WHISTLE BLOWING POLICY


Objective
1.1 AMC is committed to conducting its business with honesty and integrity and we
expect all staff to maintain high standards.
1.2 However, all organizations face the risk of things going wrong from time to time or
of unknowingly harboring illegal or unethical conduct.
1.3 A culture of openness and accountability is essential in order to prevent such
situation occurring or to address them when they do occur. Any suspected
wrongdoing should be reported as soon as possible.
2. ABOUT THE POLICY
2.1 The aims of this policy are
2.1.1 to encourage staff to report, suspected, wrongdoing as soon as possible, in the
knowledge that their concerns will be taken seriously and investigated as
appropriate, and that their confidentially will be respected.
2.1.2 To provide staff with guidance as to how to raise those concerns and to
reassures staff that they should be able to raise genuine concerns is good faith
without fear of reprisals, even if they turn out to be mistaken.
2.2 This policy covers employee at all level.
3. WHAT IS WHISTLBLOWING?
3.1 Whistle blowing is the discloser of information which relates to suspected
wrongdoing or dangers at work. This may include
3.1.1 fraud and other criminal activity
3.1.2 miscarriages of justice
3.1.3 Danger to health and safety.
3.1.4 Damage to the environment
3.1.5 Bribery
3.2 A whistle blower is a person who raises a genuine concern relating to any of the
above and who reasonably believes that making the discloser is in the public
interest. If you have any genuine concerns related to suspected wrong doing or
danger affecting any of our activities you should report it under this policy.
3.3 This policy should not be used for complaints relating to your own personal
circumstance such as the way you have been treated at work. In those cases, you
should raise a grievance.

3.4 If you are uncertain whether something is within the scope of the policy. You should
seek advice from your line manager.
4. RAISING A CONCERN
4.1 We hope that in many cases you will be able to raise any concern with your line
manager. You may tell him or her in person or put the matter in writing in prefer.
They may be able to agree a way of resolving your concern quickly and effectively.
4.2 However, where you prefer not to raise it with your manager for any reason, you
should contact the risk manager officer.
4.3 We will usually arrange a meeting with you as soon as possible to discuss your
concern.
5. INVESTIGATION
5.1 We will aim to keep you informed of the progress of the investigation and its likely
timescale. However sometimes the need for confidentially may prevent us giving
you specific details of the investigation or any disciplinary action taken as a result.
You should treat any information about the investigation as confidential.
6. OUTCOME OF THE PROCESS
6.1 While we cannot guarantee the outcome you are seeking. We will always try to deal
with your concern fairly and in an appropriate way. By using this policy you can help
us to achieve this.
6.2 If you are not happy with the way in which your concern has been handled. You can
raise it with the risk officer or if you complaint related to the handling of your
concern by the risk officer to a director.

CONFIDENTIALITY
6.3 We hope that you will be able to voice whistle blowing concerns openly under this
policy. If you want to raise your concern confidentially we will make every effort to
keep your identity secret and only revel it where we consider it is necessary to
investigate your concern. 2
7. EXTERNAL DISCLOSURES
7.1 The aim of this policy is to provide an internal mechanism for reporting,
investigating and remedying any wrongdoing in the workplace. In most case you
should not find it necessary to alert anyone externally.
7.2 The law recognizes that in some circumstance. It may be appropriate for your
concerns to an external body such as a regulator. It will very rarely if ever be

appropriate to alert the media. We strongly encourage you to seek advice before
reporting a concern to anyone external.

8. PROTECTION AND SUPPORT FOR WHISTLEBLOWERS


8.1 It is understandable that whistle blowers are sometimes worried about possible
repercussions. We aim to encourage openness and will support you if you raise
genuine concerns under this policy, even if they turn out be mistaken.
8.2 However, if we conclude that you have made false allegations maliciously you may
be subject to disciplinary action.
8.3 You must not suffer any detrimental treatment as a result of raising a genuine
concern. Detrimental treatment, include dismissal, disciplinary action, threats or
other unfavorable treatment, connected with raising a concern. If you believe that
you have suffered any such treatment you should inform the Risk officer
immediately. If the matter is not remedied, you should raise it formally by
submitting a grievance.
8.4 You must not threaten or retaliate against whistle blowers in any way. Anyone
involved in such conduct will be subjected to disciplinary action.
