 MICRO PROJECT REPORT

TITLE OF MICRO PROJECT: HOSTEL

MANAGEMENT SYSTEM

1. Rationale:
Hostel management system is a customize and user friendly software for hostel which
provides hostel information and hostel room information and hostel account information. It is
a system for managing the various activities in the hostel. It can manage the hostel
information. Student information, room allocation details, fees details, mess fees details,
employee fees details, Availability of the room. The main purpose of this project hostel
management system is to manage the details of beds, hostel, room, allocates and rent.

In hostel, there are many things which are Many thing which are managed by the files, so
the errors, redundancy of will be increase so I have developed this system to reduce the errors
and the redundancy of the data.

2. Course of the Outcomes:

1. Use fundamental concepts of database in a database system.

2. Choose relevant data model to solve a problems.

3. Develop relational database using entity relationship modelling approach.

3.Literature Review :
This project can be used in hostels to store records of hosteller in
database, to display the saved records with printing facilities. The old system of keeping
records in hostel was paper file system. On which records are kept in a paper file by
hand . There were many problems such as security, slowness, calculation error, storage
place, backup of records
,redundancy, etc.

1. The existing system is highly manual involving a lot of paper work and calculation and therefore
may be erroneous. This has lead to inconsistency and inaccuracy in the maintenance of data.

2. The data, which is stored on the paper only, may be lost, stolen or destroyed due to natural
calamity like fire and water.

3. The existing system is sluggish and consumes a lot of time causing inconvenience to student and
the employees.

4. Due to Manuel nature, it is difficult to update, delete, add or view the data.

5. Since the number of students have drastically increased therefore maintaining and retrieving
detailed record of every student is extremely difficult.

There are some drawbacks of existing system -

 Lack of security of the data
 Time consuming.
 Consumer longer volume of paper work.
 Manual work.
 Redundancy of data.

To avoid all these limitations and make the system working more accurately it needs to be
computerized.

4.Actual Proposed Methodology :
It is a small database which is helpful in the areas of hostel. This database
includes all the activities in which the hostel is managed. The activities like
hosteller admission, fee payment, inventory purchasing report generating, etc. will
be included.

User can simply add record , delete them, update them, create backups of the
database and many more using this software.

This project consists of different tables that includes tables like student master,
admission details, parents details, room details, attendance details, staff details, warden
details, complaint details and feedback details. In the tables, the all information of
students like roll no , name, address, mobile number, etc. Contains.

This project developed our abilities in many ways. First of all, in our group we select
topic "Hostel management system" for project then we discuss about our topic like
which points will done in project report. After that we all team members in team collect
the information related to our project.

We create a database for hostel management system. After that we all team members
created a report and show the softcopy to our guide. After getting permission, we submit
it.

After all these activities, finally we submit the hardcopy of report and part B to our
project guide.

10. Skill Developed :

In this project developed our abilities in many ways. We firstly started

developing our intellectual skill needed for the report. Really the job was too
much difficult which taught us time management and our own decision
making views and also thoughts. We also came to hoe to enhance our skills
and improve our logic.
We had a greate experience with our seniors while the project making lot of
was gained from them. Most of things which where unknown was came to be
known. We developed the capacity of thinking and focusing on a particular
thing. We evaluated the facts or the result of our report. Good writing skills
was developed to communicate with darity. We tried to form our own point
opinions. This was the task that requires a lot of patience which is why
patience is a skill you cannot succeed without.

11.Applications of the Micro-Project:

The software of the hostel management system is used in hostels for

easy accommodation
It is also useful for parents information.
It is useful for teachers/warden for information about hostel student and
their parents.
It is also important for details of attendance for teachers.

12.Area in future improvement :

The software product "Hostel Management System" will be an application

that will be used for maintaining the records in an organized manner and to
replace old paper work system. This project Aims at automating the hostel
management for smooth working of the hostel by automating almost all the
activities. Updations and modification will be easily achievable and all the
calculations and accounting work would be accurate
