PRIMARY PURPOSE
This position is responsible for ensuring the effective and efficient management of Waiting Lists and elective
admissions within the Admissions and Bookings Office, providing professional, high quality customer support for
patients and staff.

COVID-19 VACCINATION COMPLIANCY


All NSW Health workers are required to have completed a primary course of a COVID-19 vaccine which has been
approved or recognised by the Therapeutics Goods Administration (TGA). Additionally, Category A workers are
required to receive a booster dose three months after completing the primary course of COVID-19 vaccinations. New
applicants must have completed the vaccination course prior to commencement with NSW Health, or provide an
approved medical contraindication certificate (IM011 immunisation medical exemption form) certifying the worker
cannot have any approved COVID-19 vaccines available in NSW.
Acceptable proof of vaccination is the Australian Immunisation Register (AIR) Immunisation History Statement or AIR
COVID-19 Digital Certificate. Booster doses are highly recommended for all health care workers who have completed
the primary course of COVID-19 vaccinations.
For Category A applicants, if dose 3 is not yet due they can sign the undertaking form to confirm they will receive the
vaccine within 6 weeks of the dose due date.

RESPIRATOR USE
NSW Health workers may be required to use a respirator, as part of their appointment with NSW Health. Where a
respirator is required for use, workers will be instructed in their safe use; including donning, doffing and fit checking.
Staff may be required to complete fit testing to selected respirator/s to assess their facial fit/seal.

At all times when a health worker is required to use a respirator, the health worker must not have any facial hair
present. Processes are in place to support workers that need to keep facial hair due to religious observance
requirements and/ or health conditions.

KEY ACCOUNTABILITIES
The administrative management of elective admissions through the receipt and processing of Recommendation for
Admission forms (RFAs), including checking forms for compliance with policy requirements, entering data onto the
electronic Waiting List, booking clinic and theatre appointments and corresponding with patients via phone, mail or
email.

Liaising with medical, nursing and administrative staff both within the hospital and from external services such as
private consulting rooms, community health services, correctional services etc.

Utilising highly developed customer relations skills to deliver a positive customer experience whilst providing a timely
and efficient service. Demonstrating empathy, compassion and respect in all interactions with patients and being
sensitive to the diversity of cultural backgrounds within our community.

Monitoring and auditing of Waiting Lists on a daily, weekly and monthly basis, in accordance with relevant policies and
procedures

Contributing to positive team performance by identifying obstacles to optimal service delivery, suggesting initiatives to
improve processes and implementing new ways of working.

Protecting patient privacy and confidentiality in all activities including verbal communication with staff, patients and
relatives; handling of 'hard copy' forms and reports; and management of electronic information, including electronic
communication such as email and text messaging.

• Prioritising tasks and working flexibly in order to manage fluctuating workloads within the Bookings Office
whilst continuing to achieve policy-mandated timeframes
• Maintaining a high level of accuracy in data entry and other record keeping

SELECTION CRITERIA
1. Relevant experience in admissions and bookings processes
2. Experience with computerised patient administration systems
3. Sound knowledge of NSW Health Waiting Time and Elective Surgery Policy
4. Experience in a customer service role demonstrating effective interpersonal skills
5. Demonstrated ability to work productively within a team, and to work autonomously when required
6. Demonstrated time management and organisational skills to manage competing priorities.
7. Demonstrated understanding of Medical Terminology

• Undertake mandatory training requirements


• Ensure timely and accurate reporting of near or actual, incidents or patient safety concerns.
• Take reasonable care to ensure that your actions do not adversely affect the health and safety of others
• Comply with policies/procedures relating to health or safety in the workplace, including notifying any
hazards/risks or incidents to the manager.
• Participate in WHS education and training provided and be actively involved in WHS consultation in the
workplace.
