1. SCOPE OF WORK

As sports consultant we provide services in respect of the following:

A. UNDERSTANDING THE PROJECT BRIEF AND DESIGN


i. To understand the project brief and all the program requirements.
ii. To comprehend the process of the final design of the Sports Facility that has been developed and
work on the detailed drawings in alignment with the same.

B. UNDERSTANDING THE SITE CONDITIONS

I. To take into cognizance the Site conditions viz. the soil conditions, contours, vegetation, etc which
would affect the project execution.
II. To take into consideration of the environmental parameters viz. Rain, wind and sunlight whilst
building the facilities.
III. All other site conditions / constraints which would influence the suitability and utilization of the
facilities.

C. COMPREHENSIVE DRAWINGS

I. WORKING DRAWINGS - Preparation of detailed drawings with plans, elevations, sections, of each
sports facility / field all the relevant details necessary for execution of work.
II. LIGHTING LAYOUTS - Lighting layouts showing the Sporting Lights for the sports facility / field.
III. WATER SUPPLY LAYOUTS - preparation of layout drawings for execution of External water supply and
drainage arrangements for outdoor sports field.

Design of Sports facilities in compliance with the International Sports Federation / Regulatory Authority
guidelines, evaluation of various options, sourcing, evaluation, short-listing and recommendation of the
suitable design, material, make etc.

D. DETAILED ESTIMATES

Prepare detailed estimates and specifications for the sports facility and field with drainage, sewerage,
electrical arrangements, acoustic treatment (if any) and landscaping etc.
E. STATUTORY APPROVALS (The cost for each statutory approval will be added over and above the
amount mentioned herewith, based upon actuals)

i. All the necessary modifications in the drawings / designs suggested as per the certifying authority i.e
sports federations for their approval shall be carried out.

ii. Providing Technical guidance & details for obtaining all the necessary Statutory approvals in a timely
manner as per the schedule.

F. CONSTRUCTION STAGE

i. There shall be 3 visits to the site of work scheduled and provide periodic supervision at different stages
of construction to ensure that the project proceeds generally in accordance with the specifications
required from the statutory body’s regulations.

ii. Shall advise Authority regarding the work under execution during visits to the site and submit reports
on their observations.

iii. Any deviation from the approved drawings or specifications that may be observed shall be given in
writing to Authority who shall issue, necessary instructions to the executing agencies (if any other
than Olympiados).

OUR WORKING METHODOLOGY

CONCEPT DESIGN [STAGE 1] :

a.) Ascertain Client's requirements and the drawings provided by the Authority / Architects; and
suggest / prepare details based upon the requirements of the sporting regulations.
b.) Prepare report on site evaluation, state of existing buildings, if any; and analysis and impact of
existing and/ or proposed development on its immediate environs.
c.) Prepare drawings and documents to enable the Client to get done the detailed survey and soil
investigation at the site of the project.
d.) Furnish report on measures required to be taken to mitigate the adverse impact, if any, of the
existing and / or proposed development on its immediate environs.
e.) Prepare conceptual designs with reference to requirements given and prepare rough estimate of
cost on area basis.

PRELIMINARY DESIGN AND DRAWINGS [STAGE 2] :

Modify the conceptual designs incorporating required changes and prepare the preliminary drawings,
sketches, study model, etc., for the Client's approval along with preliminary estimate of cost on area basis.

DRAWINGS FOR CLIENT'S/ STATUTORY APPROVALS [STAGE 3] :

Prepare drawings necessary for Client's approvals and ensure compliance with the sporting regulatory
body.

WORKING DRAWINGS AND TENDER DOCUMENTS [STAGE 4] :

Prepare working drawings, specifications and schedule of quantities sufficient to prepare estimate of cost
and tender documents including code of practice covering aspects like mode of measurement, method of
payments, quality control procedures on materials & works and other conditions of contract.
CONSTRUCTION [STAGE 6]:

A. Prepare and issue working drawings and details for proper execution of works during
construction.
B. Approve samples of various elements and components.
C. Check and approve shop drawings submitted by the contractor/ vendors.
D. Visit the site of work, at intervals mutually agreed upon, to inspect and evaluate the Construction
Works and where necessary clarify any decision, offer interpretation of the
drawings/specifications, attend conferences and meetings to ensure that the project proceeds
generally in accordance with the conditions of contract and keep the Client informed and render
advice on actions, if required.
E. In order to ensure that the work at site proceeds in accordance with the contract documents/
drawings and to exercise time and quality controls

COMPLETION [STAGE 7] :

Prepare and submit completion reports and drawings for the project as required and assist the Client in
obtaining "Completion/ Occupancy Certificate" from statutory authorities, wherever required.

PROFESSIONAL FEE :

In consideration of the professional services rendered by us, we shall be paid professional fee and other
charges in accordance with the Scale of Charges.

Any tax levied by law, such as Service tax, etc. contingent to professional services rendered by the us, shall
be payable by the Client, over and above the gross fees charged by the We in relation to the services
provided.

SCHEDULE OF PAYMENT :

The professional fee in the following stages consistent with the work done plus other charges and
reimbursable expenses as agreed upon:

1.) 50% ADVANCE – ON ACCEPTANCE POF THE PROPOSAL / QUOTE.


2.) 20% - ON PROVIDING OF INITIAL DRAFT
3.) 20% - ON SITE VISITS
4.) 10% - AT THE FINAL APPROVAL OF ESTIMATES

5. EFFECTING PAYMENT TO THE CONSULTANT :

The fee payable to the consultant shall be computed on the actual cost of works on completion. The
payment due to the consultant at different stages be computed on the following basis:

6. DOCUMENTATION AND COMMUNICATION CHARGES :

Apart from the professional fee, the Client shall pay to the Consultant Documentation and Communication
charges, @ 10% of the professional fee payable to the Consultant at all stages.

CLIENT'S ROLE AND RESPONSIBILITIES :


The Client shall discharge all his obligations connected with the project and engagement of the Consultant
as follows:

To provide detailed requirements of the project which includes the CAD drawings.

To furnish reports on soil conditions and test as required by the Consultant or pay for the preparation of
the same.

To furnish specific conditions/ Statutory stipulations/ Codes of Practice/Schedule of rates, etc., desired to
be followed.

To pay all the fees, levies, security deposits and expenses in respect of statutory sanction.

To give effect to the professional advice of the Consultant and cause no changes in the drawings and
documents without the consent of the Consultant.

To honour Consultant's bills within one month of its submission.

TIME SCHEDULE :

The Consultant shall, in consultation with the Client, prepare a Time Schedule in respect of various services
to be rendered and discharge of Client's obligations.

OWNERSHIP OF COPYRIGHT :

Consultant’s design is an intellectual property of the Consultant. The drawings, specifications, documents
and models as instruments of service are the property of the Consultant whether the project, for which
they are made, is executed or not. The Client shall retain copies of the Consultant's models, drawings,
specifications and other documents for his information and use in connection with the project. These shall
not be used for any other project by the Client or the Consultant or any other person, except for the
repetition as stipulated in the Scale of Charges.

TERMINATION OF AGREEMENT :

Agreement between the Consultant and the Client may be terminated by either one giving the other a
written notice of not less than 30 (thirty) days, should either fail substantially to perform his part of
responsibilities/duties, so long as the failure is not caused by the one initiating the termination.

When termination of this Agreement is not related or attributable, directly or indirectly to any act,
omission, neglect or default on the part of the Consultant, the Consultant shall be entitled to professional
fees as above.
