INTRODUCTION

The purpose of this report is to explain current difficulties in an organization. These


concerns must be addressed and minimized. NGOs help the underprivileged and needy
members of society by providing them with opportunities to become self-sufficient. Our
skillsets as Management students are employed to support the NGO in its functional
tasks such as fund raising, digital marketing and creating awareness among the lower
strata of the society about the benefits of education. We developed techniques to
improve the organization's social network. The overarching goal of this initiative is to
help the lower strata of our society to develop. Non-governmental organizations
(NGOs) act as a bridge between the government and the general people. The students
require assistance in polishing their present talents, which might benefit the
organization in effecting change for the wider public.

PROFILE OF THE ORGANIZATION

BE FOR NATION is a foundation that is formed to serve and support humanity for public
welfare, and for this, it specializes in different fields such as Health, Education, Employment
an,d others while laying more emphasis on Education. Currently, it is engaged in educating
students belonging to lower strata of society.

The main aim of BE FOR NATION is to upscale education in society, especially for the socially
deprived /poor and economically weaker section of society. Because they feel that illiteracy is
the cause of every social evil, they want to destroy it by giving them Proper education.

Nowadays, education is divided into two parts in our system. One part is for the rich and
middle-class people, where these categories are getting Quality education and every learning
asset, but the second part, who are socially deprived or poor, are lacking behind in getting the
same benefit as in the first part. So, they are working for the second categories people who are
poor and socially deprived.

Vision
“BE FOR NATION,” Supporting Humanity, is a foundation led with specialization in different
fields such as Health, Education, and Employment, etc, But Education as its primary concern.

Barriers to educational success

 Cultural differences

Cultural differences that generate integration difficulties as well as prejudice and


xenophobia against migrant families are major deterrents to accessing equitable
educational opportunities. These prejudices might be established through restrictive
restrictions, or they can be informal yet have a negative impact on a school's
learning environment. Students who do not feel accepted or welcomed at school
because of their migrant status are less likely to continue their education.
Furthermore, adolescents who struggle with cultural adjustment frequently fail to
build relationships and make friends at school, which has an impact on their
academic progress.

 Language differences

Language barriers are another significant impediment to academic achievement.


Migrant students who speak a language other than the prevalent language of the
region struggle with basic understanding and literacy, affecting their academic
progress. Even kids who are competent in the region's prevalent language but
struggle with the written or academic form of the language are frequently put in
lower-level or special education programs, which can jeopardize their academic
performance. Furthermore, even if a student has a high level of language
acquisition, cultural variations such as quick answer replies, unexpected emotions,
and mannerisms might be misinterpreted as a language deficit. Schools that have
considered establishing a distinct program for second language acquisition
encounter obstacles due to limited resources and a lack of participating students.
Language difficulties for migrant students pose a substantial hurdle since language
insufficiency is frequently associated with estrangement and derision from peers,
and in some circumstances, academic punishment.

 Lack of information

Migrant parents are frequently unaware of their children's right to an education or


are unfamiliar with the local public education system's structure. Many migrant
farmworker parents in the United States, for example, are unaware that they have a
right to keep copies of their children's transcripts and school records, which are
required to enroll pupils in new schools. This makes school transfers more
complicated and takes time away from the student's education. Parents must spend
their efforts after moving to a new location on finding jobs and caring for their
families, which frequently means they do not have time to research educational
possibilities for their children. Furthermore, the majority of migrant parents speak a
foreign language, which hinders their capacity to acquire information.
 Living conditions
Migrant children are four times more likely than non-migrant children to live in
bad, congested living situations. Many migrant farmworkers live in migrant camps
or temporary homes with a high number of extended family members. This
concentration of individuals in a compact, dimly illuminated, barely furnished
environment is not favorable to learning. Migrant farmworker camps are often
placed near agricultural fields and are not always within walking distance of local
schools, which creates difficulty when dependable transportation is also an issue for
some families. Many migrant students' living arrangements have few kitchens
equipment or refrigerators, which means they spend more time preparing meals than
studying. Some migrant worker lodgings also lack fresh drinking water or sanitary
services, increasing the danger of migrant students being ill.

 Cost
The expense of education might also obstruct equitable access to education. Migrant
families, particularly migrant farmworker families, have poor socioeconomic
positions and cannot afford to pay additional school fees. Even in nations where
there are no additional costs for migrant children, there is sometimes a financial
disincentive to sending a kid to school when they may be working to augment their

parents' finances.

