CHAPTER I

Introduction

Learning through online is common nowadays since we live in an era

where innovation and technological advancement are centered on the

civilization of the world, with the help of devices and human assistance can

now produce information through online. Easy and instant pre-registration

through website is a big help amongst graduate students since they are using

an older version of forms for their online enrollment, graduate students that

has devices and internet and far away from school can now easily optimize a

new version of online enrollment and graduate students that have divided

their precious time for their respected jobs will have less time to input

information for their respectable enrollment form.

The graduate school has a google form of enrollment for their graduate

students but since google forms lack features in terms of user interaction and

it consumes a lot of time in typing the information for the questions in their

form of enrollment are tedious especially in checking the student’s data that

has been submitted, other lacking features such as students cannot monitor

their enrollment, updates from the graduate school. The online enrollment of

the graduate school focuses on information like what courses and subjects

they will take and what requirements will they pass in order to continue their

classes. The requirements and subjects listed are important to be listed and

be passed on time, listing of information and answering questions are a bit

difficult using google forms.


In this study, the proponents will focus on the discussion of the solution

of the problems as these problems will serve as a paradigm for creating a

system for the Graduate School. The proposed system, Graduate School

Management System (GSMS), The user-interface of the system will be simple

and can easily interact with the users letting them to use the system with ease

and less hassle for typing and entering. In this system, there will be for the

new students and for the continuing students and for the admins.

Project Context

The Graduate School Management System for Leyte Normal University

is a web-based system that enables pre-enrollment online, assists students in

keeping track of their theses, and aids faculty in keeping tabs on the students.

The interview that was conducted at the Graduate School deans' office served

as the basis for the approach that the proponents presented. The purpose of

this research project is to create a simple and user-friendly system for

graduate students since their user interface is less friendly.

The Graduate School Management System goal is to help the graduate

school with their problem regarding to the data they are holding with their

system of pre-enrolling their students and also to provide more efficient and

convenience system that offers a feature of advising in a web-based system.

The proposed system is focused on developing a web-based system

for Graduate school for the Leyte Normal University entitled Graduate School

Management System. The proposed system also solves the problem of the

dean’s office staff and graduate school staff since they requested a system

that could provide them a system like the Pre-Online Enrollment System
(POES) but with graduate school instead of undergraduate and with other

recommendations like Thesis management and Monitoring of Students.

Online forms provide you with an easy to implement, secure solution to gather

the data you need in a consistent automated manner, this will not only gather

data of the students, because this system will be used in every semester for

their desired subjects i.e. class scheduling that they want to take in every

semester. With the right online form creation tool, you can quickly produce

fully responsive forms that will capture and store data instantly. In this study,

the proponents used a semi-structured interview in which they prepared some

questions to both the admin side and student’s side and they used the

cellphone to record.

Theme 1: The existing problem of Graduate School in pre-registration

and advising

This theme solidifies the claim that the pre-registration for graduate

school is needed. Hence, the need to conduct this study. The Graduate

School Uses Google forms and Docs for their pre-registration, the problem is

that they do not have a system and uses only google forms and docs, another

problem is the submitted information of students cannot be edited by the

admin once submitted.

Through a semi-structured recorded interview, the proponents weren’t

able to ask the Dean of the Graduate School. The Dean said that she is busy
and the person that we can interview is the Dean’s Assistant, so we have

asked her what the Graduate School used to pre-register its students and

does the school have an Advising system. The Dean’s Assistant said that they

are using google forms for both the pre-registration and advising. They utilize

google forms and google docs. Because of this, the staff recommended a

system on a web-based system where the both graduate school and graduate

students benefit by having less time on doing pre-enrollment process and that

the Graduate school uses many applications to enroll its students which the

proponents came up a solution by asking another question.

We have also asked, is having a pre-registration with advising a good Idea?

The Dean immediately answered, “Very, very good idea”. This response

solidifies a need for a system that they can use to pre-register students for the

Graduate School.

Theme 2: Time consuming in looking data using google forms

This theme shows why an easy access of data is needed for the

Graduate School to process quickly. After the asking the Dean what do they

use in pre-register, we have asked if there are difficulties in looking at the data

of students using google forms, The Dean’s assistant answered: “Yes,

because it has a lot of mixed data”. Because of these, we came up an idea

that will easily access for them to see any students Data, by putting a search

bar and searching it using their ID number in order to find it very easy without

scrolling up and down. This will also hasten their work.

