Letter writing
A letter is a written massage that can be handwritten or printed on paper .It is usually send to the
recipient via mail or post in an envelope , although this is not a requirement as such .Any such
massage that is transferred via post is a letter , a written conversation between two parties .
“A letter is a message that is written down or printed on paper and usually put in an envelope
and sent to somebody “.
Types of letter
Formal letter
These letters follow a certain pattern and formality .they are strictly kept professional in nature,
and directly address the issues concerned .Any type of business letter or letter to authorities falls
within this given category.
Informal letter
These are personal letter. They need not follow any set pattern or adhere to any formalities. They
contain personal information or are written conversation .Informal letters are generally written to
friends, acquaintance, relatives etc.
A formal letter should include the sender's address, date, receiver's address, subject, salutation, body of
the letter, complimentary closing and finally, the signature with name (in block letters) and designation.
Key point
A Formal Letter should follow certain rules and guidelines while drafting it. Following them
will help you keep it in a Professional way. There are many formats that can be followed
while writing a formal letter. For the sake of your convenience, we even jotted a common
format to communicate these days. They are as follows
Sender’s Address: The Sender’s Address should be noted on the top left corner of the
page. The address should be accurate and complete so that the recipient can get in touch
with you further.
Date: Just below the address do note the date on which the letter is drafted. It is
important as the formal letters are kept in records.
Salutation: Skip one line after the date and chose your salutation whether you know the
recipient or not. If you know the name of the person use the salutation .Dear followed by
name of the person. If you aren’t aware of the name of the recipient you can use Sir/
Madam.
Body: Next to the salutation leave one line and begin the body of the letter. Use Short,
Clear, logical paragraphs to state your business.
Signature: This is the end of the letter. Skip one line after writing the last paragraph in the
body of the letter. Type the closing followed by a comma. Mention a handwritten
signature if it is an offline letter and type your name simply if it is an online letter.
Date
Right after your address, you will write the date when you are writing this letter. You can
use any date format according to your region.
Opening Salutation
Because this is an informal letter, you are free to choose the words for opening
salutations. This portion of an informal letter depends on how close you are to the
receiver. Usually, this sections starts with:
Dear Ali.
My Dear Ali.
Dear Friend,
Dear Mother/Father
Dear Sister/Brother
Opening or Greetings
The main body (the reason for writing a letter)
signing off (closing)
You will start the letter with greetings as you can say, How are you? How is life going
on? I hope everybody is healthy and good at home etc. The main body could be long or
short depends on the purpose of writing the letter. Closing is a section where you will
say goodbye to the receiver of the letter. You can close the letter with these sentences, I
am looking forward to seeing you soon, I can’t wait for your reply, See you soon, Pay my
regards to all at home, with best regards/wishes.
Signature Block
We are talking about an informal letter and a receiver is a person, you know very well.
You can sign just your first name and justify it to the left side. With your signatures, you
can use these words, your affectionate, Best regards, yours sincerely etc.
