PROBLEM DEFINITION

Nish technologies is a modern internet café and phone repair shop, operating at shop #7

Market Street, Mandeville, Manchester, Jamaica. It is a customer friendly place where they

repair phones, offer computer services, sell accessories for phones and computers etc. Nish

Technologies is owned by Ms. Neisha Smith, who is a sole trader manages the business along

with her employees.

As a researcher, it has observed that Nish technologies has a problem with keeping

track of their inventory and prices. The current system in place is an inventory recording

system which is written in a book, this has caused poor management of stocks and miss

information at the store which leads to inefficiency and should be updated.

ANALYSIS OF THE PROBLEM

For the purpose of researching and analysis of the problem the Nish technologies

faces with the computers, several methods would have been utilized in the collection and

compilation of data on the problem. The following methods were used in the collection of

data: Questionnaires, Interviews and Observations.

Davis, M. K., Fanning P.K (2018) states that a questionnaire is a list of questions,

usually printed and submitted for replies that can be analysed for usable information. The

questionnaire is best used for collecting data from a number of individuals and makes it

easier for the data to be analysed. The questionnaire consists of open and closed questions

which will be given to the employees for input on how their experience with inventory

system is

McDermott, H (2015) states that an interview is a verbal discussion between an

interviewer which is responsible for asking questions and an interviewee which provides

answers for the interviewer’s questions. An interview was done with some of the employees

about their experiences with the systems being used and their responses were noted

Observation

Observation is the action or process of closely observing or monitoring something or

someone.

An observation was carried out at Nish Technologies over a one (1) work week period. on

observing the employee’s behaviour when it came to restocking and inventory management it

was noted that they would have to continuously check for availability of stocks.it was

observed that some of the employees grew tired of continuously going back and forth to

check on stocks. The constant writing of different processes that happens within the business

has all so caused the works to express feelings of annoyances with the current system. It was

clearly observed that a better system needs to be integrated.

IDENTIFICATION OF POSSIBLE SOLUTIONS

The analysis of the problem has made the researcher become more knowledgeable about how

a proper inventory system can lead to better management of the business’s stocks. This has

helped the researcher to make progress in identifying the most suitable efficient way to create

an efficient inventory system. These are a number of possible solutions that was considered

listed below.   

1. Creating a Custom written software

2. Using applications such as Excel, Access to create an inventory data base.

3. Using a POS.

Custom written software

Purchasing a Custom written software which is highly customizable allowing for it to do

what’s intended of it more efficiently. The software would allow for the workers would just

need to search for the items by name and other information would be displayed.

Advantages

● Easy retrieval of information from its data base

● Allows for manipulation of information

● Can automatically calculate all the necessary values needed

Disadvantages

● Costly to get one created

● May have bugs if not made properly

Using Excel and Access

Purchasing a Microsoft office subscription and using Excel and access to create a

database to keep all the inventory data organised and with

advantages

● Uses professional software

● Allows for easy data manipulation

Disadvantages

● The data base has to be created from scratch

● There may be data security concerns

SELECTION OF SOLUTION

The most suitable and effective solution to fixing the outdated inventory system would be to implement a
custom written software. Custom written software would allow for the requirements for an inventory

system software that would have specific features for the company built into the software allowing for
the software to do what’s it’s intended for.

The custom written software would be created in a user-friendly way so that the employees
could easily operate the software. The software would allow for the user to do basic tasks such as : add,
view, update, delete items and store it onto a file on the computer which could be backed up to a cloud
storage. This will result in better management of the inventory and a simple user interface where users
will be more applicable to use inventory system. There will also be a drastic increase in management
efficiency.

JUSTIFICATION OF SOLUTION

In justifying the most appropriate solution, multiple factors have been considered in

making the decision of choosing a solution, these includes: how the improved inventory

system would be a long-term solution, the cost and the overtime return of profits getting a

new inventory system, how efficient this solution will be.

New computers will get updates faster and more frequently allowing them to still be

relevant in the future and shouldn’t become in compactable with newer software that demand

newer components in order to work. If the computers ever need an upgrade it can find later

upgrades to increase the life span when it begins to get dated. Seeing that the computers at

Nish technologies would be newer and would increase usability the customers satisfaction

would improve the possibility of them coming back. 

Buying New computers are one of the more costly ways of getting up to date system

but by far one with the most return value seeing that you’ll go a longer time without needing

to upgrade components and the likely get an increase in customer who will need the up-to-

date computers. The computers will gain profits from what you put in overtime with the

services it will provide.

The efficiency of the newer pc would save time and money with its modern features

and optimized components. The new PCs are less susceptible to system failure than the

previous ones which improves its lifespan and up time not needing major repairs maximizing

on profits. Newer systems are more power efficient and would lead to savings which over tie

stacks up to make a huge gains.

In justifying the most appropriate solution, several factors have been

taken into

consideration, these includes: the benefits of encryption and regular

software updates, the cost to

implement this measure and the advantages it has on the bank and on

users.

Encoding data has been very useful to different organization in securing

data. Encrypting

data and regular software updates can create a safe environment for users

of this ATM which

will further increase automated transactions. Since encryption and regular

software updates are

emphasized, the National Commercial Bank will be able to make

operation and transaction

simplified and faster for users to carry out transaction. This will allow

users to carry out more

activities since the ATM system will be optimized as best as possible.

Regular software updates and encryption work hand in hand and it is in-

expensive to

maintain. The operating system that is installed of the ATM may support

encryption either by

default or manually encrypting the data on the machine; with this

advantage, it is convenient and

less expensive to maintain and operate this Automated Teller Machine.

Regular software update

is a service that has been paid for in the purchase of the operating system;

however, support for

update may be temporary.

Encrypting data guarantees data integrity and accuracy. Encrypted data

makes data in

accessible to third parties or attackers which prevents the data from been

intercepted.