In the google forms they use, there are 1400 students enrolled

graduate school students every year. When we look at the data or the
respondents in google forms, if we need to find a specific student is we need it

to scroll up and down and take more time to check the specific student among

the 1400 students which makes it time consuming.

Theme 3: Wrong information that has been sent in the google forms

In this theme, we have interview both the students and the admins sides

taking an interview about the wrong information that has been sent.

In the interview, we have asked Dean’s assistant if there are students that has

send wrong information in the pre-registration, she said: “mayda, damo na”.

After taking an interview to the Dean’s assistant, we take an interview from

the two graduate students that was in the Deans office. In the interview we

have asked that if they have filled up the graduate school pre-registration

form, they said: “waray pa”, and then I have asked them a question, if they are

using google forms did they encounter problems? one of the student

answered that: “when it comes to google forms, nothing, ano naman

encounter some problems”. And then we asked: have you submitted wrong

information to google forms by any chance? Then both answered: “nothing,

not any chance”.

After the talking about the problems, we have asked the Dean’s

assistant another question, is having a pre-registration system will makes the

registration smoother and organized? She then said: “Yes”. After asking her

about this, we get an answer to the claim why it is needed since the Graduate

School using google forms, this system will help them smoothly process the

data at ease. This will also give the proponents a way to make the system

user friendly.
Before we end the interview, the Proponents also asked who or what

department is in-charge in processing the pre-registration of students. The

Dean’s assistant replies: “The Graduate school staff is the one who process

the registration”. The Reason why we asked this is because we want to know

who will operate the system and since it is the Graduate school staff, it will be

easy for us to show the staff in how to operate the system.

After the interview, the proponents had an idea in developing a pre-

registration with advising system that would allow them to use and benefit for

the University Graduate School. After the discussion of themes, the thing

mentioned in the themes will serve as a paradigm in developing a pre-

registration system correctly. These will support the proponents in every step

they make in developing the system. This will ensure to meet the demands of

the Graduate School.

Theoretical Framework

The proponents applied a different kind of theories to the proposed

system. These theories will help us to establish methods and strategies that

contribute to the development of the Web-based Graduate School Information

System.

In developing the proposed system, the proponents needed several strategies

or procedures for a useful and ease of use of the Web-based Graduate

School Information System.

Enrollment Management Theory "In the traditional sense, enrollment

management involves marketing, recruitment, pricing, financial aid, financing,

student employment, academic registration, housing, career development and


placement, minority student affairs, international student affairs, research, and

market research. In the non-traditional sense, it includes many functions that

cross office and divisional lines. Recruitment, retention, and student success

is a job for everyone." (Orehovec & Ingold, n.d.).

Database Theory theoretical aspects of data management include,

among other areas, the foundation of query languages, computational

complexity and expressive power of queries, finite model theory, database

design theory, dependency theory, foundation of concurrency, and data base

recovery, deductive database, temporal and spatial database, and Web data.

Web-based Theory is a comprehensive and critical introduction to the

theories of the internet and the world wide web. (Marshall & Robert, 2003)

Design theory involves the fundamentals and principles of creating

visual communication and all types of art. Design theory involves an

understanding of the tangible elements including form, space, proportion,

color, scale, texture, structure (grid), composition, line, shape and volume and

how to arrange them to achieve balance, rhythm, pattern, hierarchy,

emphasis, and unity. This theory will serve as a guide for the proponents to

have a positive outcome and come up with a good design for the proposed

The first one is the Enrollment Management Theory, in which it is the

main idea of the project by making an enrollment system for the staff and

users of the Graduate School, followed by the Design Theory that will make

the system presentable and user friendly making it for the users to understand

how the system works, followed by the Database Theory in which all data are

stored, placed and organized by the system and the Last theory is the Web-

based Theory that will be easy for users to use the system whenever they go

without downloading the app and by following these theories will make the

system better.

Conceptual Framework

The diagram below shows the Input Process Out (IPO) of the proposed

system titled “Development of Graduate School Management System for

Leyte Normal University”

The Graduate School has faced a difficult time to pre-register the

students such as finding and sorting the student’s data, time consuming which

makes all of these things a hassle, especially they do it in every semester.

The proponents considered the introduction of a Management System for

Graduate School that will help them minimize the problem concerning

hundreds of student’s data. The conceptual framework that was used in the

study is the IPO (Input-Process-Output) Model as show in figure 2. The IPO

framework was used to show the process done in producing a processing

element connected by inputs and outputs.

