Quick Start

How to execute the Quick Start program at the customer


This guideline describes the activities a field engineer needs to execute
in order to deliver the Océ VarioPrint® DP Line Quick Start program to
the customer.

Océ Quick Start

What is an Océ Quick Start course?


The Océ Quick Start is part of the installation of the Océ VarioPrint® DP Line.

Objective: After this introduction the customer can perform the basic operations on the Océ VarioPrint® DP
Line.
Intended for: Field Engineers
t Duraion: 0,5 to 1 hour
Execution: Directly after installing the Océ VarioPrint® DP Line
Target group: (Key) operators, maximum 4

Instructions
The ⇒ sign indicates a demonstration or an exercise that a Field Engineer executes with the customer. Let the
customer perform the actions so that the customer gets hands on as well. For every topic there will be a
reference to the user manuals.
Note: Active use of the user manuals is an Océ objective, also during the Quick Start this will be a valuable tool.

Additional training
For a more in-depth knowledge of the Océ VarioPrint® DP Line, separate training sessions for operators, key
operators and system administrators are necessary. Océ provides education services for these target groups.
Make sure that the customer is aware of the Customer Education Services for the Océ VarioPrint® DP Line.

Overview of the user documentation


For the Océ VarioPrint® DP Line, the following user documentation is available:
■ A User Manual called ‘Operating information’ for the printer
■ Separate User Manuals called "Operating information" for each finishing module and scanner
■ A User Manual called ‘Safety information’
■ Quick Reference Cards for various basic actions
■ Video instructions regarding Printer Operator Care (POC)
■ Product Safety Data Sheets
■ Material Safety Data Sheets

User manuals and other resources can change without prior notice. To stay up-to-date, you are advised to
download the latest resources from:

The printer driver with the proper release for your printer can be downloaded from the printer:
Settings editor > Support > Software > Download printer driver

Before you use your product, you must always download the latest safety information for your product. Before
you use your product, make sure that you read and understand all safety information in the manual entitled
"Safety Instructions".

2) Introduction to the system

The main parts

⇒ Tell the customer that the system is an Océ VarioPrint® DP Line series machine.
⇒ Show the customer the main parts of their configuration.

Item Description Function / Description


1 Operator panel The operator panel is your daily tool to prepare process
and print all your jobs.
2 External paper module The external paper module contains 4 paper trays with a
total capacity of 4,000 sheets.
3 Internal paper module The internal paper module contains 4 paper trays with a
total capacity of 2,000 sheets.
4 Printer module The printing process takes place in the engine module.
Accessing the engine module is only necessary to clear
paper jams or to carry out Printer Operation Care (POC)
actions.
5 Duplex Color Image Reader Unit-D1 The scanner enables you to copy or scan paper
originals. The ADF enables you to copy or scan a stack
of up to 300 originals (based on 80 g/m² or 20 lb Bond
media).
6 Operator attention light The operator attention light enables you to check the
status of the system from a distance.
7 Document Insertion Unit-F1 The inserter contains (pre-printed) cover sheets or insert
sheets to finish your documents.
8 High Capacity Stacker-E1 (first) The stacker stacks a large volume of paper. It can stack
up to 1,000 sheets in the output tray and 5,000 sheets
(based on 80 g/m² or 20 lb Bond media) in both the left
and right stack trays.

9 High Capacity Stacker-E1 (second) The second stacker adds additional output capacity to
your system.
10 Perfect Binder-C1 The Perfect Binder creates perfect-bound books.
11 Paper Folding Unit-F1 The folder folds the output in various ways.
12 Finisher-AF1/Saddle Finisher-AF2 The stacker/stapler staples and stacks the output.
Optional, the stacker/stapler can be equipped with a
Puncher Unit-Bx1 to punch the output.
13 Booklet Trimmer-D1 The trimmer trims the fore-edge of each booklet.
14 Two-Knife Booklet Trimmer-A1 The trimmer trims the top and bottom of each booklet.

The Operator panel parts

⇒ Tell the customer that the Operator panel is a touch screen.


⇒ Show the customer the parts of the panel.

Item Part Function / Description


1 Sleep button Put the system into the sleep mode or wake up the system.
2 Stop button Stop the printing process after a set or as soon as possible.
3 Paper tray button Get immediate access to the 'Trays' section on the operator panel to do
the following (for example):
- Check the content of all paper trays.
- Load a new media type into a paper tray.
- Change the media type which is available in one of the paper trays.
- Open the front door of the printer.
4 USB port Insert a USB drive into the USB port to:
- Print any documents on the USB drive, or
- Scan paper originals to the USB drive
5 'Schedule' button Access the 'Schedule' view to manage the jobs in the schedule.
6 'Jobs' button Manage and print the jobs in the lists of 'Waiting jobs', 'Scheduled jobs'
and 'Printed jobs', or in a DocBox (optional).
7 'Trays' button Access the 'Trays' section on the operator panel to do the following, for
example:
- Check the content of all paper trays.
- Load a new media type into a paper tray, or
- Change the media type which is available in one of the paper trays.

