1_____ Open documents and look at names of ALL Signers before calling to confirm; confirm ALL Signers.
2_____ Do not set a date/date if you are not meeting with ALL signers named in the documents at same time. (email us)
3_____ If Borrower or Lender tells you it is OK to sign WITHOUT all Signers, STOP and confirm with C2C; do not schedule date/time.
4_____ Confirm that Signer has ID that MATCHES (or has more) name information than on documents. If not, do not schedule.
5_____ Look at property address. If it is in GA, CT, SC or LA the Borrower will have to recruit a Witness (2 in LA) Not family member.
6_____ Only print documents after you have a confirmed signing date and time.
7_____ Read instructions to confirm how many copies you have to execute (have Signer sign/return to client). Sometimes it is TWO.
8_____ Always print a blank set of documents to leave behind with the Borrower so they have a copy of EXACTLY what they signed.
9_____ Always print documents on 8 ½ x 11” (letter size) paper.
10____ I will check every page to make sure it was not cut-off, printed too lightly to copy or has unusual lines or streaks.
11____ Only reach out to Signer(s) once a day; more than that is too often.
12____ Update NotaryDash at least once every 24 hours with the status of attempts to reach the Signer(s).
13____ Make one contact attempt per day for 4 days, and log every attempt in NotaryDash, before you request assistance.
14____ Contact C2C/NotaryDash immediately if you have questions (do not reach out to Lender, or Title, directly!).
15____ Add results of any telephone or email communication with C2C to Activity Feed to confirm what you were told.
16____ Request that Signers sign and date consistently from page to page.
17____ Do not write or change anything on the documents unless it is in the Notary Wording – always initial your changes.
18____ Do not use highlighter pens or “X” to note where Signer’s must sign (place removable arrows carefully - Not over writing area!)
19____ Do not pre-date any documents for the Signers; a Signer’s date is part of their signature on recorded documents.
20____ Firmly request that all Signers sign (not print) their names as they did on original loan docs and as name appears on docs.
21____ Signer dates must be COMPLETELY CLEAR; sloppy dates must be crossed-thru, initialed, & re-written BY SIGNER.
22____ Do not allow Signers to “fix” things by writing over mistakes. Always have them cross-thru, change and initial.
23____ Only Borrowers sign Promissory Note and Texas Loan Agreement – Non-obligatory signer’s names will not be on these docs.
24____ If a mistake is made, substitute the blank page from the Borrower’s Copy and start over again.
25____ Check that all places where signature line with signer name underneath have been signed and dated (if necessary).
26____ Check that Signers signed every page where a signature line with their name appears, and nowhere else!
27____ Clearly stamp all Acknowledgments and cross-out, initial and re-stamp if my stamp is not clear.
28____ Do not use your stamp anywhere there is not an Acknowledgment. It is not a sticker. It is a legal emblem.
29____ Make sure all blanks in notary wording are filled in correctly with the date or your name. Read out loud if you are not sure.
30____ Do not write any specific ID number information directly on these documents; you do not need to send photo of ID either.
31____ Update Completion Status within 60 minutes of completing a signing. Add FedEx number ASAP (by end of day).
32____ Check that all pages have been Notarized with my signature and stamp before I place docs in FedEx.
33____ Use the FedEx shipping label that was provided in NotaryDash documents; DO NOT USE BORROWER’S LABEL!!!!!’
34____ If property in Texas, do not sign and do not let Borrower sign the Lender signature line on Texas Loan Agreement.
35____ LEAVE BLANK: Lender Acknowledgment, Mortgage Affidavit, Certificate of Residence

