Introduction
WebEvent is an online platform that provides facilities to connect with events anywhere in the world,
especially for students and people in organizations also for people like Entertainment or comedies. It
includes so many topics that people all over the world can get themselves registered for the
event/webinar they are interested in. To use the application requirement is to have an internet
connection and either a computer or mobile phone to connect to our WebEvent.
Our main motive is to make everyone feel safe about the module they want to learn. They can interact
with their WebEvent presenter. They can have questions & answers (Q&A), and short polls and can
give feedback at the end of the event.
Objectives
Setting up a meeting – A host can choose to set up an instant meeting or schedule one for a
particular time.
Provide post-event follow-ups and feedback surveys to generate leads, gather feedback, and
encourage post-event networking and community gatherings.
Educational institutions, corporations, conference organizers, and community leaders will all
use the platform.
To enhance the quality of learning and gaining knowledge.
Improve user accessibility and time flexibility to engage users with the webinars.
Chat function - During the meeting, users can interact via text, and participants can also use
private chat with others in the group. Meeting hosts can limit whom participants can chat with
by adjusting this setting.
Make it fun and dynamic- No one wants a boring conference call, that’s why we created
multiple fun features to help you energize your gathering. Send notifications, shuffle your
attendees, draw, and more!
Polls and surveys: Event managers can solicit specific feedback from attendees before, during,
and after the event.
Increase attendees and sponsor engagement with real-time widget demos and targeted
networking.

Participant 1: “Some people have social anxiety therefore they prefer to socialize online than in real
life. They are not so expressive in real life but they may find it easier to express themselves behind a
screen in front of strangers. For example, some students may find it difficult to ask questions in real
life for the fear of being judged.”
Participant 2: “I don’t think that this application will benefit everyone because as an employee I prefer
to have all my training face to face rather than using such an application.”

Participant 3: “Yeah sure! This will be a good idea having an application like this will benefit us as an
organizer. We will be able to create a different type of events and we will feel comfortable using this
application online.”
Participant 4: ”Definitely it would be useful my boy, we don’t have to move and we can use this
application to watch events online.”

2) Do you think that having the chat option will facilitate you to communicate with the host and the
participants in the events?
Participant 1: “I would be happy if you could implement such an option in the application because this
will be helpful for us to communicate with our teacher and vice versa”
Participant 2: “You are right Mr. Jaabeer! As an employee, I will be able to communicate with my
clients as well as my colleagues. So it is very important to have such features especially when you are
using the WebEvent application”
Participant 3: “Good idea. You are proposing such a good idea and I would be happy if you could
implement this option in the application. It will be more fun as the client will be able to communicate
with us (organizer) whenever they want. They can give us an overview of the event using the chat
option.”
Participant 4: “I will not go ahead with the proposal since I don’t know how to send a message. If ever
you have another alternative than this then I might consider it.” Hypothesis passed
3) As a UX designer, I’m proposing you have a login page whenever you are using the application.

Participant 1:” Really appreciate your effort of proposing more features in the application sir, as a
student,t it is very important to have a login page in the application ”
Participant 2:” To be honest with you Mr. Jaabeer. Having a login page in the application will make it
more professional and it will act as a security measure. In another word, no one will be able to log in
using my name to do something against company ethics”
Participant 3:” No I (Organizer) will not go ahead with the login page because I want the application
to have simplicity. I want the application to be easy to use ”
Participant 4:” Do you think being 74 years old I will be able to remember the password? I would
suggest you not go ahead with the idea because I want the application to be friendly with an old
person so that we can use it. ” Hypothesis Passed
4) Like many other webinar applications, do you think that having the option to give feedback would
be a good idea?
Participant 1: “Yeah we can add these features in the application because the teacher can give us
feedback and we can use the feedback to improve our performance. So for me(Student), it is a good
idea.”
Participant 2:” Good idea. This will allow clients to give feedback and we will be able to cope with their
requirements. This will give them the option to express themselves by giving feedback”

Participant 3:” As an organizer, I don’t think that the feedback feature will help to make the application
better. I would be happy to have other feature other than the feedback option ”
Participant 4:” Despite being old, our opinion does matter when it comes to feedback on the
application. For me(an old person), it is a must to have this feature in the application.”

