AVES Web Portal – Overview

1 AVES Web Portal – Overview


Goal: Introduce you to personal system AVES AWA, learn to work with the system, edit personal
data, using available reports.

AVES AWA is a large web-based application providing functionalities in these areas:


 General/Basic Data Management – Managing data for Aircrafts, Airports and other basic
data for AVES system
 Crew Flight Documents – Apis, General Declaration, Journey Log etc.
 Personal Data Management – Managing company personal data and data specific for
crew planning system
 Flight Data – After flight data processing including Flight Log, aircraft statistics etc.
 Reporting – Based on the MS reporting service, the report result can be saved in different
formats (PDF, HTML, MS Office file formats). The system provides a large number of
reports grouped on following folders:
- Schedule reports
- Operational reports
- Crew reports
- Statistical reports
 Administration – User rights, User roles, User profiles, System settings

Use to: Maintaining personal data

2.1 Finding/Editing Crewmember


2.1.1 Find Crewmember
You can filter the list by lot of attributes

 Fill up criteria as needed, usually CMS Name or PID (personal ID)


 The button runs the filtering process.
 The button clears the filter and display all crewmembers.
2.1.2 Edit Crewmembers data
Find the person
 Within lower frame select the Tab where you would like to make changes
 Use “Edit”
 Save or Discard changes

2.2 Inserting new crewmember

Use button “Add” below grid and fill up personal data.– mandatory items are marked in bolt:

General personal information not related to crew functionality
 Last & First name or Full Name
 Gender
 Birth date
 Status – default is Active
 Personal Key calculated automatically (database key)

FC seniority numbers have no influence on CC numbers.
If used, then the recommendation is to have the numbers
split by functions and rank – e.g. CPT 787 start as 1 to 500, FO
from 501.

 Employed. To see chapter 2.3 Termination of employment on page 8
 Recalc. Flight can be used for automatic seniority calculation– after long term
absence

Maintain of permanent or temporary address of crew members stay. Not used by programme.

2.3 Termination of employment


Used to: Easy termination of crew members employment

Pressing the Deactivate button will deactivate selected person.


 Fill up the filed Employed To from tab Pers CMS and save the personal record.
 Fill up the date field for Deactivate button (usually with the same date as for Employed To)
and press button Deactivate.

The resut of the deactivating process:


 Pers CMS - Record is set to Inactive.
 Pers IDs – Record is set to Inactive.
 Logins – Record is set to Inactive.
 Addresses - Record is set to Inactive.
 Contacts - Record is set to Inactive.
 Group – The record validity will be finished according to the deactivate date.
 Contracts - The record validity will be finished according to the deactivate date.
 Homebase - The record validity will be finished according to the deactivate date.
 The main personal record is set to Inactive.

3 Base tables for personal data


Following tables are needed for inserting personal data. However, the change in these tables can
have big influence on AVES performance, so ask for support before change.

3.1 Professions
Use to: Dividing crew membersto Flight crew or Cabin crew.
Activation:

 Professions where flight duties will be ordered must have the CMS box crossed.

3.2 Functions
Used to: Mandatory essential adjustment.
Activation:

 Functions where flight duties will be ordered must have the CMS box crossed.
 Optimization: Check, if the function should be rostered by optimization

Note: the change in these tables can have big influence on AVES performance, so ask for support
before change.

3.3 Home Bases


Use to: Adjusting Home or Operational bases list. See chapter 5.3 Home bases on page 16 for
description how to assign crew member to it

Affect: FC & CC – one setting is for both professions

 Exams selection is available only if “Display” was set up to “Exam “.

4.3 Working with prints


 Checking number of pages and moving between pages:

 Zooming layout on the screen:

 Finding an text within whole report- insert text or numbers

 Saving, refreshing, printing

 Saving is possible in different formats

Note: If no filter was used for the report, then the report generation can take time depending on
configuration of your system

5.1 Personal data


Used to: Viewing and modifying the specific personal data of the Flight/Cabin Crew

Affect: Actual profession – FC & CC independently


Activation:

 Top frame allows filtering the crew to be displayed


5.1.1 Coefficient for balancing
Used to: Allows to specify working time for part time employees.
Default value is taken from contract. Here you can redefine it differently for specific crew member

5.1.2 Detail
 Opens personal record in AVES AWA
5.1.3 “B” Pilot setting – Categories
Used to: Setting up inexperienced pilots. This settings is used by rostering process to prevent wrong
crew composition with more inexperienced pilots together. Violation mark will appear in AVES Crew
Plan, if the rule is broken

 Use button Categories and then button New:

 New category is offered automatically


 Set up date “From” only
 If some previous category exists, is finished automatically by inserting new one.
 In this example category B was with unlimited validity, after inserting new category A from
9.9. 2018 this record was automatically finished till 8.9.2018

