1. PURPOSE

The purpose of this project is to help the business solve primary issues

arising within. As the business is dealing with the market’s demand, Gutzy

Clothing owned by Mr. Kyle Aerix Ricacho finds their inventorying process difficult

to handle. They still stick to the old method or manual listing of items. Stocks

cannot be observed properly this way which leads them to have consistent stock

outs or unavailability.

This project ought to create an Inventory Information System which could

help them manage their items easily. Making the Gutzy Clothing satisfy the current

needs of the business by making an Inventory information system that could help

their business. They can also organize their items well and can observe their

availability whenever they need to.

This project could be of great help to the business on their day to day

operations as there is no need for them to list their stocks manually. Current

problems regarding their inventorying process could be lessened and prevented

with the help of this proposed Inventory Information System.


2. PROJECT INFORMATION

2.1 PROJECT DESCRIPTION

Inventory Information System is a type of system which enables a particular

institution, organization, or a business to provide great efficiency, usability and

functionality when it comes to observation and monitoring of stocks.

It is a highly recognized system in a business’ day to day operations as it

handles numbers and lists of items capable of supporting the business to function

well. Without this, certain issues may arise and affect the process of providing

customers’ daily needs.

The project vision is to formulate an exquisite Inventory information system

which will be a great help to business’ functionality. This might have an interface

showing how items should be labeled and listed, and also an overview of how

certain items are summed up. This could possibly be done within a certain time

frame of around more than half a month. After being implemented this could be

tested out for its functionality and usability and can be modified if there are minor

issues that might need to be resolved.


2.2 PROJECT APPROACH

The researchers used Agile Methodology upon the completion of the

Inventory Information System Project. It shows the step-by-step process; plan,

design, develop, test, deploy, review and launch.

Plan

The system must meet the aspects that will carry out the duties of the

business. In order for that, the planning phase takes place to design and determine
the overall requirements of the plan to build the system which consists of the

collection of physical, hardware, software, human and processing components.

Design

The design of the system is set to be made easily comprehensible and

accessible after taking data from planning and making the Data flow diagram and

Decision trees. The design will consist of inputs and outputs in order to organize,

calculate as well identify the stocks of the items at real-time.

Develop

Development of the system will be made after following the plan and design

process.

Test

The testing will consist of function tests of the system that will be conducted

by the developer. This determines whether the performance of the system is

feasible to carry out the functions of managing inventory that supports the business

process.

Deploy

This is done after the initial tests are completed and thoroughly met with

satisfying results. The system is then deployed to the Admin to examine the works

of the system.
Review

The system is to be evaluated by the admin if there would be any flaws to

be fixed and additional suggestions for the system to be more effective.

Launch

The initiation of the system would transpire once the review is set. Unfolding

to an itemized business with the use of the system, bringing to a satisfactory

success.
2.3 GOALS, OBJECTIVES, AND SCOPE

Goals

The goal of the development of Inventory information system is for the

researchers to provide an efficient solution;

1.) To help the business make their process faster and reliable.

2.) To organize listings of items in the warehouse to avoid item stock

outs.

Objectives

The specific objective of the Inventory information system is to provide a

highly centralized system;

1.) To maintain or keep item records.

2.) To effectively monitor the list and quantity of the item by the personnel

of Gutzy Clothing.

Scope

The system can add new items such as giving improvements to the item

function that can update the item details. The functionality of the system as well

includes a deletion of the item records; if and only if the item is no longer available

and can no longer be sold. In addition, the system also includes a security log-in

and log-out process to make the records more secure and safe. Moreover, it
features a viewing record and view history record where the moderator can easily

search the item record or the item number. The system also includes reports of the

existing item and recently available items so they can easily view when they need

to review item availability.

2.4 BUSINESS DRIVERS

For Gutzy Clothing, the business does its way of manual checking of clothes

which hinders the progression of profit. With that method could potentially bring

costs such as excess inventory which is a loss of revenue. This shows the extent

of how much better it could have been which is why the project is planned to make

a system that helps in reducing costs and losses. Bringing benefits to the business

with incoming revenue by keeping track of stocks, organizing and carrying out

items to efficiency and satisfy the customers’ demands.

2.5 STAKEHOLDERS

Purchasing Department

They are responsible for acquiring goods or items that the business

provides. They also provide information to all people who are concerned with new

items, materials and services. They guarantee that their supplier is consistent and

stable.
2.6 ASSUMPTIONS, DEPENDENCIES, AND CONSTRAINTS

After implementing the project, the researchers will assume a good and

reliable system that will help the moderator or administrator on monitoring the

stocks and prevent stock outs. The following things might hinder the process of

developing and implementing of project;

 Unstable Internet Access

2.7 RISKS

Risks hinders the process of project development and lowers the chance to

come up with the desired outcome. This also causes delay upon the

implementation of the project.

The following risks are identified throughout the completion of the project,

with the provided mitigation information;

 Lack of Budget

This could be resolved by means of accurate estimation of project

cost associated with the budget plan.

 Time Frame

This could be resolved by fixing time schedules, planning ahead of

time and setting time limits for repeating tasks.

Brief Description: Online Inventory Information System works by storing all items
available in the warehouse and monitor or view their sizes