Objectives of the Study

This study aims to develop a web-based pre-registration and

advising information using PHP, Laravel and MySQL for the graduate school

students of Leyte Normal University.

This study would at least:

1.Develop an online enrollment system for Continuing and New students (1st

year Graduate Students/ Transferees).

2.To be able for students to monitor their pre-enrollment status and Enrolled

Subjects

3.Create a user-friendly web system that will be efficient and easy to operate

and use.

4.Develop a module for:

4.1 thesis/dissertation directory.


4.2 Advising and Assigning of subjects

4.3 Add module for proof of payment

5.Test and evaluate the system using ISO/IEC/IEEE 23026:2015

ISO/IEC/IEEE 23026:2015 defines system engineering and management

requirements for the life cycle of websites, including strategy, design,

engineering, testing and validation, and management and sustainment for

Intranet and Extranet environments.

Scope and Limitation

Our scope of the study only focuses in the registration and

enrollment monitoring of students of Graduate School and it has no

connection to admission process of students for the school year, this system

will only focus in registering students that has been already taken and passed

the entrance exam. The qualified users who will use the system are the

officially admitted students and graduate school personnel of Leyte Normal

University Graduate School.


Chapter lI

REVIEW OF RELATED LITERATURE

This chapter presents the relevant literature and studies that the proponents

considered in strengthening the importance of the present study. It also

presents the synthesis of the art to fully understand the research firm better

comprehension of the study.

Related Literature

This chapter examines relevant ideas from various related literature that

provide the proponents with the information and valuable insights relative to

the topic.

Technology is replacing human workers with mechanical or electronic

devices. The user is using few resources to manufacture goods efficiently.

Enrollment is the process of entering and verifying the data of students to

register at a particular school; it is one of the most important pieces of

evidence for schools. Accurate and efficient enrollment records ensure a good

impression of the school on possible enrollees. Enrollment procedures


provide a means for the faculty to write down data that are essential to

enrollment. An enrollment system was proposed to replace the manual

process of enrollment to have an organized flow of transactions and make

work easier. (Silaya, Lanuza, Cabatuando, Rumbaoa, & Adovas, 2020). The

primary purpose of this study is to develop a graduate school management

system in order to optimize the procedures. It enabled remote collaboration

between the institution and the students, cutting the time required for

enrollment procedures in an equitable and transparent manner while ensuring

freedom of choice and equal access to remote learning opportunities. And

also includes the assigning of schedule, and monitoring of enrollment

requirements.

In this modern Era of computer, all working on papers is converted into

computer files and it needs less people to complete tasks rather than to

complete on paper. In Schools there is a lot of work which is completed on

paper. We will provide system to schools to manage their paper work on

computer with a website for a school management system. Website provides

information about school. All notifications are shown on website. Website also

contains academic activities for teachers and e-learning facility for students.

(Hameed, Anas, & Sarwar, 2021). The study taken is about how people

nowadays use computers instead of using papers which makes it time

consuming, with Graduate School Management System, no longer need to

use papers rather, use computers to manage enrollment easier and better.

Related Systems
Pre-registration is a one-time process that all individual students

must complete before being eligible to register for classes. This is how we

collect biographical and medical information for our students and create

accounts in our registration software. Registration is the process of selecting

class requests. This process requires a username and password (generated

by Circus Juventas once the pre-registration is processed). The study is

similar to the proposed system in where the students input their data and pass

it to the admin, the system automatically create the user name and password

based on the data that has been collected, the username is their ID number

and the password is their surname.

Student Information Management System (SIMS) provides a simple

interface for maintenance of student information. It can be used by

educational institutes or colleges to maintain the records of students easily.

The creation and management of accurate, up-to-date information regarding a

students’ academic career is critically important in the university as well as

colleges. Student information system deals with all kind of student details,

academic related reports, college details, course details, curriculum, batch

details, placement details and other resource related details too. It tracks all

the details of a student from the day one to the end of the course which can

be used for all reporting purpose, tracking of attendance, progress in the

course, completed semesters, years, coming semester year curriculum

details, exam details, project or any other assignment details, final exam

result and all these will be available through a secure, online interface

embedded in the college’s website. It will also have faculty details, batch

execution details, students’ details in all aspects, the various academic


notifications to the staff and students updated by the college administration.

(Bharamagoudar, Geeta, & Totad, 2013). The proposed system is similar to

this because the Graduate School Management System to monitor the

enrollment of the students regarding their enrollment in every semester but it

is for graduate students.