5.2 Canvas
Used to: Prints from Aves Plan. These settings could be used as filter for Canvas print

Affect: Actual profession – FC & CC independently


Activation:

 Use “Set” button for crewmembers filtering – “Clear” displays all crewmembers
 Columns allows sorting by click on header
 Button Move: Allows to change canvas for individual crew member:

Use from Canvas the last item in the list of Canvas:

Used to: Inclusion of individual crewmembers to home bases

Affect: Actual profession – FC & CC independently

5.3.2 Changing home base


Use to: Change home base for specific crew member

 Use tab “Crew list”, where all crew members are listed regardless of home base and selection
by name is available
 Select crewmember and left double click his/her line:

 Use edit, change “Airport”


 And Adjust the validity

5.4 Contracts
Use to: Define the employee contract type and assign the contract to crew members
Contracts chapter contains 2 parts:
 Setting types of the contracts
 Inclusion crewmembers
5.4.1 Contract types
Used to: Adjusting type of contracts of the Flight/Cabin Crew.
I.e. full/part time, main/services employee etc. Necessary for further use.

5.4.2 Crew contracts


Used to: Assign contract to crewmembers, modifying, overview contracts

Affect: Actual profession – FC & CC independently


Activation:

 “Crew list” – all crewmembers with assigned contracts.


“Filter for selection” – find crewmember by CMS name
 Other tabs show crew with corresponding contract

Note: Maintain the validity of old contract consistently. This way the contracts history will
correspond to real data and the change does not affect the historical crew statistic

Changes could be done within each list by the same manner but Edit button is available only.

5.4.4 Adding contract to new crew member

6 Examinations
Used to: Set up examinations according Civil Aviation Authorities and company regulations.
Examinations setting is very flexible starting with rank, type of A/C, medical, recurrent, simulator,
CRM, firefighting etc.
Used examination are processed by AVES Plan and even warnings ahead of time expiration can be
displayed.

Examinations chapter contains 2 parts:


 Setting types of the examinations
 Inserting the examinations to crewmember record

6.1 Examination types


Used to: Set up list of exams for future use
Documents like licence are considered as examinations also.
Validity of exams could be settled in diverse ways – in months or days,
to the end of month (calendar), to exact day (float) with possibility to round it,
with “buffer” (optimal) where the validity is calculated from previous exam value
if new one is finished within adjusted date span – e.g. medical, recurrent etc.
It is very important to set the exams exactly as their values are used within AVES PLAN and
wrong setting could lead to violation of rules for assigning crew to flight duties.
It is necessary to check them one by one and edit them in obedience to company and Civil
Aviation Authorities regulations.

However, if needed, the examionations tzpes can be shared between FC and CC.

6.1.1 Examination type form preview

6.1.1.1 Criteria

 Code – Code/name of the examination


 Description – Short description
 Validities – usually no entries, could be adjusted for limited values

 Profession –Set up both, if the sharing between proffesions is required


 Setting – for future use
6.1.1.2 Setting data for Checking – mandatory or not
Defines fileds, which are mandatory, when the exam is added to the crewmember.

 “Checking in CMS” – gives you opportunity to monitor the validity in AVES Plan. The
roster is displayed with yellow background, when the exam with Checking in CMS = Ye is
expired.
6.1.1.3 Setting for calculating validity

 Maximal – setting is used for standard value of the exam


 Optimal – setting is used for buffer computation
 Time unit – offers Month or Day value
 Mod. “Calendar” – sets validity to the end of month
 Mod. “Float” – sets validity to exact day of the month
6.1.1.4 Frame under General
 Leave blank if examination is unlimited
 Grade 1 to 6 – if exam has different validity depending on an achieved grade
e.g. FC English course
Enabled only if on “Setting data for Checking” Grade is set as mandatory
 Maximal – number of valid months (if not unlimited)
 Optimal – number of months or days before the end of validity where the
exam can be renewed. In this case the new expiry date is calculated
from the old exam validity and not from exam date
 Repeat – for future use
 Mode 4 – this option allows you manually change validity when adding exam
to crew. E.g. Visa could be issued prior its validity.

 Max. shortening – for shortening the exam validity


 Max. prolonging – maximal prolongation of the exam without restrictions
 Exam day in the future – offers Yes or No where NO is default.
“Yes” means that you can add the date of the exam to crewmember in advance
E.g. Visa could be issued prior its validity.
6.1.1.5 Spec. value

 Combo offers different menus for FC and CC:

 Associated – used for FC only – Function/Type


 Conditional – used for trainees
Note: When adding a new exam type always check if the value is in the menu
settings and select it if available.
If there is no corresponding value, then select “No special values”.
All Exams marked with named special values are treated by the system
differently.
6.1.1.6 Rule for renewal

