, one potential reason for this may be the
" Contributor Information“ questionnaire has not been submitted for each month. For example, for some quarterly
campaigns with 3 questionnaires for each month of data will also have 3 questionnaires for “Contributor
Information” (one for each month).

v If the campaign uses the “Contributor Information" questionnaire, you need to Submit this questionnaire for each
month in the campaign

PURPOSE OF QUESTIONNAIRE
Entering production data that is used to calculate per unit environmental metrics (e.g., kWhe/unit,
solid waste g/pair) at a facility.
Facilities must report energy usage, water usage, and/or waste data as part of meeting minimum
program requirements.

BEFORE YOU ENTER DATA

Determine data uploading boundary:


Upload all production data from all facility owned or operated processes and
functions for which energy, water, and/or waste data is also being submitted
into separate Questionnaires.

Please contact a Nike Sustainability lead for questions related to facility data
boundaries.

Determine your “Supplier Type’ for reporting


A Nike sustainability lead will provide you with the “supplier type” (e.g., Tier 1
footwear) to select at the beginning of each calendar year (CY).

PRODUCTION VOLUME DATA COLLECTION UPDATES


Term Definition
Nike Inc. Nike Inc. production is defined as material produced for Nike Brand (including Hurley and Golf),
Converse, Jordan, and other Nike-owned brands / categories
Tier 1 Factory • Nike “Monthly Production” is defined as sold complete units (e.g., fully assembled pairs of
Production shoes) manufactured by a facility in a given month for all brands/customers. Includes first
quality (A-grade production), promotional samples, salesman samples, B-grade production,
overruns, and closeouts that are that are sold to customers under PO’s.
• Converse: “Monthly Production” is defined as "inline", closeouts, promotional samples, and
B-grade production. Overruns, salesman samples, and other pairs not purchased are not
included.
• Cancelled PO’s are not included into production count.
• Partial units used in final assembly of the same factory or shipped to another factory are not
included into production count.
• Multiple units packaged together should be reported as one unit (e.g., pack of 3 pairs of
socks should be reported as 1 unit).
• For factories producing 100% Nike Inc. volume, upload all production volume and select the
relevant brand from the drop-down menu. This production should correspond with energy
and/or waste data submitted in separate forms.
• For factories producing non-Nike brand product, upload all energy and/or waste and
production data (for Nike Inc. and non-Nike Inc. brands). If 100% of energy use and/or waste
generation has been/will be submitted, 100% of production volume must also be uploaded.
• For facilities reporting both energy and waste data (into separate forms), ensure that
production is only reported once and is consistent with the facility boundaries of the energy
and waste data reported.
• “Nike Inc.” production is defined as material produced for Nike Brand (including Hurley and
Golf), Converse, Jordan, and other Nike-owned brands/categories.
Tier 2 Factory • “Monthly Production” is defined as the sold, finished material* including sample lots
Production manufactured by a facility in a given month for all brands/customers.
• Production count occurs immediately after successfully passing the final QA/QC step before

*Finished Material defined as dyed finished textile, finished tanned leather, dyed yarn, and
finished synthetic leather.

In Enablon, Campaigns are launched at a set cadence throughout the year. As shown below, the
Production Volume Questionnaire is launched Quarterly (there are four campaigns per year).

DATA QUALITY
Enablon offers the ability to conduct system level data quality checks. The Production Volume
Questionnaire has been set up to check data quality for the Indicator fields. In (#1) below, you will notice
there are four Indicators where the factory will enter data (Indicators are shown in Green font below). If
Enablon does not accept the data, it is because of the data quality rules. These rules are defined by
Sustainability Leads. The rules have been coded into the system so that if the data rules are not met, the
data will be rejected until the rules are met.

COMMON DATA ENTRY ERRORS

Prior to submitting data into the Enablon system, it is important to check for data accuracy. Some of the
general data errors Sustainability Leads see are listed below. Double check your data entries for the
following:
ü Typos
ü Wrong units of measurement

In addition, it’s important to include Enablon Training in new hire onboarding training. Common errors
can be avoided with thorough new hire training. Please contact your Sustainability Lead for support and
updated Enablon training documentation.

A Questionnaire Workflow allows Nike to review and validate data for accuracy. Nike SM&S team
is currently working on defining business requirements for workflows.

The data will then be available for SM&S staff to review at any time after the factory rep has entered
the data into the system.

See the Enablon One Pager in this document for instructions on how to navigate to the “My Questionnaires”
screen. All campaigns for the factory will be listed on the “My Questionnaires” screen.

1. Scroll down the list until you see the SM&S Production Volume Entry Questionnaires for your factory. Ensure
you select the report under the correct month for which you want to enter data. Also ensure you select the correct
Production Volume Questionnaire for your factory type, if more than one is available.

Note: If you are searching for another month, find “Select a Questionnaire” and choose the month your are
searching for from the drop down list.