Chapter III

Technical Background

The technical background of this study discusses the current system

and that Graduate School Management System is the proponents are

proposing. The Hardware, software, peopleware, as well as the network of the

proposed system will be discussed in this chapter.

Current System

Graduate students are only using a google docs form which they

have to re-enter their information for pre-enrollment every year and the

process are still inefficient and the process of using google docs form is not

efficient and which is why the dean’s office staff’s need a website like the

“POES” Pre-online enrollment system for the graduate school where they can

just enter their student information and just update it in the next school year in

just one of the textbox information and click update and it is separated

between graduate students and staff for the staff where they can access the

graduate pre-enrollees data and manage them for their pre-enrollment and

process them for enrolling. The proponents want to propose and develop a

website that the graduate school can easily use and control.
Proposed System

The proposed system entitled “Graduate School Management

System” is a website for Managing on what managing is in need for graduate

school. Both the users or the staff don’t have to use the google docs form for

pre-enrollment in order to reduced time and be more efficient. The developed

system is for pre-enrollment, thesis management, advising and assigning

subject to the enrollee students, student monitoring and proof payment.

Users/Leyte Normal University Graduate Students will only be limited to pre-

enrollment, monitoring enrollment status, sending proof of payments, thesis

monitory and also exploring the home page of the website. As for the

admin/staff it includes on managing and processing the graduate school

enrollees, students monitoring, payment proofs (if paid or not), advising and

assigning subjects and also other small features such as making

announcements or FAQ.

Software

The following is a list of tools and software, along with their

application purpose in developing the proposed system:

Laravel Laravel is a PHP framework used as a back end as

a Service for the developed web system.

PHP A general-purpose scripting language used to


develop dynamic and interactive websites.

MySQL An open-source relational database management

system. Its uses to the developed system is to add,

access, and process data stored in a computer

database, also it needs a database management

system such as MySQL Server.

Hardware

The proposed system is web-based system wherein it runs on

computer. The following are the requirements of the hardware of the proposed

system.

Chapter IV
Methodology

This chapter discusses the methods and approach used to gather

information and data that will help and contribute to the development of the

proposed system. The proponents will make use of interviews to come up with

ideas in developing the proposed system.

System Design

Graduate School Management System for Leyte Normal University is a

web-based system. The proposed system on the user/graduate students can

pre-enrollment in for graduate school and also includes other managements

for graduate school. Admin can be only run-on windows since it is much

easier to navigate and use while on the user can be both accessed on

desktop and mobiles. The goal of the proposed system is to develop a system

that could help and solve the problems of the graduate school of Leyte

Normal University such as pre-enrollment, student monitoring and storing and

handling data.

System Development Life Cycle Processes

The systems development life cycle (SDLC) is a conceptual model

used in project management that describes the stages involved in an

information system development project, from an initial feasibility study

through maintenance of the completed application.


There are various SDLC methodologies have been developed to guide

the processes and the proponents used Iterative Waterfall Model for the

system development. This is the appropriate approach for the Software

Development Life Cycle (SDLC) since it involves validation or verification

between the phases where any deviations can be corrected immediately,

providing the client satisfaction. It includes Requirements and Analysis,

System & Software Design, Implementation and Unit Testing, Integration and

System Testing, and Operation and maintenance with feedback at every

stage.

Requirement Analysis & Definition Phase

In the initial stage of this phase where the proponents seek advise for

system proposal in which the proponents were recommended to help the

graduate school dean’s office then with their current system in pre-enrollment

so in which the proponents had an idea to make a web system for online pre-

enrolling graduate students to help both the graduate school staff and

students.

Design Phase

In this phase, the system designs the proponents designed it to be

easy to use and efficient than using google form as pre-enrollment so that

each time enrollment comes for graduate school, they can use it efficiently as

such on not inputting their information for pre-enrollment each semester. The

proponents used bootstrap 5 for designing the web system such layout, UI,

button, forms and other more.

Coding Phase

In the coding and unit testing phase the proponents use PHP as the

frontend while on backend is Laravel and for database is MySQL using a

Visual Studio Code to program of the proposed system.

Integration and System Testing Phase

In this phase the proponents before launching it to the graduate school

of Leyte Normal University the proponents conducted first several tests to

ensure that the quality of the system not only satisfy the students but also the
staff of graduate school. Once the proposed system is done it will be

implemented for Leyte Normal University to use in graduate school.

