AUDIO VISUAL GUIDELINE

MEETING FACILITIES

INTRODUCTION
The following provides general guidelines for the audio visual requirements in IHG
properties for the meeting facilities to assist the Owners in understanding the scope
of audio visual services required. We recommend that the Owners engage Audio
Visual specialists early in the design process to provide its Consultant team with
advice on incorporating the Audio Visual equipment into the overall design of the
hotel.

FIXED EQUIPMENT FOR:


 Boardrooms
 Small boardrooms/ meeting rooms that facilitate sit down meetings and
presentations around a board table
 Function rooms which handle various events such as banquets

These rooms should contain audio and video conferencing facilities along with
equipment capable of audio playback such as a computer, DVD, CD, VHS or from
digital sources. High speed internet access and the ability to aurally record
proceedings should also be available.

FIXED EQUIPMENT FOR LARGE MEETING ROOMS


Room size = 192 m3
The equipment needed to achieve a maximum volume of SPL 90dB direct field in a
room of 192 m3 would be:
 4 x Free space Bose Model 32 ceiling speakers, tapped at 8w.
 1 x Commercial quality 6 disc CD player.
 1 x Commercial quality hand held wireless microphone.
 1 x Commercial quality lavaliere wireless microphone system.
 1 x Commercial quality lectern microphone.
 1 x Input panel to allow for input from external sources including
computer presentations.
 1 x Bose DXA2120 Digital/Mixer Amplifier.
 1 x Bose DXA2120 Volume control with A/B switch user interface
 ISDN 2 lines
 3 Phase electrical power on stage/ podium area
 Internet access available
 Ceiling mounted Data projection at resolutions up to SXGA (1280x1024) or
 better
 Ceiling mounted Screens (Motorized)
 Dimmable/ schemed lighting
 Floor boxes containing power, data and telephone

Room size = 468 m3 (80 person capacity)


The equipment needed to achieve a maximum volume of SPL 90dB direct field in a
room of 468 m3 would be:
 6 x Free space Bose DS100F ceiling speakers, tapped at 25w.
 1 x Bose B1500 Power Amplifier.
 1 x Bose ControlSpace ESP88
 1 x Bose ControlSpace CC64 – Control Center

 ??1 x Bose Control Space CC-16 – Zone Controller (optional if the
venue is dividable / had partitions)
 ?? x Bose 4x4 mic/line card (PC037533) - optional expansion to offer
additional input channels.

FIXED EQUIPMENT FOR PRE FUNCTION LOBBIES


The recommended maximum volume for a pre-function area of 2250 m3 (400 person
capacity) and intended SPL91dB direct field.

 8 x Bose FreeSpace Model 32 ceiling speakers, tapped at 32w.


 1 x Commercial quality 6 disc CD player.
 1 x Commercial quality hand held microphone system.
 1 x Bose FreeSpace 4400 Business Music System (Power Sharing
Amplifier).
 1 x Bose FreeSpace 4400 User Interface.
 1 x Input plate.
 Dimmable schemed lighting.
 Floor boxes containing power, data and telephone

FIXED EQUIPMENT FOR BALLROOM


The recommended maximum volume for a Ballroom is SPL 91dB direct field based.
This is achieved through the use of the following equipment based on standard room
measurement with a volume of 8750m3. It has been assumed that the room is
divisible into three smaller, independent function rooms

 12 x Free space Bose DS100F ceiling speakers, tapped at 50w.


 3 x Generic amplifiers (250watts @ 100Volt) – one amplifier
(channel) for each divisible / partitioned room.
 1 x Audio mixing console. (24 channel)
 1 x Feedback eliminator
 2 x Bose ControlSpace ESP88
 ?? x Bose 4x4 mic/line card (PC037533) - optional expansion to offer
additional input channels.
 1 x Bose DSP Expansion Card (PC 041769)
 1 x Bose control space CC-64 Control Center
 3 x Bose control space CC-16. Zone controller – one unit for each
divisible / partitioned room.

 Crestron handheld or similar interface units (Interfacing lighting and audio
visual systems).
 Truss mounted lighting to accept the mounting of Barrels, high powered
projectors, zoom spot luminaries, follow spot projectors table spot lighting
(MX10 or equivalent). These are complete with lighting control console,
submain lighting control console, dimmer racks and spare filters.
 Conference system comprising of Chairman Microphone, delegate
microphone and central unit to control up to 100 delegates, complete with all
cables and accessories.
 Floor boxes containing power, data and telephone and microphone plug in
points.
 Wall outlets containing microphone and lighting control points (jacks) to the AV
room or AV room to portable sound or lighting desk/ mixer.
 Simultaneous translation system together with self contained, demountable,
self ventilated translator booths to be considered

PORTABLE LOOSE EQUIPMENT FOR ALL SPACES


The quantities for audio systems are minimum required and are indicative. (The hotel
engineering and banquet team should decide the required quantities depending on
probability of simultaneous portable events at any given time)

 Slide Projectors. (Trolley mounted)


 Overhead Projectors. (Trolley mounted)
 LCD display units.
 VHS video projection in PAL, NTSC or Secam format, U-matic, digibeta or
 beta cam SP. (Trolley mounted)
 Laser pointers
 Flipcharts.
 White boards
