Scenario 1

Steve Adams works as a Product Owner at Hedgehog Labs. You are working
with him to design the workflow of a Scheduling tool that will allow the users
to customize and set their shifts for the upcoming month. He and his team of
developers are on standby to develop (front-end and back-end) the solution.
The deliverable from your end is scheduled for EOD (today), but you realize at
around midday that your team will not be in a position to send it as the
designer who was working on it misunderstood the workflow and this will
require additional 2 days to fix. Write an email to Steve about the same.

Email

Hi Steve,

I hope this email finds you well. I wanted to reach out to let you know that there has been a
minor setback with the Scheduling tool workflow deliverable that we are scheduled to send out
today.
It turns out that the designer working on the project misunderstood the workflow, and it will
require an additional 2 days to fix. I apologize for any inconvenience this may cause, and I want
to assure you that we are doing everything we can to get the revised deliverable to you as soon
as possible.
Please let me know if you have any questions or concerns. I will keep you updated on our
progress.

Best regards,
Saurabh.

Scenario 2
Krishna has been working in your company and in your team for 3 years. Over
the past one year, there has not been any substantial growth in his
performance or contribution to the team. Krishna is due for an appraisal in 3
months and is really optimistic about it as he is also about to get married
later this year. The management has informed you that while he is a
promising member of the team, he will have to drastically improve his
performance before the end of the quarter just to stay onboard, getting a
handsome raise will be out of the question given his inconsistent
performance. Write an email to Krishna about his performance and setting
the expectations.
Email

Hi Krishna,

I hope this email finds you well. I wanted to reach out to discuss your performance over the past
year. While you have been a valuable member of our team for the past three years, I have
noticed that there has not been any substantial growth in your performance or contribution over
the past year.
I understand that you are due for an appraisal in 3 months, and that you are optimistic about it.
However, I want to set the expectation that given your inconsistent performance, getting a raise
will be out of the question. In order to stay onboard with the company, it is essential that you
drastically improve your performance by the end of the quarter.
I understand that you have a lot going on, including your upcoming wedding, but I want to
assure you that we are here to support you in any way we can to help you succeed. Please
don't hesitate to reach out to me if you have any questions or concerns.

Best regards,
Saurabh

Scenario 3
Ajay works as a Sr. Business Analyst at Citrus Telecom who is a key customer
for you. Ajay is in-charge of facilitation at Citrus and helping you with the
recruitment of users and making stakeholders available for reviews.
Your team has complained that:
a. Users who come on the call are not often briefed on the agenda
which requires the moderator at your end to set the agenda for 8 to
12 back to back sessions that may be conducted in a series.
b. They arrive 10 to 20 minutes late and are often not versed with how
the conferencing (GoTo Meeting) is to be used.
c. You do not receive a confirmation on the calendar invite from the
attendee or Ajay which means you learn about a no show once a call
has already started.

Maintaining a good rapport with him is essential for the long-term work
relationship. However, you can’t afford to have him take your or team’s time
for granted. You have frequently seen Ajay pass the blame and raise
escalations to the product team for the small issues, unfortunately, there is
nobody else at his end that you could coordinate with instead. Write an
email to Ajay expressing your and your team's concerns.
Email

Hi Ajay,

I hope this email finds you well. I wanted to reach out to express my concerns about some of
the issues we have been experiencing during our conference calls.
Firstly, I have noticed that the users who come on the call are not often briefed on the agenda,
which requires the moderator on our end to set the agenda for 8 to 12 back-to-back sessions
that may be conducted in a series. This is taking up a significant amount of our time and
causing unnecessary delays.
Additionally, we have noticed that the attendees often arrive 10 to 20 minutes late, and are not
always familiar with how to use the conferencing software (GoTo Meeting). This is causing
further delays and hindering our ability to effectively collaborate.
Finally, we have not been receiving confirmation on the calendar invites from the attendees or
from you, which means we only learn about a no-show once the call has already started. This is
frustrating for our team and makes it difficult for us to plan our schedules.
I understand that maintaining a good rapport with you is essential for our long-term work
relationship, but I also cannot afford to have our time taken for granted. I hope you can
understand my concerns and take steps to address these issues going forward.
Please let me know if you have any questions or concerns.

Best regards,
Saurabh