Please review the expectations required by First American Title and our Lender clients. These protocols must be followed for each
C2C Loan Modification order and are here to help you prevent costly resigns and corrections on your way to a successful signing.
1. It is STRONGY SUGGESTED that you read these instructions BEFORE you confirm ALL signers on the loan
documents.
2. VIEW - BUT DO NOT PRINT - the loan documents before you call to confirm names, ID’s and signing date/time. You will not
get a print fee if order cancels before you have a confirmed date/time.
3. REVIEW ALL names of the SIGNERS ON THE DOCUMENTS before you call/confirm. If you do not have documents,
send a note in NotaryDash that you need documents ASAP, otherwise you cannot confirm the Signers!
In NotaryDash, on left side where it says “Signer”– name(s) are only those that were supplied by the Lender as “best
contacts” for this order – NAMES ARE NOT NECESSARILY ALL SIGNERS!
4. If you cannot confirm ALL Signers, do not set up a signing! Tell the Signer you reached that you will call them back to
review next steps. Read these instructions for more information. (Note: If Signer has POA designation, it will be on docs.)
5. Every action taken on a signing from this point forward must be typed into Activity Feed in NotaryDash. Every call, every
message, every text, every problem, every odd circumstance, or outcome.
6. Loan MODIFICATIONS require more patience than most other types of signings. Signers are sometimes much more difficult
to reach. Read these instructions for more information.
7. Reach out to signers once a day, no more. Every attempt must be recorded on NotaryDash. NotaryDash log of calls can be
used to request Lender Assist in reaching Signers in some circumstances.
8. Print all documents on 8 ½ x 11, letter size paper. (NOTE: Maryland documents often include a document that may be printed
on legal or letter size paper.)
ACTIVITY FEED
REVIEW DOCUMENTS TO SEE WHO SIGNERS ARE Download and open the documents. Do not print the documents during review.
Note the full name of ALL Signers. Unless this is a “Split Signing” (see title of your order) you must confirm ALL SIGNERS. If you
cannot confirm ALL Signers, notify C2C via NotaryDash immediately.
If no documents have been uploaded to NotaryDash yet, you cannot confirm ALL
No Documents = NO CONFIRMATION CALL Signers. Until you see the Signer names on this document you cannot be sure
who will be signing. Contact C2C via NotaryDash immediately.
ASK QUESTIONS Now is the time to review the documents to see if there are any areas where you are not sure about the signing.
Make sure you understand the difference between Borrower Acknowledgments (sign/notarize) and Lender Acknowledgments (do not
sign/notarize). Make sure you understand what to do with every page. If your questions are not answered before the signing –
delay the signing.
LOAN MOD SIGNING INSTRUCTIONS APPEAR IN MANY PLACES Be aware, there are many instructions in this signing and ALL of
them must be followed. 1) This set of instructions 2) Any Special Instructions in NotaryDash 3) Lender Instructions contained in the
body of the Loan Modification’s supporting pages. Your state’s notary requirements also apply!
NUMBER OF EXECUTIONS It is critical to be aware that SOME Loan Modification orders require TWO EXECUTIONS of the same set
of documents AND you must always take a blank copy to hand to the Borrower. If Special Instructions say that TWO EXECUTIONS
are required, you will need to print a total of three sets. One for Borrower to keep, two for you to return in FedEx. If you do not execute
the correct number of sets you will be asked to complete a full resign at your expense.
FIRST CALL Please review the key messages you must communicate in the confirmation call. Please do not tell Signers’ there are
negative consequences to their not calling you back. It is always their prerogative to not return a call. Stay positive.

Confirm ALL Signers (even non-Borrowing signers) will be need to be present
Confirm ALL Signers have non-expired, picture ID, Signer name spelling is correct on documents and supported by ID
SIGNER(S) NAMES The confirmation call is the time to review the spelling of Signer’s full names and verify that this is how their
name appears on their ID. Doing this AT the signing is too late. If names are spelled wrong the docs will need to be redrawn. (If
you discover this at the table, it may be too late…documents are void if names are misspelled.)
CONFIRM DATE/TIME Choose a time that works for YOU and the Signer. Your time is important and valuable too!
WITNESSES Four states require one or two witnesses for the loan modification. Whether or not your state requires witnesses, be
aware of the other states that do. It’s not about where YOU are, it’s about where the PROPERTY is. If you and the Signer are
in Minnesota but the property is in Georgia, Connecticut, South Carolina, or Louisiana – your Signer needs to provide a witness (or
two).
• Connecticut requires only the signature of the Notary on the witness line (COVID-19 modification to current law)
• South Carolina require 2 Witnesses (1 must be the notary, signing also on Witness line)
• Georgia requires 1 Witness (they call this an unofficial witness)
• Louisiana requires 2 Witnesses and the Notary MAY NOT be one Who Would be a Good Witness?

CONFIRMATION PROBLEMS
1. NOT ALL SIGNERS CAN BE (or should be) PRESENT There are dozens of reasons why one or more of the Signers named on
the documents might not be present, cannot, or will not sign.

2. DOCUMENTS HAVE ERRORS You may find that the Signer states that there are Signers on the documents that should not be
there or that names are spelled wrong, or that there is some other problem with the printed information. In these circumstances,
explain to Signer you must consult with your manager and will call him/her back regarding next steps. Conclude the call, report the
situation in NotaryDash. Wait for response from C2C and do nothing further.
3. SIGNER CONFUSED Signer may If Signer is not aware of Loan Modification, In these circumstances, explain to Signer you will
ask that their Lender or HPS (Home Preservation Specialist) contact them, conclude the call, report the situation in NotaryDash.

…Use the set of documents that were mailed to the Borrower by the Lender. If the Borrower wants to get these loan documents
signed by another Notary that is fine, but you may not sign with this set. You must use the documents that are uploaded in
NotaryDash.

