CHAPTER 4: WORKING WITH BOM AND ITEM


CONFIGURATIONS
Objectives
The objectives are:

• Describe the purpose and advantages of BOM and Item


configurations
• Describe the purpose, use, and setup of configuration groups, routes,
and rules
• Describe, set up, and use Item configurations

Introduction
Working with BOM and Item Configurations presents two configuration types in
Microsoft Dynamics® AX 2009:

• BOM configurations: These are used to set up a standard


component combination specified for a BOM item. If an item will be
produced in several different variations, for example, if a home video
system will be sold in different colors, models, or sizes, and each
item must be tracked, either a new item number can be created for
each variation, or the user can set up a BOM configuration for the
item.

Because new item numbers can add significantly to the number of


items maintained in inventory, it is frequently a good idea to use
BOM configurations instead.

To set up BOM configurations for an item, the user must create configuration
groups, routes, and rules.

• Item configurations: When an item is available in different


variations, and all configurations have, for example, the same price
or delivery time, it is good practice to use item configurations,
instead of creating many individual items that follow the same
pattern.

The Item Configurations lesson includes a demonstration that shows


the item configuration setup. It also includes information about how
configuration routes and rules that are set up on the BOM work
together with the item configuration.

Scenario
The Contoso Entertainment USA Company has many home theater systems that
are produced in the same manner. These systems offer various features that are
interchangeable, for example, different color and size DVD players and
subwoofer models. When the order processors use item configurations, they only
need to set up one item for the DVD player, and can still provide their customers
with the available combinations of DVD players and subwoofers that the
customers want.

Configuration routes are set up to determine the sequence in which configuration


combinations are made and configuration rules are set up to prevent the selection
of invalid combinations.

Purpose of BOM and Item Configurations


The purpose of BOM and Item configurations is to enable more specific
inventory management and master scheduling for each item. A record in the Item
form contains information about the base data, on-hand inventory, and
transactions on that item. If an item is in several different variations, for example,
colors, models, or sizes, and each item must be tracked, there are two options:

• Create a new item number for each variation


• Make configurations for the item

The advantage of configurations is that only one item number is required for the
BOM. Also, because the base data is the same for all configurations, only the
information pertaining to the basic BOM has to be maintained. However,
relevant item configurations must be specified for each item transaction.

For example, the Subwoofer model 03, produced by the Contoso Entertainment
USA Company, is a BOM item. The black and silver subwoofers are the two
configurations of this model. This means that they have the same item number as
the Subwoofer model 03, but each has its own configuration number.

BOM Configurations
Even though configurations can be created and maintained for all item types,
Configuration groups, rules, and routes only apply to BOM item types. They are
used to configure BOM item types when there are various choices in an item
group, such as different colors or models.

Configuration Groups
In Microsoft Dynamics AX 2009, users must first create the Configuration group
and then create the BOM lines. Configuration groups are used to group the item
numbers in the BOM. To configure a BOM, select one item from each
configuration group.

If you are using configuration groups, the system selects the BOM line that is
specified on the configuration group on the BOM.

Example: Bicycle Configuration


Imagine that a particular bicycle comes in two different colors: red or blue.
Because there are two bicycles, it would be logical to create two BOM items,
each with its own item number (color) on the BOM lines.

Alternatively, one BOM item (one item number for the bicycle) can also be
created, where a choice is made between the two colors. In this case, the two
items on the BOM lines (colors) are allocated to the same configuration group
that may be called Colors. In this manner, two configurations, one for each color,
can be created for the BOM item. The BOM item number, a bicycle, is entered
on a sales order line, and the desired configuration, or the bicycle color, is set up
in the Configure item dialog box.

In theory, a complete bicycle can also be defined as one BOM item that consists
of different frames, wheels, colors, and handlebars. The different combinations
are chosen during configuration. The benefit of this is that a BOM item does not
have to be created for all the possible combinations that exist. However, to use
this option successfully, different combinations must share the same general data,
which is specified in inventory base data.

lesson.