5) As an experienced designer, we are proposing the whiteboard option in the application. Do you
want to go ahead with the idea?
Participant 1: Yeah definitely it would be useful for us as well as for the teacher. The teacher will use
the whiteboard features to explain to us
Participant 2:Sorry, I (employee) will not go ahead with the idea of a whiteboard because we will not
use it for anything. So what’s the point of having this option in the application?
Participant 3: As an organizer, I don't think that we will need this option. We will only use features
that can facilitate to create of events for the user

simplicity. We are not going to use these features

Target audience
We can see that we have different generations of people having different dependencies on such
types of platforms, having certain expectations, needs, and demands. It is quintessential that the users
are served with the best user interface. Diverse ages of groups have diverse demands. We have
different types of users who are going to use this platform

The organizer will be the one who is organizing the event. They will use the application differently. A
person needs to buy a premium version of an application to be able to arrange online events and
webinars.

Old people
Though they are the least active consumers online, seniors will use this platform for entertainment
purposes. The application will be easy for the senior to use since it is designed with simplicity to
facilitate the old person.
Research Methodology
Concerning the research methodologies for our WebEvent app, we are opting for quantitative
over qualitative methods for the following reasons:
Firstly, we will need to collect huge amounts of data as we are targeting a huge audience.
Therefore, Quantitative methodologies will be the best options as they are less time and
money consuming.
It is more biased based upon the hypothesis test and it is also consistent with data that is
data gaining from quantitative research is more reliable and precise.
The main drawback of qualitative research is that it is too time-consuming as well as its
interpretation is limited. As our WebEvent main target is to attract a larger audience, we can`t
choose qualitative research since it might take several weeks or months.
Viewed in retrospect, we can say that the advantages of quantitative research outweigh the
advantages of qualitative research.

Data Analysis
As we are aware that there are two types of requirements known as the ‘functional’ and non-
functional requirements. Therefore we cannot fulfill all the demands of the client. Most important
thing is that we give them the necessary features first and then go for the least important features.
The login page is a feature that is very essential to have in the application. We cannot
build the application without a login page. This login page will allow the user to login
into the application so they can track their tickets and events.
The simplicity of the application- After having analyzed the questionnaire, we can say
that many people want to have an easy application that is easy to use. So it is very
important to give the client these facilities
Mobile responsiveness is one of the most important features according to the clients.
Having these features will help the client since they do not need to carry a laptop
wherever they are. They will be able to use the application using their smartphone
anywhere. 7 clients out of 10 said that it was necessary to have the application’s
mobile responsiveness.
Search bar- According to the survey we conducted with the clients, 8 clients out of 10
have agreed that a search bar will help them in their application. According to the
client, nothing is worse than complex navigation on a mobile website. A search
function could ease this experience. When people are on their mobile devices, they

could be out and on the go, and a search bar will allow them to quickly and directly
go to their needed page
Live chat- out of the 10 clients 7 of them want to have a chat option in their
application to communicate with hosts and participants. They will be able to send
private messages as well as group messages.
Feedback is important for our participants so that they can interact with others about
how the event was The clients desperately need this option in their application to
share their experience.
Participants prefer captions for their better understanding of the Event. They want to
have a variety of different languages for captions to be able to choose their preferred
ones.
Functional requirements
Live chat: The client wants to have a live chat option for the host to communicate with the
participants which according to them is very important. Even if your webinar video is not live, you
should have the option to implement a high-quality live chat in your webinar. An automated webinar
experience is great when the chat is live and someone is answering any questions participants may
have about the footage they're watching. Also, it creates a virtual meeting place where viewers can
feel like they are part of a community and communicate with each other during an event. Having the
opportunity to participate in your webinar without worrying about what is happening in the footage
allows you to spend more time talking to your participants and answering questions without the
audience waiting for permission.
Mobile responsiveness: Every part of the webinar attendee experience should be mobile-friendly.
This means that anyone can use his mobile device without experiencing resolution or compatibility
issues. The number of mobile users in the world is increasing day by day, and in some regions, there
are more mobile users than desktop and laptop users. It's important to remember that smartphones
are much more accessible and practical than desktop computers and laptops. This is one of the reasons
why mobile users are so numerous and relevant. Whatever platform you choose, you should be able
to create mobile-friendly content. Those who don't use a mobile-friendly platform for their webinar
miss out on the majority of potential attendees.
Preview: Another key feature that some clients are proposing is a preview which is not found on many
platforms. This allows you to check the way that the webinar has been set up and to look for anything
that may not be configured as expected. The client will use this feature mainly when editing their
webinar. It allows the user to preview the changes he/she made without rewatching the whole
webinar thus saving you a lot of time.
Advanced Scheduling(Reminder): As per the client’s requirement, if they want to set a timer for a
particular event, they should be able to easily set the schedule. It should be easy to set the watch to
run a webinar every hour or every 15 minutes for them to take advantage of the autopilot feature.
Simplicity: The client believes that there is nothing more important than being able to make use of a
practical and reliable interface that simplifies work for them. This is one of the most essential aspects
of any kind of webinar software solution. Attendees should also have an easy time making use of the
platform. If the interface is complex, some attendees might feel discouraged and they could abandon
the webinar. Some platforms are too complex in the way that they present their features and this is

