Re: Financial irregularities in Badda office


In association with your instructions as committee head, contained in your letter
dated 14th January 2021, I personally came down to Badda to visit our Badda
branch as investigating committee member and look into its financial records.

• Complaints
A complaint was raised from our internal audit team that financial records are
mismatched at our Badda office. It was also observed by the audit team that
according to sales software database around BDT 60 lac revenue is earned every
month from the branch but we are collecting only BDT 5-7 lac against Badda
branch.

•Investigation
 On a surprise visit, I came to Badda branch at 9am. The branch was open
but i could not find the branch manager. I even did not see the accounts
officer. Later I came to know that the branch manager comes here after
12pm.
 I found that the desk of accounts officer is full of dirt and the computer’s
keyboard was missing.
 At 12.35pm the Branch manager Mr. Mahtab came with informal attire
and I came to know that the accounts officer is not present for 9 working
days.
 After talking with Mr. Mahtab, I took a deeper in the account officer’s
desk. I saw some sale receipts in the waste bin beside his desk.
 I asked Mr. Mahtab regarding the missing keyboard and he said he has no
idea.
 I questioned Mr. Mahtab, how he records sells in the branch and his reply
astonished me. After a sell, he inputs the sell from the his computer to
our server and the accounts manager collects cash and he does not report
regarding the cash deposit to the manager.
 I talked with one of our reliable security guard regarding the manager and
the accounts officer.
 I contacted our official bank’s key accounts manager(KAM) Mr. Shams
for getting Badda branch manager’s statement.

•Findings
 Branch Manager & Accounts manager do not maintain office time and office
rules.
 The accounts manager does not keep any record in his computer as I found
the computer is not in a state to server.
 After talking with the security guard, I came to know that the accounts
officer was hired by the manager and they know each other from past.
 I also came to know that, the accounts officer and the branch manager has
secretly opened another electronic shop at Malibag and they spend our
company’s time there.
 After questioning our Branch manager, it was crystal clear that audit team
got real revenue report as Mr. Mahtab inputs sell record to our server but
being unaware of the computer report system, he and the account officer
thought the sell receipt are the only proves and they tried to destroy the sell
receipts.
 Mr Shams who is our KAM for ABC Bank gave me the bank statement of
Mr. Mahtab and Accounts Officer, I saw irrelavent and huge transactions
there.

• Recommendations
 As an irresponsible and fraud person, it is highly recommended to
remove the branch manager and the accounts manager from Badda
branch as early as possible
 New branch manager should be sent from head office for this branch.
Also experienced and skilled accounts officer is required for this branch
because sell volume is really high here.
 It is highly recommended to take legal action against the branch manager
and the account officer for fraudalent activity and recover the amount
they have looted.

2. Write a suitable reply to Mr. Kamal,who complains of the unsatisfatory
condition of Vitaminex Biscuite Packets which you have supplied. State that a
duplicate parcel has been dispatched to him and ask him to return the original
parcel, unless he prefers to retain it at a discount of 10%

package.