Procedure: Creating a Configuration Group


To create a Configuration group, follow these steps:

1. On the Navigation Pane, click Inventory management > Setup >


Bills of materials > Configuration groups.
2. Click the New icon.
3. In the Configuration group field, type a unique identifier.
4. In the Name field, type a short description of the Configuration
group.
5. Click the Save icon and close the form.

Procedure: Creating a Configuration Group in the BOM


Line Form
Configuration groups can also be created in the BOM line form using the Create
configuration group function. To use this function, follow these steps:

1. On the Navigation Pane, click Inventory management > Common


Forms > Bills of materials.
2. Select the BOM and then click Lines.
3. Create a BOM line and click the Item number arrow to select the
item.
4. In the Configuration group field, type the identification of the new
configuration group. For example,” Speakers“.
5. Press TAB or ENTER.
6. In the Create configuration group form, in the Description field,
type the name of the configuration group. For example, type “New
Speakers”.
7. Click OK.

A new Configuration group is added to both the BOM line form and the
Configuration group form.

Scenario: Assigning Items and Configuration Groups


Emil, the product designer at the Contoso Entertainment USA Company, must
set up a configurable BOM for a new projection system. Knowing that the DVR
and PROJ configuration groups are already set up, he does the following:

• Assigns an item to each standard and high-definition digital video


recorder (items 1601 and 1605) and attaches the configuration group
DVR to each item.
• Assigns an item to the two models of LCD video projectors (items
1501 and 1502) and attaches the configuration group PROJ to each
item.

Because the home theater system BOM is still under development, these are the
only items that are added. The items have not yet been set up.

Demonstration: Assigning Items and Configuration


Groups
To assign items and configuration groups to a BOM, follow the steps:

1. On the Navigation Pane, click Inventory management > Common


Forms > Bills of materials.
2. Click the New icon.
3. In the Name field, type “Home Projection System”.
4. Click the Item group arrow and select “Projectors”.
5. Click Lines.
6. Click the Item number arrow, and then locate and select “1601”.
7. Ensure that the Quantity field displays “1”.
8. Click the Configuration group arrow and select “DVR”.
9. Click the New icon.
10. Repeat steps 6-8 for item 1605.
11. Click the New icon.
12. Click the Item number arrow, locate and select “1501”.
13. Ensure that the Quantity field displays “1”.
14. Click the Configuration group arrow and select “PROJ”.
15. Click the New icon.
16. Repeat steps 12-14 for item 1502.

Configuration Routes
Configuration routes control the sequence in which item configurations are
selected.

For example, the size of the subwoofer model depends on the type of injection
molded speaker model and the size of machine screws that are used. Therefore, it
is logical that the first selection is the Housing configuration group. The second
selection will then be the Fasteners configuration group.

The following graphic illustrates a configuration route for an item that reflects
the following sequence:

Definition of Configuration Routes


Do not confuse Configuration routes with Production routes. Production routes
define how to process several different job types, such as setup, process, and
queue jobs; they are used during scheduling, job management, working time
calendars, and capacity reservations. Configuration routes specify the order a
BOM is configured.

Configuration routes are set up on the Configuration route tab of the BOM
form.

ROUTE SETUP

The Configuration route form can be accessed directly from the:

• Item form, by clicking BOM > Configuration route


• BOM line form, by clicking Configuration > Configuration route

Procedure: Creating a Configuration Route


To create a Configuration route, follow these steps:

1. On the Navigation Pane, click Inventory management > Common


Forms > Bills of materials.
2. Create or select a BOM that requires configuration routes.
3. Click the Configuration route tab.
4. If a new line must be added, click the New icon on the toolbar.
5. Click the Configuration group arrow and select the relevant
configuration group.
6. In the Name field, type a brief description of the route. This field is
optional. The Configuration group name field is automatically
populated with the name of the selected Configuration group. This
name is used during configuration when no route name has been
designated.
7. Click the New icon on the toolbar to add the next group in the
sequence.
8. Repeat steps 4-7 for all remaining groups.
9. Click the Up and Down buttons to change the order of sequence.

