A. Introduction Day 1 Guest Cycle

One of the most important skills of a front office clerk is knowing how to calculate
the arrival and departure of the guests. There are 4 stages associated with the hotel
guest cycle:

A. Pre arrival- a stage where the guest chose a hotel to stay, the price of the rooms,
the location, the experience. When the guest decided a particular hotel,
reservation takes place. When reservation has been accepted, the hotel created
a record which also the start of customer hotel relationship.

B. Arrival- this is defined as the time when the guest arrives and checks in at the hotel.
Upon arrival the guest may interact with the doorman, the front desk clerk/officer
and the bellboy.

C. Occupancy- may refer to guest occupying the rooms identified on a specified


period-of-time.

D. Departure- is the time when the guest checks out of the hotel.

Most hotels check in the guest in the afternoon and check out before noon of the
following day. If a guest arrived at 10:00am, he/she will wait for 1:00pm for checking
in.

The arrival and the departure of a guest depend on how long they will stay in the
hotel. Check-out times tend to be before noon, Accommodation bookings count the
nights you spend simply because that is what you need accommodation for: to sleep
and relax.

For example, suppose that our guest, Mr. Joseph San Jose, reserve an
accommodation to Santan Hotel and will arrive at 1pm of 1st December and will stay
a week, means will leave 11am, 8th December. Technically it is 7 nights, but also 8
days.

Amount of room x no. of nights=Room charge
For example, your executive-type room cost Php2,500.00 per night and you
stayed 3 days and 2 nights, how much will be your total room charges?
The answer is Php2,500 x 2 nights= Php5,000, total room charges for 3 days and 2
nights of accommodations.