 Allows you to set expiry date of added exam according the date of previous exam
 Normal – exam was accomplished before expiration and within adjusted
date period – Old validity (except Passport, Visa and similar)
 Early/Late – you can either extend or reduce the new validity

Example: Examination is to monitor ordered English examination for FC with different exam validity
depending on grade

Explanation:
 Mandatory Items: Exam date
Grade – opens the Grade section
Checking in CMS – decide if required
 Spec. value – NO
 Maximal – entries in grade section only
Result:
 Validity in months according achieved grade
+ to the end of the month – (Calendar)
 Validity of Grade 6 is unlimited – reserved for native speakers

6.2.3 Exam with Buffer – Example


There could be exams where expiry date is calculated from last value even that the exam was
finished in advance in obedience to company and Civil Aviation Authorities regulations.

Explanation:
 Mandatory & other settings depends on type of exam
 Maximal – Example 12 month
 Optimal – 3 months prior expiry
Result:
 Old validity was 1 year + to the end of month
 New validity – 1 year calculated from previous expiry date if renewed within
adjusted buffer – Optimal
Note: If the exam is finished outside the specified period then the new validity is computed
from examination date again.

6.2.4 Medical Below 60


Example of different exam validity depending on crew member’s age. We will define two exams –
MEC < 60 and MEC >= 60 and join them together for verification in AVES Crew Plan.

 Mandatory Items: Exam date – date of the medical check

 Spec. value – NO
 Optimal – Days prior expiring
 Rule for renewal – Normal = Old validity
Result:
 First validity is 12 months + to the end of month (Calendar)
 Buffer for renewal up to 45 days before expiry
 New validities – 12 months calculated from previous expiry date if renewed
within 45 days prior expiration

 First validity is 6 months + to the end of month (Calendar)
 Buffer for renewal 1 month before expiry
 New validities – 6 months calculated from previous expiry date if renewed

7 Inserting examinations
Used to: Used to display and edit list of grades, exams passed by a specific crewmember,
function qualifications, qualifications required for a specific task and the
experiences.
Here you can see selected person one by one only.
To see all the examinations of all crewmembers, use AVES AWA module
Report C11
Important note: After completing the exam insertion inform all AVES Plan & MON users to
restart that the exams begin to apply immediately.

Activation:

 Surname - select a crewmember from Combo box


 Name/PID - appears automatically

8 Adding examinations
Note: When exams are added to crewmember then the validity/expiry date
is automatically added with respect to exam setting.
Strong recommendation: Do not delete expired exams.
Activation is always the same:

8.1 Medical bellow 60


Previouse medical check:

 Validity 12 months + to end of month


New medical:

 Exam. Type - MEC < 60


 Exam date - set to correct day as actual date appears
 Grade - default “P”
 Expired date - defined to 12 months from previous expiry date as
new exam was done within 45 days prior expiration

8.2 Conditional qualification – FC


Conditional function by FC/CC is tied with A/C type

 CC – follow the same procedure however if new function,
then more A/C types is to be expected

8.4 New Function & Type qualification – FC


Function by FC is tied with A/C type

Used to: Invalidate mentioned examination
This is a necessary procedure as crewmember can have only one valid function &
type on his/her record. Conditional & former functions are to be terminated.
Don’t delete those records as they could be used for history checking.
 Use filter for requested examination
 Left double click selected examination
 Edit Expired date

8.5 New Function – CC


Unlike the Conditional function the CC function is not tied together with type of A/C.

9 Saving examinations
9.1 Exams with function or type specification
 Using “Save” opens window as if “Checked functions” for control
 “Newly generated records” allows you to control all new or adjusted exams
 “Existing records” gives you information about the status before editing
 If “Cancel” was used warning appears:

 Examination is saved without further control
 “Cancel” gives you warning if there were any changes
Please remember: After completing the exam insertion inform all AVES CMS & MON users
to restart that the exams begin to apply immediately.

 Allows you easy summary of function and types of A/C assigned to the selected
crewmember. Same window is used for Saving Exams associated with Function or
Type

It is for mistakes checking and for control if some exams were not added especially when a
new type of A/C was added to the fleet.

 Crewmember is to be selected
 Use “New” – window is used for all kinds of examinations

 Exam type – select from Combo box – types for used session are available
 Function – select from Combo box if necessary
 Aircraft type – select from Combo box if necessary
 Exam date – actual date appears – change it to correct one
 Grade – “P” is default, numbered used with special exams only
 Document – if mandatory on Exam type
 Expired date – comes automatically computed date according exam setting
 Examiner – if mandatory on Exam type
 Note – optional
 Blocking – used if there is for some reason necessary to block the validity of selected
exam – use Edit
NOTE: Filling the form is to be with accordance to the setting of selected Exam type.
If not, then you will receive warning for correction.

The use is simple and mostly default “P” is used.

 You can change the value of Pass/Fail according your convention.