Example: Configuration Rule


Configuration rules limit the combination of features that are associated with
each other.

For example, a new home theater system in production is not going to be made
with a black DVD player and a silver satellite speaker model, because this has
proven to be a poor seller. When Susan, the order processor, creates an order for
a home theater system, she first selects the DVD option, and then the satellite
speaker option. Because rules have been set up that limit the combination of
features for this system, the order processor is only able to select a DVD player
and a satellite speaker model that go together. In this case, a home theater system
with a black DVD player and a silver satellite speaker model is not an available
combination.

If a customer does request a home theater system with a black DVD player and a
silver satellite speaker model, the order becomes a special order item and the
order is sent to Product Builder for configuration.

Procedure: Creating a Configuration Rule


To create a Configuration rule, follow these steps:

1. On the Navigation Pane, click Inventory management > Common


Forms > Bills of materials.
2. Create or select a BOM that requires configuration rules.
3. Click Configuration rules.
4. Click the Configuration group arrow and select the group to which
to add a rule. The field is related to the content of the Item number
field.
5. Click the Item number arrow and select the item that this rule will
apply to.
6. Click the Method arrow and select from the options in the following
table.

Method Effect
Deselect The item number specified in the Derived item number field
cannot be seen in a configuration and, therefore, cannot be
selected.
Select Only the item number specified in the Derived item number
field for the derived configuration group can be selected and is
automatically inserted during configuration.

7. Click the Derived group arrow and select the configuration group to
be selected or cleared, depending on the method selected in the
Method field.
8. Click the Derived item number arrow and select the item number to
be selected or cleared, depending on the method selected in the
Method field.
9. Click the Derived configuration arrow and select the configuration
to be selected or cleared, depending on the method chosen in the
Method field.

Example: How to Use Configuration Rules


In Microsoft Dynamics AX 2009, users can set up the following Configuration
rule for the Housing configuration group, shown in the graphic for item 1162,
Satellite speaker Model 02, BOM 1162-1-1.

The rule states the following:

If item 7041 is selected for this configuration, only item 5011 can be selected.

Lab 4.1 - Create and Use Configuration Groups


Scenario

As the assistant to the product designer, you have been asked to set up a
configurable BOM for a new home projection system. A new Configuration
group named LCDP must be created because this home projection system will
only use one of two LCD video projector models. The home projection system
includes the following specifications:

• Name: New Home Projection System


• Item group: Projectors
• Component items, all with quantities of one:
o 1701, Standard DVD Player - Black
o 1702, Standard DVD Player - Silver
o 1501, LCD Video Projector Model 01
o 1502, LCD Video Projector Model 02

• Use the Create configuration group function to create a new


Configuration group:
o Configuration group: LCDP
o Name: Choose LCD Player

Use the appropriate configuration groups. Notice that an item has not yet been set
up, and it will be approved and enabled as soon as the setup is completed.

12. Ensure that the Quantity field displays “1”.
13. In the Configuration group field, type “LCDP” and press TAB or
ENTER.
14. In the Create configuration group form, in the Description field,
type “Choose LCD Player”, and then click OK.
15. Click the New icon.
16. Click the Item number arrow, and then locate and select item
“1502”.
17. Click the Configuration group arrow and select “LCDP”.

Lab 4.2 - Create Configuration Routes


Scenario

As the assistant to the product designer, you are responsible for creating
configuration routes on configurable BOMs. Note that you have already set up
the new configuration group LCDP in the previous task.

The BOM, New Home Projection System, was set up before the routes were
determined. You have been given a specification for the home projection system
that requires the following routes: the DVD Player and the LCD Player.

Add these routes to the BOM “New Home Projection System”.

