Responsibilities:
Visa Processing – Processed visas for different countries Business visa and work permit (US B1 and L1,
Singapore, Canada, Australia, Italy, Netherlands, Swiss, Germany, Portugal, UK, Dubai)
Getting list of required documents from travel agent and forwarding same to resource checking
documents insuring photos are as per specification handover case to travel agent for submitting case in
consulate.
Preparing Invite letter, cover letter, NOC, Authority letter if required, HR letter for address proof
Travel Arrangements- working with travel agent for getting proper itenery as per requirement
Overseas Insurance – Insurance as per duration of stay, extending insurance if required and cancellation
of insurance policy once resource returns back to India
Preparing POE port of entry letter
Hotel and Stay: Making hotel booking international and domestic
Expense reports: Insuring expense are filled once resource is back from client side, sending reports to
accounts and maintaining hard copy of same in further reference
Getting bills from travel agents allotting for appropriate department and sending to accounts for clearing
payments
Maintaining tracking sheets such as
Visa follow-up sheet – record of valid visas which makes easy for resource manager to track which
resource has valid visa
Resource details sheet – Employee details such as Name as per passport, Validity, expiry date, Date of
birth, place of issuance.
Timesheet record: timesheet if filled by employee for last week, sending reminders to employee and
sending report to Managers
Resumes: Maintaining updated resumes of employees, getting updated resume time to time and
maintaining tracking sheet of same and forwarding resumes as and when required by managers.