If you print the documents before a signing date/time have been confirmed in NotaryDash – no print fee.
2. For this loan modification, PRINT ON LETTER SIZE PAPER (8 ½ x 11”). Occasionally the PDF will include a legal-size
document page. You may print that on legal size paper or you may shrink to fit on letter size.
3. PRINTING MUST BE CLEAR These documents are important legal documents. There may be no lines running down or
across the paper, no ink spots, no fading. You will need to print at least two, and maybe three sets of documents. Choose
the highest quality ones for the actual signing documents that will be returned to the Lender.
4. KNOW HOW MANY SETS OF DOCS YOU MUST EXECUTE Always Instructions say “EXECUTE TWO COPIES”

messed up somehow or you or the Signer make a mistake the first
course of action should be to replace that page with a fresh page from Borrower Copy and do over. (Second course of action
is to have the person who made the mistake, line it out, initial, and correct.)
SPEND A FEW MINUTES WITH THE DOCUMENTS Remember, you could not confirm the signing until you had the documents, right?
By doing this, you gave yourself time to REVIEW the documents. If there is one page or even one clause or one title you do not
understand and could not explain in one sentence to the Signer, please make a note in NotaryDash. We are here to help you with new
things. (Note: if you cannot get an answer to your question, consider that it may be best to postpone the signing. It is a far better
option than having to do a full resign.)
DO
On the back of the Cover Sheet, write the FedEx label number for the loan document set. When you log in to NotaryDash at the
end of the signing to report Completion Status you will also have the FedEx tracking number to add in the next field. Also, when
you slide docs into the FedEx envelope to send, make sure that number matches the label number. Ever send documents back
to the WRONG LENDER? I know, right?
SIGNERS ONLY SIGN WHERE SIGNER NAME APPEARS It is Notary’s responsibility to communicate to Signer where to sign. You
may speak, point, or use removable sticky notes to guide the Signer. Do not “X” or use highlighter or make any permanent marks
on the pages. These are Lender documents, not Notary documents. If only one Signer signature line appears but there are two
Borrowers on the documents ONLY ONE SIGNER SIGNS. Do not assume the Lender forgot to put a signature line in for the other
person.
SIGNERS MUST SIGN AS PRINTED Please read that again. Must SIGN as PRINTED. (Not…must print as printed).
• Encourage Signers to show you their signature before they sign the loan modification documents.
• If a Signer’s signature is legible, or has spaces separating first name, last name, and/or initials, the name must be clearly
signed exactly as printed.
• If a Signer’s signature is illegible and he/she insists a middle name or middle initial is represented, there is no choice but to
accept the signature
• NEVER ARGUE WITH A SIGNER ABOUT THEIR SIGNATURE.
• A Driver’s License/ID with a signature is NOT the standard for “Exactly as Printed;” it is only a guide to whether or not a Signer
signs in cursive or literally prints their signature.

BORROWER ACKNOWLEDGMENT
NOTARY RESPONSIBILITIES The Notary Wording area is the only area in the ENTIRE SET OF LOAN MODIFICATION DOCUMENTS where a
Notary can write or make changes. If there is no “Notary Wording” in a document DO NOT ADD A STAMP OR LOOSE ACKNOWLEDGMENT!
NOTARY STAMPS Must be clear. Machines cannot read blurry numbers, faded letters, or stamps with incomplete borders.
ONLY STAMP IN AN OPEN AREA! Do NOT stamp on top of a signature or any other printed or written words!

• Is your NOTARY SIGNATURE on every Acknowledgement?
• Is your NOTARY STAMP on every Acknowledgement?
• Is your NOTARY STAMP completely clear with borders and every letter legible?
COMPLETION STATUS Please indicate any issues that came up during the signing.
FEDEX NUMBER Please indicate FedEx as shipper and add the FedEx number. PLEASE DO THIS. C2C processes 1000’s of orders
a day. We do not add FedEx numbers to orders for you – and if you do not add the number your order will not show up as properly
completed in the Lenders “Completed Order” reports.
NEVER Use a FedEx label that is provided to you by the Borrower. Those documents do not go to the NotaryDash Intake
Recording department at First American! There is a VERY GOOD CHANCE they will never be found or returned to the
NotaryDash Intake Recording Group and you will have to resign.
RETURN PAGES IN ORDER The pages of the documents should NEVER be out of order. Not before, during or after the signing, but
occasionally there is a good reason that they become this way. Put them back in the order they were printed in before you place them
in the FedEx Envelope.
REMOVE OBJECTS The pages will be scanned when they are returned to Escrow. Do not staple any pages together. Remove all
paperclips. Remove all “removable” stickies, arrows or other tools used to help guide yourself or the Signer to
SHIP IN THE MORNING If you cannot ship the same day of the signing; this way the docs will start to track immediately and
no one from C2C will call you to get the tracking number and bug you to get documents in FedEx immediately.
And…What If?
What if you can’t do the signing for any reason? What if it’s too far or the timing isn’t right? What if the pages got jammed in your
printer? What if the Signer didn’t show? What if you can’t make FedEx in time to drop the docs today? What if you totally forgot you
had the docs in your car?
Hopefully, none of these things will happen! But things go wrong sometimes, life doesn’t always go according to plan. Plus, we all just
make mistakes sometimes! When something just isn’t right, type it out in NotaryDash and let us know. Sometimes just doing that
helps ease your mind. We will do our best to help you, but you must COMMUNICATE.
Try not to put yourself in a situation where you need to make excuses or make things up later, just let us know right away if something
went wrong. This gives us the opportunity to update the Lender.
