The personal data and documents (hereinafter referred to as "data") are collected for the purposes of application, enrollment, academic
studies and the responsibilities of the University. In addition, the disclosure of personal data may become necessary within the
framework of official and/or judicial measures for gathering evidence, criminal prosecution or the enforcement of claims under civil law.
Without the compulsory information, enrollment cannot be completed. For all these purposes, the data will be processed in appropriately
secured environments.
Legal basis of the processing
The processing of the individual data takes place on the following legal bases: EU Data Protection Basic Regulation (DSGVO) – Art. 6
para. 1 lit. e), in conjunction with Art. 6 para. 3 State University Law (LHG) – § 12 para. 1, in conjunction with the Higher Education Data
Protection Ordinance (HSchulDSV).
Recipients of the data
Within Hochschule Offenburg, those staff units or individuals who need your data to fulfill their tasks and legal obligations will have
access to it in accordance with the applicable data-protection regulations. In addition, external processors contracted by us may receive
data for these purposes.
Duration of the storage of your data
The data will be deleted within the scope of the statutory storage obligations and periods and in accordance with the purpose limitation.
If the data are no longer required for the fulfilment of contractual or statutory obligations and rights, they are deleted regularly, unless
their further processing – for a limited period of time – is necessary for the fulfillment of an overriding legitimate interest. Such an
overriding legitimate interest also exists, for example, if deletion is not possible or only possible with disproportionately high effort due to
the special type of storage, and if processing for other purposes is excluded by suitable technical and organizational measures.
Your rights
Under certain circumstances you can assert your data protection rights against us:
• You have the right to be informed about your data stored by us in accordance with Art. 15 DSGVO (possibly with restrictions in
accordance with § 34 BDSG).
• At your request, we will correct the data stored about you in accordance with Art. 16 DSGVO if they are inaccurate.
• If you so wish, we will delete your data in accordance with Art. 17 DSGVO, provided that other statutory provisions (e.g. statutory
storage obligations or the restrictions pursuant to § 35 BDSG) or an overriding interest on our part (e.g. to protect our rights,
claims, obligations and tasks) do not prevent this.
• In consideration of the requirements of Art. 18 DSGVO, you may request us to restrict the processing of your data.
• Furthermore, you may object to the processing of your data in accordance with Art. 21 DSGVO, on the basis of which we must
terminate the processing of your data. However, this right of objection only applies in very special circumstances of your personal
situation, where rights, claims, obligations and tasks on our part may conflict with your right of objection.
• You also have the right to receive your data under the conditions of Art. 20 DSGVO in a structured, common and machine-
readable format, or to forward them to a third party.
• You also have the right to appeal to a data protection supervisory authority (Art. 77 DSGVO). The competent supervisory
authority is the State Commissioner for Data Protection and Freedom of Information for Baden-Württemberg (Landesbeauftragte
für den Datenschutz und die Informationsfreiheit Baden-Württemberg).
We recommend, however, that you always file a complaint with our data protection officer first.
Your requests to exercise your rights should, as far as possible, be addressed in writing to the above address or directly to our data
protection officer.
