SUBJECT : Agenda of the Meeting at BMI Makati Head Office

The BMI Security Providers Meeting was held on 22 November 2022, from 0935H to 1157H at
the BMI Head Office in Makati City attended by eight (8) security provider representatives
mostly Operations Managers.

The meeting was presided over by Mr. Exxon Salas and Mr. Dennis Nieva from BMI Security
Department. The agendas were as follows :

 Topics below were discussed by Mr. Exxon Salas :

1. Heightened vigilance during the Holiday Seasons (Christmas & New Year). All
security providers must submit “Operational [Contingency] Plan” (OPLAN) not
later than 30 November 2022.

2. Accordingly, in accordance with the SLA, as a security provider, must have a


Night Duty Inspector (NDI) as Alarm Responder.

3. All security personnel including relievers must take up special course - License on
Bank & Armored. The BMI Security Department to be led by Mr. Exxon will
collaborate with SOSIA accredited training center to cater the special course by
the 1st Quarter of 2023. Tentatively, security personnel from Dasmariňas &
Batangas to join in Makati training.

4. The attention of this OM and one (1) OM from other agency were called
regarding the NON-COMPLIANT on the remittances of social benefit
contributions. Mr. Exxon reiterated the timeline on the submission of proof of
compliance is up before December 01, 2022. Furthermore, the BMI Branch
Operation Heads and or its Branch Managers were given instructions to gather
all issues & concerns from the security personnel that were not acted upon by
the employers (security service providers) and forward it to BMI Security
Department for the latter to issue a Notice To Comply to delinquent employers
(security service providers).
5. Accounting personnel of various Security Service Providers to submit Advance
Billing (without OT computation). The 3DSSI already complied before the
meeting was scheduled.

6. Team-Building on December 11, 2022 from 0800H to 1700H. There will be a


raffle draw. Security Service Providers were enjoined to participate in the raffle
activity by donating items/units to be raffled.

 Topics below were discussed by Mr. Dennis Nieva :

7. Survey Reports submissions – all are compliant.

8. Marksmanship certificates submissions – all are compliant.

9. Customer Service Orientation must be conducted to BMI security personnel by


the employer (security service provider) or by its qualified resource persons
before the end of the 1st Quarter of 2023. Upon compliance, the security service
provider shall submit compliance report to BMI Security Department with
documentary evidence such as pictures during the conduct of customer service
orientation.

10. Rotation of security personnel by 1st Quarter of 2023 must be implemented in


accordance with the Memo Order to be issued by the BMI Security Department.
There were some security service providers failed to complied with the said
policy in 2022.

11. Mr. Dennis reiterated the compliance on social benefit contributions. He will
accordingly send thru e-mail to the delinquent agencies the unremitted
contributions.

12. Updated list of security personnel being deployed per branch with respective SG
Names / Security License Numbers / Expiry Date / Contact Numbers. 3DSSI
already complied on this date.

13. OMs and Alarm Responders must be provided with Smart or Sun sim for easy
Communication. This OM already complied.

14. Area Inspectors from different security service providers during tour of duty
must report to the branch operation head every time he conducts routine post
inspection.

15. No Loading of Ammunition must be strictly implemented to avoid accidental


firing. Inspectors must always remind their guards.

16. Security Service Providers must place outside the branch under its AOR the
Firearms Safety Clearing Box.

17. Holiday Pay must be paid to security personnel.

18. Billings must be send ahead or on time to avoid rushing in the process of payments.

19. Next year there will be an adjustments on the billing & collection system to be
implemented by BMI Accounting.

20. Every BMI Branch must have a photocopy of security service contract. It must be duly
acknowledge receipt by the Branch Manager and or by the Branch Operation Head.

21. Updating of the Retirement Fund saving accounts. Timeline of submission is on


December 01, 2022.