Maintenance Phase

After launching the system there will be evaluation of the web system

which will be done by feedbacks of the students. When necessary the

developers with update the system according to the end-user’s feedbacks.

Test Plan

Unit Testing

The proponents will be testing each of the module of the system to

check if they are working properly. Each modules needs to be checked and

tested to confirm that there is no problem in the future and that it will be

delivered its accomplished task for the system to function properly of the

The proponents test the interfaces between the modules and expose

any defects that may arise when these components are integrated and need

to interact with each other.

System Testing

The proponents evaluate how the various components of an

application interact together in the full, integrated system or application.

Acceptance Testing
Proponents determine whether or not the software system has met the

requirement specifications. The main purpose of this test is to evaluate the

system's compliance with the business requirements and verify if it is having

met the required criteria for delivery to end users.

Alpha Testing

Proponents discover bugs that escaped the previous tests. Alpha

testing help to detect and fix bugs that exist in the system just before

releasing it for beta testing.

Beta Testing

The proponents try to uncover bugs or usability issues as possible in

this controlled setting and ensure that end users are satisfied with a software

product before the proponents make it generally available.

Maintenance Plan

During the implementation of the system, the personnel will be trained

how the system works like troubleshooting, and the things they must do and

must not do when using the system and doing maintenance. The personnel

will do the process of changing, modifying, and updating software to keep up

with client/user’s needs. maintenance is done after the product has launched

for several reasons including improving the software overall, correcting issues

or bugs, to boost performance, and more

Program Considerations/Issues/Tools

The Graduate School Management System proposes a system that is

a user-friendly, easy to use and understandable system. The PAMS can only

be used by the Leyte Normal University Employees for administration and

students for client-user use. To fully show its best result in using the software

the software and hardware must be followed in order to function properly and

the System is only limited use by the Leyte Normal University.

 The developed system will support Computer windows 7 and up on

operating system and it will also support mobile device

 The devices must at least have 1.6 GHz CPU or above and have at

least 2 GB RAM or Higher

 The devices must have a working internet connection in order to

access the web-system

Software Requirement Specification

The requirement to use the software is showed below:

 Operating System – Windows 7 and Linux 2.6 or above

 1.6 GHz CPU or above and 2 GB Ram or Higher

Hardware Requirement Specification

Hardware requirements specification must be followed in order to


function properly and show the best result in using the system

o Processor – Quad-core 1.3GHz or faster

System Evaluation Procedure

Instrument

The instrument that was used to gather data was an interview with the

dean’s office employee’s questioning them about what they need in their

work. The questions are revised according to the data needed in the study

where documentary analysis and observation are conducted after gathering

the necessary information. The interview questionnaire is designed to ask the

Leyte Normal University deans office employees of their demands on the

proposed system.

Validation

The proponents used a semi structured interview for data gathering

one of the instruments in research. It is essential for the result of the

instrument to be reliable and accurate. A semi-structured interview is a data

collection method that relies on asking questions within a predetermined

thematic framework. However, the questions are not set in order or in

phrasing. In research, semi-structured interviews are often qualitative in

nature. They are generally used as an exploratory tool in marketing, social

science, survey methodology, and other research fields. They are also

common in field research with many interviewers, giving everyone the same

theoretical framework, but allowing them to investigate different facets of the

research question. The proponents conducted an interview with the staff and

students at Leyte Normal University Graduate School.


Data Gathering Procedure

The proponents developed the Graduate School Management using

the gathered data in the interview staff of graduate school. During this phase

the proponents asked questions to the staff about the Pre-enrollment. In

gathering data, the proponents interviewed the staff the one who

recommended on development of the system. After consolidating the data

and evaluating the system the proponents performed an analysis and

interpretation to validate the system and its functionalities considering also

their recommendations. The proponents also prepared questions for the

interview to the staff of dean’s office graduate school.

Statistical Tool

The proponents adapted and applied the Likert scale as one of the

methods for assessing the reaction of the respondents about the functionality

and performance of the framework. The Lickert scale is often used to

measure respondents' elevation by asking the degree to which they agree or

disagree with a particular question or statement. It is effective if the study or

questionnaire contains attitude, belief, or behavior items. Likert scale was

invented by American psychologist Rensis Likert in the 1930s. It is often used

to measure respondents' altitudes by asking the extent to which they agree or

disagree with a particular question or statement. The scale is effective if the

study or questionnaire contains attitude, belief, or behavior items.
