BUS 1105 Discussion Forum Unit-4

I select Memorandum and the definition and the key highlights are mentioned as follow;

“A memorandum is normally used for communication purposes within an organization, for example like
policies, procedures, or even official business-related issues. It is used to broadcasting messages to the
audience rather than having a face-to-face or one-to-one conversation.” (McLean, S (2010)).

Memorandums are essentially implied to inform the audience and include support, a call of action,
making a proposal, recommending a solution to an issue, informing individuals about choices taken. It
may contain explanations that adjust business and employee interest and emphasize common ground
and benefits.

A memorandum needs to include the following key points:

 Header- to show the sender and recipient Title


 Date
 Subject matter
 The message or information to be sent to the audience

I did utilize a memorandum in my working environment to pass urgent data to my colleagues for an
emergency meeting that was to be held on short notice and after accepting that memorandum, my
colleagues really turned up their numbers. Moreover, I utilize letters to communicate formally in my
work environment. As an instance, when we do audits and require a few data from third parties, as
group leads, I will write a request for information letter and take it to my director to sign, and after that
send it to the important party. After the letter is received, at that point the data we are looking for will
be released to us.

When I send the Memorandum, I received positive feedback as my colleagues turn up for the meeting
and they were there on time as well. With the letter, the reactions are both positive and negative in
some cases as a few third parties are just not willing to share data about the auditee. If such happens, all
we do is additionally include dialogue between us and the third party, like organizing for a meeting to
examine the issue at stake and to make them understand what we require the data for and also to
provide assurance that the data will be secured and safe.