not a good thing for people who have little experience with technology. A good platform is always
going to produce results that will be much easier to handle for anyone who has the most basic
experience with computers.
Search bar: This will help simplify the user experience, design, and feel of the site. There are well-
known benefits of a website's whitespace-to-content ratio. This includes better understanding,
directing users' attention and focus to important content and elements, and increasing the speed of
interaction.
Profile page login & logout: You can log in for the course that you are enrolled in the WebEvent to
have access to the event. And once the event is done you can log out.
Non-Functional Requirement
Discussion forum: Discussion forums and Q&A forums become safe spaces to research and gather
information and solve problems
Posting on a discussion forum is a quick, easy and accessible way of asking questions, getting answers,
and retrieving information. When compared to a customer service phone call, the barriers to entry
are much lower. By simply offering a discussion forum or question-and-answer forum as a platform
for your customers and prospects to voice their opinions and ask questions, you’re removing a barrier
– the traditional phone call – which many may not wish to do. Some examples of why include: the
issue is not considered important enough to sit in a call queue, the customer does not have the time
to wait, or the customer does not want to complain to a person over the phone. As a result of this,
more issues get resolved and better brand trust is built through digital tools such as discussion forums
and question-and-answer forums as part of a brand’s online community experience.
Event feedback survey questions are survey questions asked after an event has concluded to the
attendees understand their opinions about the event. Every attendee has a unique experience, so it
is essential to understand every individual’s opinion. These survey questions can be asked for public
events, training courses, conferences, conclaves, exhibitions, and webinars. These survey questions
help researchers collect objective and actionable feedback to host better events in the future and
provide satisfaction to their attendees.
For example, a training institute has carried out a training session for software professionals. The
organizers believed that it could have been better in certain aspects, such as the facilities and material
provided to the attendees. However, the data suggested that the attendees appreciated the event.
There were many signups for the next training sessions. It also shed light on other things that needed
improvements such as the registration process and the audio system. The organizers can use surveys
such as event evaluation surveys, event planning surveys, or surveys to understand the attendees’
expectations and work on improvement areas.
Captions/subtitles: There’s a lot of work that goes into planning a conference, seminar, or webinar.
There are many factors to take into consideration to organize a successful event that makes your

attendees leave feeling satisfied. One consideration that can often go unfulfilled is accessibility, and
in particular, offering captions. Check out these six key benefits of captioning your webinar.
Accessibility: If you have any attendees who are deaf or hard of hearing, they’ll often struggle to hear
what your fantastic speakers are saying without a means of access such as captions. And if these
attendees don’t know what is being said, they won’t be satisfied with the webinar. With 1 in 6 people
being affected by some degree of hearing loss, it’s important to accommodate these attendees just
as much as your hearing attendees, so that everyone can access the information in each presentation.
Transcripts: As captions turn speech into text in real-time, a transcript is created containing all
dialogue that has been captioned. After the webinar, this transcript is then yours to own. You can
make this available to your attendees as a nice free value add, or charge a small fee to help cover your
overall costs. If you’re uploading a recording of the webinar online, you can even utilize the transcript
to create closed captions. It’s up to you!
Conclusion
From this case study, the result shows that the new application gives users a better experience in using
the application because it makes the user more engaged. I hope that all the client’s suggestions were
implemented in the application. Some of the requirements were rejected for ethical reasons. The
application is designed after taking the consideration of all the target audiences. Therefore it was very
necessary to conduct the UX case study to build the application so that it is designed close to
expectation.