PROJECT OBJECTIVES

The NGO doesn’t have a social media page, which is why it’s less known in Bangalore.
Their main branch, which is situated in Bihar, does have a social media page and a website,
but their Bangalore branch doesn’t.
The NGO doesn’t have enough resources for the proper recording of data. They keep their
records in books that have become outdated and consume a lot of time to sort or search for a
particular record. They continue to record data in books since this was how they were taught
and the present staff doesn’t have the proper idea or skills to create an organized way of
recording data.
Apart from it, the NGO lack funds, and probably that’s the reason they are unable to market
itself well.

The project is taken up with the following objectives in mind:

 Raising funds for them

 Creating their social media pages and getting them noticed

 Sorting and organizing all the invoices digitally.

The above objectives are important for any organization and not just a non-profit. The
project’s motive is to make the work of the staff easy by providing them with sufficient
funds, having the power to post on social media, and digitizing all the records in excel. This
will help them to easily access the data whenever they want and there will be minimum
waste of time to search for records in books. Data can be properly classified, and sorted and
can be easily extracted according to the needs of the staff. The objective is to organize the
records properly so that the staff can easily access the data which will result in the smooth
functioning of operations and make the process of the organization more efficient using our
knowledge and experience.

PURPOSE OF THE STUDY:

The purpose is to study and evaluate in depth the working of the organization and analyze how
they carry out their day-to-day operations. The study is not just limited to understanding their
workings but also helping them obtain a forward-looking approach to reaching out to
prospective funders, having their presence felt, and raising funds. The study was made to help
them find ways to promote their organization, which in turn would help them get more funds.

METHODOLOGY

The methodology refers to the precise methods or strategies used to locate, select, process,
and analyze information on a topic, and it is used to gather information and data in order to
achieve the study objectives.
My social concern project was an on-the-ground initiative that required us to participate
physically in the organization's functioning. The members provided detailed information
on the NGO's operations and indicated the issues they had encountered since the NGO's
beginning.
Their bookkeeping system was examined, as well as the manner in which transactions and
records of all cash and expenses were kept. Observed the existing techniques of account
maintenance by members and provided enhanced digital methods to input and maintain the
same.

SCOPE OF THE STUDY:


The scope of the study is limited to the NGO taken up for the project. Several methods for
promoting the NGO, improving operations, and raising funds have been suggested after
understanding the economic, social, and technological factors pertaining to the NGO.
However, since the social, technological, and operational issues faced by most of the NGOs
are similar, this study can be applied to other organizations as well.

SOURCES OF THE DATA

PRIMARY DATA:

The primary data was collected by discussing with the NGO’s founder and staff.

SECONDARY DATA:
The secondary data was collected through interactions and research on other NGOs of
similar standing.

LIMITATIONS OF THE STUDY:

 The study has been conducted keeping in mind the policies of the NGO and may not be
universal in nature.
 The data used in the study is secondary and may not be universally applicable, and can
lead to discrepancies or anomalies in the study.
 The financial data of the NGO wasn’t shared with us, as it was said to be as
confidential.

CURRENT SITUATION

Although the orphanage was set up in 2016, there have been minor/no infrastructural
upgrades owing to the organization's dearth of funds. The organization funds and maintains
the livelihood of 30 children who are amongst the following categories:

1. Orphans

2. Economically backward

3. Single parent with low means of sustenance

The typical schedule of the children being taken care of in the organization is as follows:

While efforts have been taken up to include some vocational activities during the current schedule,
these efforts have not been able to take shape owing to lack of proper infrastructure, funds and
training staff.

There is adequate living space and rooms for the children in the ashram, which has been divided
into separate rooms for girls and boys and a common prayer hall cum study area. Moreover,
there is an adequate-sized ground with some playing equipment and permanent fixtures such as
see-saws, ladders, etc., donated during the early years of the NGO’s establishment.

There is a staff of 4 who live within the campus and undertake the day-to-day activities of the
NGO such as maintenance, cooking, organizing prayers, etc. They are managed by Maate
Kasturidevi who is the secretary of Be for nation Charitable Trust and the head of the
orphanage. All the staff is managed and their salaries are paid by the Trust through the
donations it receives.

There is no system in place in order to receive donations in the name of the orphanage alone and
any donations that are ought to be received are to be sourced through the Trust which handles
the finances of the entire organization.

These funds are received by the ashram in the first week of every month and are allocated
and utilized in procuring daily essentials, food materials, books, and stationery for the children
and other unforeseen expenses which arise from time to time.

