Let’s Learn English school administration

Welcome to Let’s Learn English

Thank you for joining Let’s Learn English. We hope that
you will be able to improve your English through using this
website. There are lots of exercises for you to work
through, and help is always available through the
Grammar Doctor facility.

How to use Let’s Learn English

The Placement Test
The first thing to do is take the Placement Test. You can find this in the Study Centre, which is on
the home page of Let’s Learn English. There are 100 questions, and they start easy, but get more
difficult. Try to do the Placement Test completely, without having a break. When you have finished,
press Grade Test. You will get a score, which will give you an idea of your level of English. If you
look at the questions you get wrong, next to each one there is a button called Notes. This will direct
you to where you should look for information about the grammar or vocabulary point being tested in
the question you got wrong.

Choosing units
From the Study Centre choose Select a Unit from the menu. You will see that the units are divided
by type of exercise and level. Choose the area of English you want to study, and the level you are,
and then choose Study this Unit. You will now see another menu of units for you to study. Choose
one and then you will see an introduction, followed by a series of exercises. Read the introduction
carefully before trying to do the exercises.

Finishing a level
When you have finished all the exercises in your level, take the End of Level Test, which can be
found in the Study Centre. This will test your knowledge of what you have learnt whilst studying
with Let's Learn English.

The Grammar Doctor

The Grammar Doctor is always available for you to ask questions to. The questions can either be
about something you have read in Let's Learn English, or something ou have seen or heard away
from the site. Just find the link to the Grammar Doctor from the Study Centre menu.

Let’s Learn English school administration

Introduction
Let’s Learn English has a specially designed administrative account manager, which gives teachers
control over how their students are grouped, and enables teachers to monitor their students’
progress as they access the site.

Administrator login
When a school purchases Let’s Learn English, they
are provided with an administrative account. This
consists of a username and password, for
example:

Username: Ryan School

Password: Px59Pew

Every time the administrator logs in, using their username and password, they are directed to the
Site Administration menu, which consists of the following items:

 Add member
 Currently active members
 List members
 Statistics per unit
 Statistics for a class
 Study programmes

We’ll now go through each of these options.

Add member
An administrator will want to create usernames and passwords for their students. They do this by
filling in the form given on the screen:

Field name Notes Example

Username We recommend you use the students full name, in angussavory,
lower case, without any gaps. It may help you find savoryangus
students when sorted, if you start with the
surname.
Password You can give each student their own password, or English4
the same password. For security reasons, it is
generally a good idea for passwords to include a
mixture of letters and numbers, and be at least 6
characters. This needs to be balanced against
making it memorable.
Retype password Enter the same password again to make sure you English4
entered it correctly.
E-Mail Optional: Type in either your student’s e-mail or the angussavory@hotmail.co
school’s e-mail m
Tutor/teacher Optional: This is advisable if the administrator Keith Jones
wishes to break down a large list of students into
classes grouped by teacher or tutor
Class/course Optional: This is advisable if the administrator ENG102
wishes to break down a large list of students into
classes grouped by course or class

using the system at a particular moment.

By inputting, for example, 500 usernames, grouped under 10 teachers and 20 classes,
administrators will be able to quickly and easily receive a profile of individual classes and the
students within those classes, making the analysis of student progress far easier. The maximum
number of students allowed to be logged on to the system at any one time will depend on the
licence for Let’s Learn English you purchased.
As an alternative to having individual usernames for each student, it is also possible to use only one
username and password for all students. This will make logging on very easy, since students do
not need to remember individual usernames or passwords and will mean you do not need to
register each student. However, it will mean that individual students’ usage statistic cannot be
compiled.

Currently active members

“Active members” shows a list of your students that are currently logged in to Let’s Learn English. It
won’t show details of any students who are not logged on. This allows you to see if students are
using Let’s Learn English when they should be. The display will show the date and time they logged
in and were last using the system, as well as details of the computer they are using.

List members
This option gives the administrator a profile of the students within a class, group or entire school,
and enables the administrator to monitor students’ progress.

The main table that you will see lists all the students in your school for which you have created
accounts. The six columns show the following information:

 Username: The name you have given the student

 Tutor (class): The student’s teacher, followed by the class name, if given
 Type: The type of account the student has been given (this will be Standard)
 Posts: The number of times they have contributed to the user forums.
 Logged in: The last time they logged in to use the site
 Registered: The date and time when they were registered by you

The table automatically lists all the students in a school. You can change this list by choosing one of
the options in the drop down list: “Sort members by”. You will probably be most interested in
viewing students by either Tutor/Teacher or Class/Course. There is a search facility which
enables administrators to get straight to an individual student’s profile. Simply type in the student’s
username and click on Search, or click the first letter of their username.