2. Launch the Production Volume Questionnaire that best matches your factory by selecting the Pencil icon.

1. The name of the Questionnaire is auto populated into the first drop down.

2. In the second drop down, select the time period to enter data. For the Production Volume Questionnaire, the
data will be entered monthly and the campaign will remain open for three months. Data is due on the 15th of the
following month.

If you need to enter data for a time period not shown in the drop down selections, click the browser "back" button
to return to the My Questionnaires page, and ensure you have selected the correct 3-month campaign. If the
month you are looking for is not present in any available campaign, contact your Nike sustainability lead.

3. This is the factory identification code. If you are a Contributor for only one factory, this code will default to your
correct factory. If you are a Contributor for more than one factory, select the correct factory CR Code for the time
period selected in #2 above.

Review the following four pages and select the instructions for your specific factory type: T1 Footwear,
T1 Apparel, T1 Equipment or T2 to complete your data entry.

after completing the Production Volume Questionnaire(s). When completing this Questionnaire, please
use the name, title and contact information for the person who completed the Production Volume
Questionnaire(s)

1. Enter the name, title and contact (either phone or email) for the person who completed the Production
Questionnaire(s).

2. Click Submit to submit the information. Click Save to save your information and comeback later to
submit. Click Cancel to return to the previous screen.

Note: You must fill out this questionnaire for each month of the campaign.

NAVIGATING TO QUESTIONNAIRE SCREEN


To access My Questionnaires (data entry screen):
1. From home page, navigate to Workspace Navigation
2. To navigate to the Entity (factory) site, type the 3 character factory code to start searching, eg: YSM
3. A list of matching sites will appear. Click on “Go To Metrics” to select
4. You will now be directed to the “My Questionnaires” screen

MY QUESTIONNAIRES SCREEN
The “My Questionnaires” screen contains all the questionnaires available for data entry, shown in separate sections.
Every questionnaire is set up based on the questionnaire cadence.
See Questionnaire Cadence for details.

SELECT QUESTIONNAIRE

1. The title of the questionnaire indicates the cadence of the data reporting
2. The progress bar indicates completion of the campaign, providing a quick view of remaining data entry needed and data
entry completed
3. To enter data, click on the pencil to open the questionnaire in Edit mode; Enter data on the next screen
4. If you want to open the questionnaire in View mode only, simply click on the name of the questionnaire
5. If you would like to open a questionnaire from another reporting period, select the drop down arrow to navigate to the
other reporting period questionnaire. Note: To enter data for a time period not shown in the drop down, contact your
Sustainability Lead
6. Click the Swoosh to go back to the Dashboard (home screen) at any time.

QUESTIONNAIRE DETAILS VIEW
The Questionnaire screen is where you will spend most of your time and where the data will be entered, Saved and
Submitted for review and reporting.

Enablon calls each of the questions Indicators. As a contributor of data, your role is to enter values for each of the
indicators listed in the questionnaire.

DATA ENTRY

1. Each indicator will be listed in Green font. Enter the value for the indicator. More information on each Indicator
is reviewed in the Questionnaires Trainings.
2. For each Indicator, you will see 4 icons on the right side of the screen:
• The first icon is the Comments field. This field is visible to anyone who opens the questionnaire. If there is a
comment, a Pencil will appear on the comment icon.
• The second icon is the Attach Files icon, select Choose File, Click Upload to start the transfer. Once
completed, select Attach.
• The third icon is Show Indicator Trend field which will show history of data. Once data history builds up in
the system, this field can be a useful data analysis tool.
• The fourth icon, the Additional Information field is not used at this time.
1. The items shown in Red are auto-calculated by the system based on the answers provided in the Green font.
2. View Indicator Definition and Properties: Information icon provides a definition for each indicator.
3. Form Options allows you to see previous values and pre fill current month’s data with
previous values.

SAVE / SUBMIT
You can Save the session if you need to go back and enter more information. If you don’t want to save your work, you
can Cancel. Once you have entered in all data and checked it for accuracy, you can select the Submit button to send
for verification (if applicable for that questionnaire) and review by Sustainability team.

SAVE, SUBMIT, CANCEL


1. Comments allows you to add a clarifying comment that relates to multiple indicators or the entire questionnaire.
Note: each indicator also has its own Comments field.
2. Save allows user to save changes that have been made and come back to the questionnaire at a later time. This
will not move the questionnaire along to the next stage of the validation workflow. This allows you time to verify
your answers with other members of the team.
3. Submit will move the questionnaire to the next stage of the validation workflow. If applicable, this notifies the
validator that the data is ready for confirmation. Note: do not submit the data until you have verified the
information and you are confident on its accuracy.
4. You will not be able to use the Submit function if the system notices something out of the ordinary with the data
entered. For example, the circled exclamation mark indicates a problem with the data entered for the indicator.
Once all errors are cleared, the data is ready to be submitted. See questionnaires decks for specific information
on data quality rules.
5. Cancel allows users to exit the screen without saving any work.
