1)PROBLEM BACKGROUND
The company that am going to help find and solve problems is an educational institution called
Riverine Academy.it is a primary school and it has classes from kindergarten to class 8. It is
located in Nairobi county in kayole province in Embakasi district.The number of employees are
categorized such as teachers who are 18 in total, the secretaries are three and also including
the principal who all of them are users to the targeted software. The software will help them in
recording the student’s records keeping it safe and less bulky.
2)PROBLEM STATEMENT
This are the limitation of the existing system which include
 Lack of security of data-this is due to filing system are easy to access sensitive
data which might pose a threat to the organization and can also be lost easily
 Time consuming-inputting data in a computerized environment is easier as
compared in filing system, and also waste time while trying to recover
information.
 Consumes large volume of paper work- this makes accessing data tiresome and
at the same time it is unhealthy to the environment as it does not conserve the
environment due to the large amounts of paper needed.
 Manual work- this causing time wastage.
 Information change is a great problem-changing data is hard because its in hard
copy thus making it hard to change.
 Vague information from the students-students can lie to the parents having paid
the fees, having reported or even the grades of the exam. This will help parents
as they can access the data from the computized system.
 Loss of data- data can be easily destroyed or lost.
3)PROPOSED SOLUTION.

 Develop a system that will help the whole organization starting from the principal the
admin to the teacher, student and the parent who are the users.
 Develop a website using a backend by use of JavaScript that will enable the users to use
it for their purpose.
 Include easy payment methods that are easily available for the payment of the fees.
 Develop a website and application for the user to input and access the data.
The software and the website will be called SOMA.
4)OBJECTIVE OF THE PROJECT

 To manage student’s information during admission, examination, attendance and fees

payment online.
 Efficient utilization of human resources
 To reduce unnecessary paper work in maintaining the information stored
 Ensure data integrity, privacy, and security in an open-access environment.
-To do a system design to know the structure the system will have when implemented.
-To do a system analysis to study the system so as to analyze,model and to choose a logical
alternative so as to solve a particular problem.

5)SIGNIFICANCE OF THE PROJECT

 Better management of the students data-it will help manage the students data in a
organized way.
 Improves overall teacher productivity-this is because the recording of data isn’t manual
thus improving productivity because its easy to use.
 Provide deeper insights to parents-this will help parents get the data easily and to get
the truth about the students grades and fees records.
 Easy payment management-this ease the process of paying fees through banks which
are tiring.
 Saves cost-this will help reduce costs in paper usage.
 Security of data-this helps in the safe storage of data or loss of data as it is a back up
protocol.
6)METHODOLOGY OF STUDY
AGILE METHODOLOGY- is a method that involves managing project by breaking it up into
several stages.
This system we are to going to use the rapid application development.
Rapid Application Development design includes the following steps:
I. Planning-the end user will come together with the designer to determine the
requirements of the system, time it will take to complete, financial requirements
and the functions needed in the program.
II. Design-in regards to the users needs the software is designed accordingly
III. Development-the software is now developed by using the information above.
IV. Testing-after the software is designed it is put into practice inorder to see the run
ability of it and to fix the bugs if present.
