1. INTRODUCTION
What is Management information system?
A management information system is an information system used for decision-making,
and for the coordination, control, analysis, and visualization of information in an
organization. The study of the management information systems involves people,
processes and technology in an organizational context

What is an Employee Management System?


Employee management systems are useful for running a smooth organization, especially
organizations of scale. It assists HR personnel to keep track of employee
information such as salary details, medical information, attendance/leave records, overall
performance and more.

What is an automated employee management information system?

An Automated Employee Management Information System  are sets of software and


hardware that allows computer systems, network devices or machines to keep track of
employee information without little or no user intervention.

Employee information management system is a suitable one for running an organization


in a successful manner. It permits recording all the points of interest of representatives to
oversee them from anyplace. Grandeur employee management system is a suitable one
for coordinating with human asset modules by tending to correct needs. An alternate
preference is that it serves to keep individual record such as worker advantages,
occurrence reports, evaluations, and so on.
Why do we need an Employee Management Information System?

A manual employee record management has myriad of problem associated with its smooth

operations.

These problem include the following.

 Adopting a manual approach to running the operation of employee record is very

cumbersome and challenging.

 No centralized database for the employee, its difficult to get information about the

employee

 Another problems is that the institution increase the file will increase

 Files can easily get missed

 Other problem includes updating employee data screening on employee and so on

To ensure a standardized object oriented program in its entire ramification, we will use
Microsoft visual basic 6.0 as the programming language and Microsoft office Access to
call up the database which is a pseudo relational database management system from
Microsoft that combines the relational Microsoft jet Database Engine with Graphical
interface and software development tools.

SYSTEM REQUIREMENTS
The requirements for the implementation of this system are as follows:

i. Software requirement.
ii.Hardware requirement.

HARDWARE REQUIREMENT

The following hardware are required for the efficient work of the system:

i. At least 20 gigabyte of hard disk


ii. At least 128MB of RAM
iii. At least 650MHZ of speed processor
iv. At least Pentium II mother board
v. CD ROM
vi. Floppy Disk

SOFTWARE REQUIREMENT

The following software is needed for adequate implementation of the design:


i. Window 98/2000/xpetc
ii. Microsoft FrontPage
iii. Visual Basic
iv. Macro Media Dream Weaver
v. Microsoft Access
vi. Internet Explorer

4. METHODS.
The changeover from the old to the new system may take place when:

 The system has been proved to the satisfactory by the system analyst and the other
implementation activities have been completed.
 The targeted data for changeover is due

The changeover may be achieved in a number of ways. The most common methods
areas are.

1. Direct changeover
2. Parallel changeover
3. Pilot changeover

5. EVALUATING OPTIONS

i. DIRECT CHANGEOVER: this method is the complete replacement of the old


system by the new ones. It is a bode move which should be undertaken only when
everyone concerned has confidence in the new system. When a direct changeover
itself planned in detail. This method is potentially the least expensive but the most
risky for security reason, the old system may be held in a balance and in the event
of a major failure of the new system the organization would regard to the old.
ii. PARALLEL RUNNING: this means processing current data by both the could
and new systems alive an operational until the new system has been proved for at
least one system cycle, using live data in a real operational environment. It allows
the result of the new system to be compared with the old system before
acceptance by the user, thereby premising user’s confidence. Its mains
disadvantage is the extra cost.
iii. PILOT RUNNING: pilot operation is the types; the first can be described as
introducing the new system in piece meal fashion. It may difficult to do this with
a integrated system as a separate entity. The other method can be described as
phase out parallel running. Then the new system is first the result checked against
the known figures from the original system. This is easier to control than the
parallel running. For this study, the changeover method used is the parallels
changeover method.

6. CONCLUSION
From the above changeover method, the changeover to be used to adopt the new
system is the parallel changeover method.

WHY PARALLEL CHANGEOVER

The advantage of parallel running in both systems is the possibility of checking new
data against old data to catch any errors in processing in the new system If errors are
found, user can refer to the old system to resolve the problem and make modifications
to the new system thus operation can continue under the old system while the
problems are sorted out. This also allows training of staff and helps them to gain
confidence in the new system.

7. RECOMMENDATION
Currently the computerized employee record keeping system is developed as a stand-
alone application for windows operating system it is recommended that the institution
should provide a study light in the unit in order to harness the potentials of this
software. This new system is affordable, profitable, efficient and reliable Adopting this
system simply means having a fast and centralized database for the institution
employees. Considering the 3 project management constraint, I recommend that in due
time the implementation of this system should begin.