8 System' button Access the 'System' section to do the following, for example:
Check the status of the toner, staples and other supplies.
- Read counters.
- Start maintenance.
- Set up the preferred workflows.
- Change a number of default system settings such as the language.
- Adjust the brightness and contrast of the LCD panel.
- Shut down the printer.
- View the content of the media catalogue or add temporary media to the
media catalogue.
9 Dashboard The dashboard displays information about the system status such as:
- Information about the current printing process.
- Information about operator intervention that is required soon.
- Information about errors.
- Information about the status of the toner reservoir and staple cartridges.
10 Status LED The status LED displays the status of the system:
- Red LED
The machine has stopped, for example because a required media type is
not available or an error has occurred. Operator attention is required now.
- Orange LED
The machine will stop soon, for example because more paper is required.
Operator attention is required soon. The orange light illuminates when the
machine reaches the warning time. The warning time is a time you can set
to determine when the orange light must illuminate. You can set the
warning time in the 'System' view of the operator panel.
- Green LED
The machine is busy printing. The machine can print longer than the set
warning time. Operator attention is not required.
- LED off
The machine is idle. There are no jobs scheduled for printing and no
operator attention is required.

3) Power information
⇒ Explain the buttons and the power states of the engine

The Océ VarioPrint® DP Line has the following switches and buttons:

Item Part Function / Description


On/Off button The On/Off button is located on top of the printer. Using the On/Off button
starts up or shuts down the whole system, including the PRISMAsync
controller.
Sleep button The Sleep button is located at the right-hand side of the operator panel.
Using the Sleep button puts the printer into sleep mode or wakes the
printer up from the sleep mode. When you press the Sleep button, the
operator panel will be turned off too. The PRISMAsync controller remains
on. The Sleep button allows you to switch between the Ready mode and
the Sleep mode. This is only possible when the On/Off button is On and
the start-up phase is completed.

Turn on the system


1. Switch on the finishers.
2. Press the On/Off button on top of the printer, next to the base of the operator panel.

Turn off the system


1. Touch 'System' -> 'Setup' -> 'Shut down system'.
The operator panel displays the message 'Are you sure you want to shut down?’
2. Touch 'OK'.
A message indicates that the shut down begins. When the shut down is complete, the operator panel is off...
3. Switch off the finishers.

⇒ Explain the use of the Sleep mode

The printer can enter the sleep mode in 2 ways:


■ Automatically
■ Manually

⇒ Explain that the use of the Sleep mode timer settings is covered in the Operator training

Note: The timers and settings for the automatic wake-up and shutdown can be defined in the Settings Editor.

Use the sleep mode manually


1. To put the printer into the sleep mode, press the Sleep button at the right-hand side of the operator panel.
The printer will go into the sleep mode when the list of Scheduled jobs is empty.

2. To wake up the printer from the sleep mode, press the Sleep button again.
The printer will warm up. The warming-up time depends on how long the printer was in the sleep mode.

4) Add the supplies

Refer to: Chapter 4 and 16 of the Operating information manual

Add paper
Paper can be added during a print run.

⇒ Explain the customer how to load standard paper in the paper trays
⇒ Let the customer perform a paper load

Put media ‘face up and the header up’ into the paper tray. This is the default. Other orientations of the media
depend on the application.

Add toner
⇒ Tell the customer only to use the Océ VarioPrint® DP Line toner
⇒ Show the location of the toner reservoir
⇒ Refer to the User manual how to refill toner
⇒ Show the instruction movie on OKB

Add staples
⇒ Tell the customer only to use the proper Océ staples
⇒ Let the customer take out and put back the cartridge

5) Job management on the Océ VarioPrint® DP Line

⇒ Show the customer the ‘Jobs’ menu.

The jobs in the job queue can be:


■ Print jobs from the network
■ Copy jobs from scanned originals
■ Print jobs from a DocBox

⇒ Show the functions related to the job queue


⇒ Move a job to Scheduled jobs
⇒ Delete a job
⇒ Move a job to the top of Scheduled jobs
⇒ Hold and release a job with the ‘Stop’ button and touch panel ‘Continue’ button. Press the
‘Stop’ button once to stop a job on set boundary, press the ‘Stop’ button twice to stop the job
as soon as possible.

6) Print
⇒ Show how to make a basic print with use of the printer driver.

7) Make a basic copy


⇒ Show the procedure of making a copy with the help of the Quick Reference Card

8) Print from USB

12) Error handling


General
⇒ Tell customer that there are three kinds of errors: errors that can be recovered by the
operator, errors that can be recovered by the machine and errors that can only be recovered
by an Océ service technician
⇒ Tell the customer how to handle in case of an error. Read the message on the operator panel.
Follow the instructions on the operator panel.
Note: Follow the steps in the order that is displayed on the screen. The system keeps track of
the actions and recovers from this error.
⇒ The customer has to consult the OKB first before calling the Helpdesk. If the OKB does not
give a solution, the customer can call and provide the Helpdesk the error code and a
description of the fault situation.

Paper jams
⇒ Show the customer the possible locations of the paper jams (green handles)
⇒ Tell the customer how to handle in case of an error
1. Read the message on the operator panel.
2. Follow the instructions on the operator panel.
