Part 1 – Rostering case study

Scenario

You manage a department of five full-time employees of equal seniority and ability, and each is on
the same hourly rate of pay. The names of your staff are Allison, Bernie, Charles, Donna and Gavin.

The following requests have been made to receive specific days off over the next roster period, all of
which you hope to accommodate if possible.

Allison: Requests all Saturdays off in February.


Bernie: Requests to be rostered off or on late shifts on Saturdays so he can watch his son play
cricket.
Charles: Requests the 13th to 16th February off (4 days) to attend his sister’s interstate wedding.
Donna: Cannot work Sundays on the 7th, 14th and 21st February as her husband is overseas on
work and she has nobody to look after her young children.
Gavin: Requests Saturday 6th and Sunday 7th off to attend a Greek cultural festival.

The enterprise requires two staff members for the early shift (0700 to 1530) and two staff members
for the late shift (1500 to 2330) from Monday to Friday and only one staff member per shift on the
weekends. A third staff member is required for a ‘swing shift’ (0900 to 1730) on Fridays as it is
typically the busiest day of the week.

1. Below you will find the completed first week of a four-week roster. You are required to
complete the roster for the next three weeks using the blank roster grids.

The rostering guidelines are as follows:

• No early shift directly after a late shift except in response to a request for a particular day off.
• Avoid late finishes and early starts around a single day off.
• Staff are to have two consecutive days off each week unless there is a particular request for
time off.
• Staff are not to work more than 10 days in a row
• To be fair to all staff, try to roster each staff member on an equal number of early and late
shifts throughout the course of the four-week roster.

To assist you with this task, follow these steps:

• Use a pencil for this task, as you will need to continually adjust the roster until it all fits
together, as per the guidelines.
• Pencil in all staff requests first.
• Commence with the first employee and looking at the first week of the roster, continue through
to the next weeks paying attention to the times of their shifts and requested days or shifts off.
• Continue in the same way with each of the other employees making sure that the enterprise
requirements concerning the number of staffs to be on duty at any one time are followed.
• Remember that staff requests are just that, requests. The staff are employed on the condition
that they will be rostered according to the needs of the enterprise. However, accommodating
as many requests as possible will assist in keeping a harmonious workplace.

2. Once completed, describe how you would notify or communicate the roster to the five
members of staff working to it. Include all methods you would apply.
Post to a company app or database, or conversely, talk about it in a WhatsApp group,
email someone in person, and hold a meeting to go over everything.

3. As the manager in this scenario, suggest how you would consult with your staff to ensure
you receive their input and requests when preparing rosters.
To assure input into rosters, consult with your coworkers. To manage rosters, use
equipment and roster management software. After creating the roster, you may email
or text the team to let them know, and they can then automatically accept shifts or
request modifications. Depending on the available resources for the company, have all
workers refer their RDOs to the app or in person. If the RDO is significant, we will try to
make accommodations. Not everyone will be approved. If there is a problem with a
date they need off, staff members are urged to speak with management.

To make sure we don't go over our budget, we need to write down our wage budget. In
order to avoid going over time, start and finish times are set here.

service levels while minimising wage costs.

3. How can you allocate rostered time to take advantage of the best mix of employee skills
and abilities?
I distribute rostered time by making sure the employees on the roster have the abilities
to finish their jobs. Customer service will suffer and operational efficiency of the
company will suffer if this doesn't happen.

5. How might rosters be improved/ changed to meet the needs of employees or of the
organisation and why is it important to regularly review the rostering system?
Due to their social schedules, the staff will work in shifts. To promote a healthy
work-life balance, it is a good idea to consult with employees and to give them
weekends off when they are scheduled to work. This will make it possible for a
productive workplace.
