GENERAL CIRCULAR

Purpose
An Activities Report is to be prepared by academic staff members after the end of each academic year,
capturing their scholarly achievements in the domains of teaching, research and scholarship, and
service, as applicable. In addition to providing for the appointee's own reference of his/ her works
undertaken over the years, the report will also form the basis of the annual Academic Staff
Development Review (ASDR). The research activities and projects, publication records and prizes or
awards are also collected via Academic Information Management System (AIMS)/ submitted forms as
collated by Office of Research and Knowledge Transfer Services (ORKTS) for the CUHK Annual
Report, RGC Annual Report on Research Activities and UGC Common Data Collection Format
(CDCF).

Department levels, and the guidelines on the preparation of Activities Report are available from the

Applicability
Full-time and fractional-time academic staff who joined the University on or before July 31, 2021,
regardless of appointment length, are required to submit their Activities Report:
- Assistant Professor, Associate Professor, Professor on Pay Bands A1-A3/ CA1-CA3 or
equivalent
- Research Assistant Professor, Research Associate Professor, Research Professor
- Professor (Teaching), Associate Professor (Teaching), Professional Consultant, Assistant
Lecturer, Lecturer, Senior Lecturer, Principal Lecturer.

New Review Arrangements for Research Professors and Appointees Deployed/ Seconded to
InnoCentre
1) Research Professors
The review of Research Professors, irrespective of the original rank level before retirement, will be
conducted by DAPC and FAPC from the 2020-2021 exercise onwards, similar to that of academic
appointees on Pay Band A2/ CA2 or below. This is to acknowledge that the contributions and required
duties of the Research Professor could vary according to specific needs of the Departments. Input at
Department and Faculty levels will be conducive to a comprehensive and relevant review.
b. Review Process
The ASDR review will comprise inputs by the relevant IC Directors (or the IC approved body) and
their own affiliated departments (or a Review Panel appointed by the Vice-Chancellor for appointees
on Pay Band A3/ CA3 or equivalent) respectively. Both review forms will be submitted to their
affiliated Faculties via the system after preview of the preliminary comments (without ratings) by the
appointees.