Viewing a member’s profile and statistics

By clicking on the student’s name, you will receive a profile of that student. The first part of the
profile lists the student name and password, which can be altered if need be.
Underneath, there is a record of the student’s performance in each unit of Let’s Learn English that
they have attempted.

Each area of English on the site is listed separately. Underneath there is a table which lists:
 Subject: The title of the unit
 Date: The date and time that it was last accessed
 Duration: How long the student spent on the unit. This is timed from the moment they view
the unit until the time they ask for the exercise to be graded. If they do not take the test at
the time of viewing the unit, they will have no entry for duration or score, but the date of
access will still be noted.
 Score: The percentage score that the student attained in the exercise that accompanied
the unit.

Statistics per unit

You can also view the results your students have attained per exercise, as opposed to by student.
In this way, you can see which areas Let’s Learn English students are having difficulty with, in order
to concentrate on these areas more thoroughly in class.

You get a list of all the units that your students have accessed. Select one of interest in order to
show a list of all your students who have taken that unit.

Again, by selecting from the dropdown menu

“Sort members by” you can filter the results by
class or teacher for example.
You will see five columns, which give the
following information:

 Username: The students who have accessed this unit

 Tutor (class): The class this student comes from
 Date: The date and time the student accessed the unit
 Duration: How long the student took to get through the unit
 Score: Their percentage score in the exercise that followed the unit.

Statistics for a class

You can also view the results an entire class has attained in a particular time by choosing this
option. Simply write in the class for which you wish to view results, and the time period during which
you wish to view them and press Report. You will get a simple report of the students in your class,
the number of tests they have taken and their average score. This is a good way of determining
which students are particularly strong or weak within a class. For more detailed information for each
student, just click on their name.

To create a class list for your students, input them as per the instructions for Add member. Once
you have finished, choose List members, and locate the students you wish to put in a class. Click

on them to get their profile. You will see the fields Tutor/teacher and Class/course. This is where
you put the teacher’s name or the class name for the student. The next time you choose List
members from the main administration menu, you will see the class and teacher also recorded for
each member. To view all your students by class, rather than alphabetically, choose Sort members
by Tutor/teacher or Sort Members by Class/Course

Study
Programmes

This utility allows

administrators to create
learning pathways for
their students, that is, to
create mini courses within Let’s Learn English for their students to take, which does not allow them
to have free access to all parts of the site.

1. Login to the site using the following fictitious username and password:
Username: oxford
Password: cambridge

2. Choose Study Programmes: Add and amend programmes of study (courses). Add and
amend units associated with a programme.

3. From the drop down menu, choose Programme: OXFIntGra - Intermediate Grammar (This
course has been created for you. Look at it, and then you’ll be asked to create your own course.)

4. As you can see, a mid-intermediate course, consisting of twenty units, has been created by
putting the unit order number on the left, choosing the unit from the drop down menu at the bottom.

5. Now, go back to your admin page, and choose Add New Programme, and choose Go.

6. Complete the boxes marked Programme/Course Code (eg Listening, Pre-int); Title,
Comment/Description, Coordinator (your name).

7. Your course is for pre-intermediate students, so in Level (restriction), you should choose Lower
Intermediate

8. Access type: Choose Guided, as you want the students to follow each unit in order

9. Test attempts allowed: how many times should the person be able to complete a test, to
improve themselves. It's up to you. In the example course 1 atttempt only has been selected.

10. Notes (Private): Only complete this for your own notes, to help you perhaps if you're giving a
demo of the facility.

11. Now Save the Programme.

12. Now you will go back to the administration page. Choose the course you have just created, and
press Go

13. You should now be able to choose units from the Lower Intermediate level of Let's Learn
English, and place them in unit order for the course, by putting 1 in the unit order box, and scrolling
down the lower intermdiate dropdown menu and selecting listening units.
You have now created a course.

14. Now, go back to the administration main menu, and choose List Members to get to all the
members created by the Oxford Site Manager. You will find "bobwillis". Choose this and look down
to see "Programme". You will see that the Intermediate Grammar course has been chosen for this
student. You can change this if you want to the course that you have designed. This will ensure that
the student " bobwillis " is restricted in use to only those units created by you for the course.

15. Login as " bobwillis " and choose Your Programme from the left-hand menu. You will see a
restricted number of units. You can only choose the units presented to you in the order in which
they are presented. Once you have completed one unit, you can go on to the next.