Another key observation is that there is no system in place for prospective people looking to
adopt orphans to approach and undertake the process of adoption. While the process of adoption
is complex in India, there is no know-how on the process with the NGO. This has hindered the
organization in not being able to provide better opportunities and life to the young children to
whom the NGO caters. While this is a good way of better providing for the orphans, it also
eases some of the pressure on the ashram to cater to a growing number of children.

Social media presence is absent for the NGO. While it may not be financially viable for the
organization to maintain a website of its own, given its current situation, there have not been
any previous attempts by either the orphanage or the Trust to get into the social media space.

It is known that social media is a powerful tool to take up issues, conduct promotions, advertise,
and even fund raising. However, the absence from this space is greatly affecting the NGO to
avail its benefits and gain prospective donors and parents looking to adopt children.

DETAILED DESCRIPTION OF THE PROJECT

The company did not have its social media handles earlier, so it struggled to grab
attention. We, as a group, marketed them by providing them with an Instagram page and
its credentials to them and posted on behalf of the NGO to gain the attraction of
interested people.

Currently, the company enters data on paper and keeps physical books on a monthly
basis. This generates a lot of unnecessary paperwork and increases the difficulty of
completing the task efficiently. Physical documentation also takes longer to manually
enter all of the data, and it might take hours to weeks to transmit the data if necessary. It
is also difficult to maintain since the real paper is perishable and does not survive
indefinitely. The materials purchased are also exceedingly expensive and must be
refilled on a regular basis. There are various other disadvantages of using physical
books for data entry/accounting hence the objective of this project is to digitize the
financial records of the organization. The focus is on entering all the inflows and
outflows of transactions that occur in the organization using excel. Various sheets will
be used for monthly-wise inputting of data.

Accounting is the practice of documenting all financial transactions that take place in a
firm or organization. As a result, regardless of how minor a spending or gift is, the
organization must keep all records in excel and account for each and every transaction
in a clear and straightforward manner. This will assist us in identifying any funding

shortfalls that may exist. Non-profits must keep accurate records since the majority of
the money donated to such groups is tax deductible. As a result, it is important for
enterprises to explain all types of transactions that pass through the company in order to
avoid any type of fraud.

Since their monthly expenses include rent & electricity, salaries, midday meals,
stationery items, and other amenities for children. The records are needed to be
digitized with proper invoices. Since they had all their records in books, We suggested
digitizing the records on a monthly basis. An Excel sheet was created for all the
expenses that took place in a month. All the expenses were recorded with their
amounts date and month wise with their invoices attached as proof of the transaction.

FINDINGS/ LEARNINGS

This assignment taught us about how an NGO works and the many administrative
functions of a non-profit. Learned about the day-to-day activities of Be For Nation.
With this project, we learned that the organization is actively helping and uplifting the
children. They’re also providing basic amenities and facilities. The organization is
working towards spreading awareness about literacy and poverty among the parents of
these children. This project will help make all their processes efficient and effectively
lend a helping hand to the needy and poor.

By helping them make their social media handle, updating their way of recording the
data, instead of books to excel, and raising funds for them, We learned that this process
is very productive. Using social media to post about their work in their NGO benefits
them by creating awareness among interested people. This also helps in crowdfunding
as people think that the NGO is a trusted one.

When they have all the documents on paper, finding a certain one will always take time.
They will have to go through several documents before they discover the one, they are
looking for, which I witnessed personally when I was told to approach the accountant
to collect the books of record. But by digitizing, it may be lowered to a minute or less.

It’s safe and secure, by looking at the conditions of the books it was necessary for them
to adopt a new method of recording the data. Digitization improves the security and
secrecy of a document. Because scanned papers may be traced, only certain users can
access them if necessary.

This will also reduce the cost of storing data, where they had to keep physical books in
the office and maintain them. They can make use of the money for some other
important things.

RECOMMENDATIONS

The company could be more transparent about its finances so that we could have helped
them by providing financing advice. Apart from Instagram, the company should be
active on other social media handles like LinkedIn and Facebook to grab more attention
from interested people. The company must enhance its procedure for entering
transaction data and storing it in a reliable manner utilizing excel or other software.
Paper-based procedures must be abandoned in favor of new, enhanced online ways in
order for operations to be successful and resilient. The NGO must classify all of its
funds and costs. They must preserve separate files for all such types of cash and store
backups in computers in the form of excel spreadsheets as well. As a result, their
transactions will be visible to both the government and the members who work for
them. This eliminates the possibility of fraud and corruption, such as money
embezzlement.
