ABSTARCT:
The Employee Timesheet Management System allows employees to work on client’s
requirements and projects on a day to day basis. Timesheet may record the start and end time of
tasks or just the duration. It may contain a detailed breakdown of tasks accomplished throughout
the project or program. This data is used for payroll, client billing, billable and non-billable
project costing, analysis, tracking, and management. Employees fill timesheets on daily, weekly
and monthly basis. Employees will be able to easily find out what they need to be tracking, as
well as prioritizing their tasks so that the most time-sensitive ones can be done first. Basically, it
allows employees to work on the go and let them clock in and clock out on their mobile devices,
or even at home. Timesheets being used to do this means that you can configure it any way you
want in order to suit the requirements of your business.

In recent times most of the organizations are dependent mainly on the data. The effective
management of the company is dependent on effective extraction of information from the data.
The tool called Timesheet Management System (TMS) has been introduced in this paper which
helps in automatic calculation of the Gross Margin (GM) and Invoice generation upon the button
click. This results in the organization’s growth by reducing the manual work. Project under
consideration plays a critical role in timesheet management system (TMS) so it can be
considered as the project centric financial tool. This tool consists of developing the huge
modules which explains the entire life cycle of the project from start to end date. This paper
focus on 3 tier architecture which consists of 3 layers such as Presentation, Business and
Application layers.

Introduction:
This project issue to fetch the all information about individual employee and pass it to the
authorized user and only authorized user can see the information of all the employees.
Timesheet allows you to see how many hours have been spent per project and customer. You
can compare projects and their resource consumption. The information such as report, payroll,
client billing, estimation, tracking, and management etc. track by using the timesheet.

Timesheet Management System is very important indeed if you want the functions of your
business to be done well and on time. It allows employees to work on the go and lets them clock
in and clock out on their mobile devices, or even at home. Employees will be able to easily find
out what they need to be tracking, as well as prioritizing their tasks so that the most time-
sensitive ones can be done first. In addition to this, the employee can submit the timesheets for
accept instantly from wherever they are. The process by which approval is gained can also be
optimized and modified to make sure that they are in line with the processes used within your
business. Categories can also be selected for the acceptance of task submissions and timesheets
based on client, project and other acceptance types. This Employee Timesheet Management
System leads to a lot of time being saved, especially when it comes to leave tracking and
vacation time.

Background of the study:

Methods:Adi-Shamir (RSA) algorithm is employed for secure computation of Sales Gross


Margin (GM);Hibernate is used for Object Relational Mapping (ORM) that helps in mapping the
.NET classes to database. Use of One Time Password (OTP) provides secure access to the
timesheet portal.

Findings: This paper mainly concentrates on designing and implementing Sales Gross Margin
(SGM) creation, Gross Margin (GM) calculation and the invoice generation. This process
includes allocating of the employee to the project by the concerned project manager which helps
the allocated employee’s to access the timesheet tool. Authentication of the employee’s data will
be done by the Project Manager (PM). Further the computation of Sales Gross Margin (SGM),
Gross Margin and Invoice generation is done on monthly basis or after the completion of the
project by the project manager (PM). All the processed data from project manager will be
authenticated from higher authorities such as Subsidiary Business Unit (SBU), Account
Receivable Team (ART), and Regional Sales Head (RSH). Finally, it leads to the creation of
Sales Gross Margin (SGM), calculating the Gross Margin (GM) and the invoice generation.

Application: Effective design and implementation of these three modules helps in tracking the
profit gain in digital manner and helps in improving the profit gain. The TMS has a user friendly
interface and helps to reduce the manual work in case of financial calculations. It can be
improved further if the updated Cost to Company (CTC)is considered for calculating the Gross
Margin.

REVIEW OF LITERATURE:
The timesheet review and approval process begins after a staffer submits a timesheet. It's then reviewed
and approved or rejected, which means the timesheet is sent back to the staffer for corrections. 

 M.I Moksin and N.M Yasin overcomes disadvantages of the wireless attendance system for the
students by including wireless technology for tracing, storing and transferring of the data
directly to the host for generating reports and analyzing data. They designed the system that
overcomes the disadvantages through minimizing the time consumption, data capturing, saving
the efforts to collect/write/validate the attendance slips. Their proposed system will be secured
attendance system for managing the procedure of the attendance.