Lab 4.3 - Create Configuration Rules


Scenario

As the product designer, you are responsible for adding configuration rules to
configurable BOMs. You have already created a configuration group and routes.

The BOM “New Home Projection System” needs the following rules added:

• LCD Video Projector Model 02 can be used only with Standard


DVD Player - Silver.
• Standard DVD Player - Black can be used only with LCD Video
Projector Model 01.

With this setup, the DVD Player - Silver selects the LCD Projector Model 02,
and therefore, it is the only option allowed. The DVD Player - Silver deselects
the LCD Projector Model 01. The same flow is for Black DVD Player, it selects
the LCD Projector Model 01 and deselects the LCD Projector Model 02.

Item Configurations
When an item is available in different variations and all configurations have, for
example, the same price or delivery time, it is a good practice to use item
configurations instead of creating many individual items.

Item configuration is defined by using the Configuration item dimension.


Microsoft Dynamics AX 2009 has the following item dimensions:

• Configuration
• Size
• Color

The principle of a configurable item is that all the components that are used are
specified for all configurations in one common BOM. By assigning configuration
groups on BOM lines, users can specify which BOM lines can be used for each
configuration.

When you enable the configuration dimension, specify the configuration


dimension whenever specifying the item number.

Item Configuration Prerequisites


Before you can use item configurations, set up the following parameters:

• Items
• Item dimensions
• Dimension groups
• BOM item that includes:
o Configuration dimension group assigned to the BOM item
o Configurable check box selected on the BOM item
o Active BOM version

This topic covers the configuration setup of the BOM item. For information
about how to set up items, item dimensions, and dimension groups, refer to the
Production content and the Trade & Logistics I Series content.

Scenario: Setting up Configurations for an Item


Emil, the product designer at the Contoso Entertainment USA Company, has
received specifications for a new configurable home projection system. A new
BOM item must be created and the configurations must be set up on the item.
The configurations are as follows:

• R1P1 (DVR Model 01 & Video Projector 01)


• R2P1 (DVR Model 02 & Video Projector 01)

Interaction of Rules, Routes, and Item Configurations


The following demonstration illustrates the interaction of routes and rules with
item configurations in Microsoft Dynamics AX 2009.

For this purpose, a new BOM item 170160 Demo Projection System is created
with the following setup and configurations.

• Item Group: Projectors


• Dimension Group: F-W
• Inventory Model Group: Std Cost
• Item Type: BOM
• Item flagged configurable
• R1P1 (DVR Model 01 & Video Projector 01)
• R2P1 (DVR Model 02 & Video Projector 01)

Demonstration: Configuring an Item


The demonstration proceeds as follows:

1. On the Navigation Pane, click Inventory management > Common


Forms > Item details.
2. Click the New icon on the toolbar to create a new item.
3. In the Item number field, type “170160”.
4. In the Item name field, type “Demo Projection System”.
5. Click the Item group arrow and select “Projectors”.
6. Click the Item type arrow and select “BOM”.
7. Click the General tab.
8. Click the Inventory model group arrow and select “Std Cost”.
9. Click the Dimension group arrow and select “F-W”.
10. Under the Product configurator field group, select the
Configurable check box.
11. Close the Item form.
12. Open the BOM form.
13. Select the BOM created in the demonstration “Assigning Items and
Configuration Groups”.
14. In the Versions section, click the Item number arrow and select
item “170160”.
15. Click the Configuration route tab.
16. Click the Configuration group arrow and select “DVR”.
17. Click Configuration rules.
18. Click the Item number arrow and select item “1601”.
19. Click the Method arrow and then click “Select”.

20. In the Derived group field, select “PROJ”.


21. Click the Derived item number arrow and select “1501”.
22. Click the New icon on the toolbar.
23. Click the Item number arrow and select item “1605”.
24. Click the Method arrow and then click “Select”.
25. In the Derived group field, select “PROJ”.
26. Click the Derived item number arrow and select “1502”.
27. Close the Configuration rules form.

