This addendum has been issued from the Office of the Purchasing Director. Proposer shall be responsible for
acknowledging receipt of this addendum in the Proposal Form. Failure to do so will result in the proposal being rejected
by the Purchasing Director. This addendum is also posted on the City’s official website: www.savannahga.gov.
3. Question: The City has noted keeping Govern, Energov, T2 and keeping cashiering in a decentralized mode
with each software doing their own receipting. Would the City be interested in moving to a centralized
cashiering approach where all payments are coming through one vendor that has real-time bi-directional
interfaces with each of those software. For example, a customer could pay their UB, permitting and tax all on
one receipt (in person or online)`. If so, can you list the applications that you would like the new cashiering
application to take payments for.
Answer: No. Centralized cashiering is not part of the scope for this proposal.
4. Question: Could the City provide us with the total number of users, including supervisors, that would be
accessing just the new Cashiering/POS module? This would be based on receiving payments for the Financial
A/R system, miscellaneous payments and any users associated with the answer above. Read-Only users and
daily departmental revenue submitters are no charge.

5. Question: Can the City list the current POS equipment and model you would like the Cashiering solution to
integrate with or would the City like additional POS equipment to be included in the RFP response (receipt
printers, scanners, cash drawers, check imaging/MICR devices, encrypted credit card swipe and EMV/chip/tap-
to-pay devices).

8. Question: Would the City like the cashiering solution to create an Image Cash Letter (ICL) containing check
images for deposit, and send it to your bank? If so, what bank?
Answer: N/A - see answer to #3.
9. Question: Does the City have a multi-check scanning process in place for recording checks and invoices in
batch? If not, should this be included in the response? What is the annual volume that the City would scan
using this process?
Answer: N/A - see answer to #3.
10. Question: Does the City have scenarios where different departments/agencies need to submit end of day
receipt summary information? If so, would the City like to automate that?
Answer: N/A - see answer to #3.
11. Question: Could the City expand on the question: “Ability to pre-authorize payments or account
withdrawals”?
Answer: The City desires the functionality to create an ach credit file from securely stored bank information
provided by its customers. The City would initiate the creation of the ach file periodically based on the
balances owed and then transmit the file to the City’s bank electronically for processing by the bank.
12. Question: Could the City go into more detail on the question: “Ability to capture customer follow-up/collection
notes” FN154 Record to Report Finance.
Answer: The City desires the functionality that will allow staff to enter freeform notes and other information
related to collection efforts on each account. This would be useful when logging notes related to phone calls,
etc.