 S. M. Hassan and et al. proposed a new approach by adding the biometric fingerprint and near
communication field ID card reader only the listed voters are recognized. After the match of
fingerprint and the updated result the voter will get the chance to vote on panel buttons. Further
the card will be made mark for future reference that they should not take part voting multiple
times. Hacking will also be diminished by using this approach
 P. Subpratatsavee and et al. introduced 4 phase system such as identifying the scopes and
requirements; developing web-based architecture adaption, construction of logical design and
physicaldesign in “Attendance System using NFC Technology and Embedded Camera Device
on Mobile Phone”. This is capable of generating the online attendance reports, graphs charts and
some warning letters thus it will results in the efficient and well-organized way of monitoring
and managing the attendance system

Objectives:
The main objective of the Employee timesheet Management is

 Employees enter their log-in and log-out time in timesheet.


 Lack of effective internal controls for time sheet management, resulting in violations of
company
 work policies and inaccurate cost accounting.
 Difficult to tracking exact time period of employee work.
 In many companies the employees are not generate the whole progress report of project.

HYPOTHESES
Timesheet is more flexible for employees to use. This timesheet is manages the team, client and
project, expenses, report generation, and timesheet management. The new system completely
covers all the fields of work. In current scenario, management does not have access to real-time
report on projects, clients, and work progress, making it difficult to measure progress of
employee.

Functionalities provided by Employee Timesheet Management are as follows:


Performance management is the process of creating a work environment of setting in which people are
enabled to perform to the best of their abilities:
 Develop clear job descriptions.
 Select appropriate people with an appropriate selection process.
 Negotiate requirements and accomplishments performance standards, outcomes, and measures.
 Provide effectiveness orientation, education, and training.
 Provide ongoing coaching and feedback.
 Design effective compensation and recognition systems that reward people for their
contributions.
 Provide promotional/career development opportunities for staff.
 Assist with exit interviews to understand WHY valued employees leave the organization.

METHODOLOGY:

This research work is basically exploratory in nature. My aim of this research is to collect
detailed information about Employee Timesheet Management. It has been endeavor of the research to
make an empirical study by analyzing and critically examining the relevant statistical collection from
primary and related information from secondary sources. The collection of primary data includes
Questionnaire; Discussions; and observations to find out relationship satisfaction level.

Conceptual frame work :

The conceptual framework is the ideas, understanding and research findings that provide both the
foundation on which and the background within which research will be done. It helps to knit together
observations and existing knowledge into an intelligible pattern. It is a general process of all related
concepts in the problem area.
In the present study explains the conceptual framework which is based on Employee Timesheet
Management. This Employee Timesheet Management has helped researcher to organize the
phenomenon of the study concept. This model postulates that Educators/ researcher’s behavior is to
influenced by a person‘s perception of a threat posed by a health problem and the value associated with
actions aimed at reducing the threat.

Input Data and Validation of Employee Timesheet Management-:


 All the fields such as Schedules, records, reports Attendances are validated and does not take
invalid values.
 Each form for Schedules, all the records, reports, clients & Projects cannot accept blank value
fields.
 Avoiding errors in data.
 Controlling amount of input

Software requirement:

 Operating system: Windows 7.


 Technology Used: PHP, Apache HTTP server 2.2.
 Database: My SQL.
 Tools used: XAMPP, Notepad++.

Project Modules-:

Since all the Timesheet modules are dependent mainly on the project, project plays an important role in
timesheet management system. It can be referred as the project centric financial tool.

Customer:

The data related to the customer will be maintained in this module such as customer name, location,
contact details etc., Project created by the system has to be linked to specific customer from this
module. Financial controller will have the authority to manage this module. This module will be linked
to the customer.

User:

The employees’ will use this module effectively. The Human Resource department will have the
complete authority to go through this module. The system will allow the users to access various
functionalities based on the assigned roles. The resource CTC (Cost to Company) is maintained in this
module. The CTC data is stored in an encrypted format using a secure asynchronous key. This data is
critical for calculation of project cost for revenue recognition and profit calculation.

Vendor:

This module manages the vendor data. User with the role of admin will have sole control on this
module. Vendor data is linked to projects when project specific purchases need to be accomplished.

Timesheet:

This module is accessed by the maximum number of users. All project resources log their daily effort
using this module. The effort can be entered as “Timesheets” where a project resource logs the effort
against a set of pre-defined tasks. Efforts are also logged using “Timecards” where the resources
describe the tasks performed and enter the effort against the same. Either of these mechanisms can be
used for a project based on customer requirements. The Project Manager assigned to a project uses this
module to validate the effort logged by the project team members and authenticates the same.

Invoice:

Project managers and the Account Receivable Team (ART) will make use of this module. They will
make use of this module to create and approve invoices for customers. This will be based on the
Validation data which is entered in the timesheet.

Purchase:

Project related purchases are handled using this module. The Project Managers create Purchase
Requests (PR) based on pre-approved budget. The Finance Controller associated with the project
validates the requests. The Admin personnel will perform vendor evaluation and process the Purchase
Order(s) to fulfill the Purchase Requests.