Demonstration: Approving and Activating BOM


The changes that are made to the DVR model and video projector model
configuration rule will prevent users from selecting the wrong DVR and video
projector model combination in the item configuration setup.

1. In the BOM form, click Approve.


2. Click the Approve by arrow and select “3300, Emil Karafezov”.
3. Select the Approve bill of materials? check box.
4. Click OK.
5. Activate the version by clicking Activation.
6. Close the BOM line form.
7. Open the Item form.
8. Locate item “170160”.
9. Click Setup > Configurations.
10. Click Functions > Configure to open the Configure line form.

Demonstration: Setting up Item Configurations


Users can set up Item configurations manually in the Configure item form
without using the Configure function. However, configuration routes and rules
will not be applied during the setup.

1. Click the Item number arrow for the Choose Digital Video
Recorder line and then click “1601”.Note that the Item number for
the Choose Video Projector line is automatically populated with
1501 because of the configuration rule set up on the BOM.
2. Click OK.
3. In the upper section of the Configuration creation form, in the
Configuration field, type “R1P1”.
4. In the Description field, type “DVR Model 01 & Video Projector
Model 01”.
5. Click OK.
6. Click Functions > Configure.

7. For the Choose Digital Video Recorder, click the Item number
arrow and select “1605”. Note that the Item number for the Choose
Video Projector line is automatically populated with 1502.
8. Click OK.
9. In the Configuration field, type “R2P1”.
10. In the Description field, type “DVR Model 02 & Video Projector
01”.
11. Click OK.
12. Close all open forms.

Demonstration: Setting up a Sales Order for a Configured


Item
To show how configurations are selected on sales orders, the next section
demonstrates how to set up a sales order for the home projection system with
DVR Model 02 and Video Projector Model 01.

1. On the Navigation Pane, click Accounts receivable > Common


Forms > Sales Order Details.
2. In the Advanced view, click the New icon to create a sales order.
3. Click customer account “2021”.
4. Click OK.
5. Click the Item number arrow, locate and select “170160”.
6. Click the Dimension tab.
7. Click the Configuration arrow and in the lower section of the form
and then select “R2P1”.
8. Click the Site arrow and select “2”.
9. Click Inquiries > Composed of - tree. Note that the Composed of -
tree form displays the Demo projection system, with the
configuration of 1605 DVR Model 02 and 1501 Video Projector
Model 01.

Lab 4.4 - Add Item Configurations


Scenario

As the assistant to the product designer, you have set up a new BOM “Home
Projection System, Configured” with configuration groups, routes, and rules. The
BOM has been approved for production. Therefore, a new BOM item must be
created, assigned to the BOM, and then approved and activated. Emil, the
product designer must approve the BOM. As soon as these steps are completed,
you must add configurations to the item.

As the assistant to the product designer, you are responsible for setting up the
new BOM item with the following specifications:

• Item: 110210, Configured


o Item group: HTS
o Inventory model group: Std Cost
o Dimension group: F-W
o Configurable: Yes

• The item configurations are as follows:

Standard DVD Player - Black can be used with both LCD Video Projector Model
01 and Model 02.

• B&LCD01
• B&LCD02
• S&LCD02 (Only LCD Video Projector Model 02 can be used with
Standard DVD Player - Silver.)

Four months later, customer 2021, Graphic Design Training Center, orders the
following:

• 5 Home Theater System, with Black DVD players and LCD Video
Projector Model 01
• 5 Home Theater System, with Silver DVD players and LCD Video
Projector Model 02

As the order processor, create the sales order.

NOTE: You must complete labs 4.1, 4.2, and 4.3 before starting this lab.

Configured”.
4. Click the Item group arrow and select “HTS”.

6. Click the General tab.
7. Click the Inventory model group arrow and select “Std Cost”.

9. Select the Configurable check box.

13. In the Versions section, click the Item number arrow, and then
