2.14 Filesharing

2.14.1 Overview of Filesharing

This function allows you to store files in the file sharing storage on the Workplace Hub assigned to each ac-
count, enabling them to be shared among other users.
The Workplace Hub file sharing system (file storage system) provides two types of views: [My Files] and
[Shared]. [My Files] displays the files and folders that are owned by the login user. [Shared] displays the files
and folders that are owned by another user account and shared by the login user. The file and folder's owner
names are displayed, so the user can identify the person who shared the files at a glance. In these views, the
user can create a hierarchical structure of folders. The default file access permission is inherited from the par-
ent folder.
If necessary, click the detail icon ( ) of the target file or folder to display the operation menu. From this menu,
you can share, download, move, copy, rename, delete, or print the target file or folder.

Tips
- When Workplace Hub is associated with Microsoft Office 365, you can operate files in the Microsoft
OneDrive storage from Filesharing.

2.14.2 How to open the Filesharing window

The following are steps each user can use to open their own root folder:

1 Click the tile icon ( ) on the top right to open Filesharing.

2 Select the view from the left pane.

2.14.3 [My Files]

The file uploaded from the client PC or the file created in Filesharing is displayed in the [My Files] view. In
the [My Files] view, a specific file can be shared with other users. The shared file is displayed under [Shared]
of the specified user's view. When a file or folder is shared with other users, a blue dot ( ) is displayed on
the top right of the icon of the shared file or folder.
If each user wants to create a new file or folder or upload and share a file or folder, follow the steps shown
below.

1 Click the tile icon ( ) on the top right to open Filesharing.

2 Click [New file] or [New folder], and select [File upload] or [Create a file].

3 Follow the on-screen instructions to newly create or upload a file or folder.

4 Tap the details icon ( ) next to the shared file or folder, and select [Share].

readable only mode in the [Shared] view depending on the assigned access permission. When the target file
is editable, the editing result is reflected on the original file. The file itself is left in the owner's folder, so the
owner's files are not affected even if "Remove from Shared File" is executed for a file in the [Shared] view.

Tips
When a file is shared in the "Editable" mode, only the "*.txt" files can be edited with the shared-user's au-
thority. Files in other modes can be renamed, downloaded, or copied with the shared-user's authority.

NOTICE
Do not upload a file that has a size larger than 50 MB.

2.18.3 SSL VPN setting

Workplace Hub allows you to connect to the machine via the Virtual Private Network (VPN). Specifically,
Workplace Hub's VPN uses the Secure Sockets Layer (SSL) protocol. You can securely log in to the Work-
place Hub user interface from the browser, while the data transferred via the network is protected.
SSL VPN is not supported when Azure Active Directory is used as a user base.
NOTICE
A VPN connection can be established in both client and router modes, however, the correct port forwarding
must be configured on the customer’s firewall/router.

2-29 Application
2.18 Appendix
2
Enabling SSL VPN (user administrator)
To start using the VPN, you need to enable it globally for the whole device.

1 Select [Global Settings] - [Networks].

2 Select [Enable SSL VPN access].

3 If you are using Active Directory as your user base, select or create an LDAP field.
This field is used to store information about whether a particular user has VPN enabled.

4 Enter the public hostname or IP Address into [WORKPLACE HUB VPN SERVER HOSTNAME OR IP AD-
DRESS].

5 Save the settings.

Tips
- When Workplace Hub is directly connected to the global network *:
If [CONNECTION TYPE] of WAN port is "Static IP Address", leave the box blank. (You do not need to
fill in the hostname or IP address.)
If [CONNECTION TYPE] of WAN port is "DHCP", enter the defined hostname of Workplace Hub. You
need to configure the Dynamic DNS service because the IP address linked to the hostname varies dy-
namically. The hostname to be entered here must be the same as the hostname registered in the Dy-
namic DNS service.
- When Workplace Hub is connected to the global network via the router managed by the customer:
Enter the hostname or static public IP address of the customer’s router.
When the IP Address of the router is assigned dynamically, the customer needs to use the Dynamic
DNS service.
The hostname to be entered here must be the same as the hostname registered in the Dynamic DNS
service.
Furthermore, the customer needs to map the VPN access from the Internet to the router’s 8443 port so
that the VPN Internet access is transferred to Workplace Hub via the customer’s router.
* When the router mode is selected as the network role, the WAN port of Workplace Hub has the potential
to be connected to the global network directly. On the other hand, when the client mode is selected as the
network role, Workplace Hub will never be directly connected to the global network as a security measure.

dReference
The address entered here is written to the configuration file of VPN client software, and specified as the des-
tination when a VPN connection is established using VPN client software.

Allowing users to connect via VPN (user administrator)

Enable VPN for each user individually in the User Management application. Before you perform this step,
make sure that VPN is enabled globally.

1 Open the User Management application.

2 Edit a user.

3 Select [Enable SSL VPN access].

4 Click [Save].
The system sends an e-mail to the user with instructions on how to download, install, and configure a
VPN client. Once the VPN client is configured, the user can start using the VPN to connect to Work-
place Hub.
