One of the most under-utilized (and amazingly effective) ways to get
client work quickly is to consistently reach out to your past clients. It’s
hard to know what to say, so below I’m sharing a collection of some
amazing client email templates you can use to instantly generate
tens of thousands of dollars in client work.

1. Testimonial Email Template

One great way to get more testimonials is to limit the amount of work
a client has to do to give you one. Here’s an example:

Hi Client

I'm trying to get better about documenting success stories


from clients when I hear about them. Would you be up for
sharing a little more about our project?

Short and sweet is fine, something along these lines..

“Using Your name’s services to create a website that


measurably attracts more customers is a guaranteed
investment. - Client, CEO”

In fact, if you're busy at the moment, I can use that quote for
now. I'd also love to get a headshot that can be used along
with your success story.

2. Testimonial Referral Upsell

Once I get a testimonial (which is basically an endorsement to the


whole world), I'll go in and ask directly for a referral:

I’d like to continue working with you. I have a few ideas for what
we can do in the next few weeks to add to this project and
make it even more successful.

I’ll send those over soon, but for now, if you know of anyone
who would benefit from a similar service, I would love it if you
could send me their email. I’ll let them know that you were
thinking this might be right for them, and answer any
questions they have about how your project worked out (I'll
also cc you on the email)!

Again, this approach does all the hard work for the client. They simply
email me with a name, and I take care of the rest.

3. Referral Cash In Email Template

Once a client gives you the name / contact info of someone they think
might benefit from your services, here’s what to send them:

Hi Client,

Hope you and your family are well.

Referral name suggested that we connect. He/she thought it


would be well worth your time to learn more about the [your
service] he/she’s been experiencing with us this year.

Would you make a few minutes available to me this week?

Think about the difference here between this strategy and sitting
and waiting for work to come to you.

4. Retainer Upsell Template

When a client asks what it will cost to make a change to their website
in the future or "down the road," what they're really asking is if they

can trust that you won't disappear the minute you hand off the
project. They want to know you won't leave them out to dry.

This creates a perfect opportunity to up-sell a retainer agreement


because you can position the retainer as a premium way of ensuring
you're available to them if they need help:

Hi Client,
For small maintenance updates like that it would probably be
best to do some sort of small retainer. For example, some of
my clients pay $X00 every month to have me on call for up to 4
hours. They have that time reserved just for them no matter
what. This positions you as a very in-
demand freelancer yet you also

Once you’ve gotten your first retainer, don’t stop there. Make sure
you’re aware of how many hours per month they’re using.

If the client work goes over consistently, reach out with the following
(a quick phone call is better).

So you guys have been really successful with growing your


business in the last two years — hats off — and you’ve been
averaging about 10 retainer hours a month. The retainer you
have is only really for 5 hours per month.

Don’t worry, you’re not in trouble, we’re just emailing you to


make sure that it is OK to step you up to a bigger retainer,
which is more appropriate for your needs. It will be $XXX a
month. Is that OK?

Great. Would you like to save $XXX by pre-paying for a year of


service in advance? We’ll charge you for 11 months and give
you the 12th month free. Is that OK?

Sure, it works out to $XXXXX. Is that OK?

Great! OK, you’re all set — we’ll send you a receipt to your
email. Thanks for your business, Client — we really appreciate
it. You have a great day now.

When you approach clients like this, it’s amazing how happy they’ll be
to pay you more money.

6. Budget Increase Template

Sometimes the budget you sent a client just isn’t appropriate


anymore. Be clear and upfront about this. Send the client the
following:

The budget made a lot of sense when we first developed it.


That said, in service to you, we may have to explore adding to it
if we want to see this thing through the right way.

a project’s initial budget if things have
changed. When a client changes something on a project scope, it’s
important to change the budget to adjust.

Be upfront about it. The client has two options, either keep the scope
as-is or accept the new pricing. Both of these options are a win for
you. It pays to be upfront!

7. Outgoing Referral Template

One of the best ways to get more referrals is to give more referrals.

It also helps you get value even from clients who aren’t a good fit for
your services. You not only become a trusted advisor to the client, but
you help a friend who might refer a project your way in the future.

Unfortunately I don’t think I’m the best person for this project
because of X.

Your success is important, even if it’s not with me, so I’d love to
refer you to Bob, who I think would do a much better job on this.

Turn down work that isn’t in your wheelhouse, but don’t stop there.
Refer that work to someone who is perfect. Clients will love you for
this, and other freelancers will reciprocate.

8. Client Late on Payments

It sucks when a client is late on paying you. Here’s a template to help


you collect more of these payments.

The key is to be gentle but firm, not confrontational. First, send a


follow-up email to determine what the issue is (sometimes clients
just forget).

9. Escalation Late Payment

If the email above doesn’t take care of the problem, you may need to
send another email and/or start imposing a late fee.

I know you’re swamped but I didn’t want this to fall between


the cracks and ask you to pay my late fee, so here’s just a quick
reminder that payment for the Project X work I did is due by
[ 9/17 ].

Because of delays late payment can cause in my own


accounting, I typically request a late fee of 1% of the total
invoiced sum for each day that the payment is delayed (not
compounding).

Make sure to give a justifiable business reason for the late fee (it
causes accounting delays, which costs you money), so it doesn’t feel
punitive to the client.

10. Fully Booked Email Template

It’s an awesome feeling to be fully booked because you can approach

there’s a fit, and experiment with a few different approaches. Here’s

you would like to work with me I do suggest moving fast to
make sure you get into my schedule (waiting just means it may
take longer).

Only signed contracts with down payments go into my


schedule, so I’d be happy to explore a few options for you and
have you get the very next slot in my calendar.

This is a crazy simple email that generates five-figures on average

12. The Budget Doubler Template

expand their budget.

way I can do it that will only take one hour. It won't do x but it
will do y.

all about money. Try reducing the budget for your client today using
the words above to gain your client’s trust.

13. Past Client Check-ins & Follow Ups

It’s amazing how few freelancers follow up with their past clients.
Here are some templates to make sure you never miss a follow up:

15. The Weekend Work Email Template

Setting boundaries is key to getting paid what you’re worth.

This template helps you push back on clients that overuse ASAP and
expect you to jump on their project at a drop of a hat.
