Accessing Macros through the Quick Access Toolbar

After you create a macro, you can assign it to a button on the Quick Access Toolbar. If that macro was
created in the Personal Macro Workbook, that macro will be available in other workbooks throughout
Excel.

Adding a macro button to the Quick Access Toolbar:

1. Right click the Ribbon.


2. Select Customize Quick Access Toolbar…

3. In the Choose Commands From list, click Macros.


4. Select the macro you want to assign a button to.

5. Click Add>>.
This will move the macro to the list of buttons on the Quick Access Toolbar.

Notice that above the list of buttons on the Quick Access Toolbar is a drop-down list asking you where
you want the buttons to be displayed.

If you want the button to be available every time you open Excel, select For all documents (default). If
you want to button to be available only for a document you currently have open, select that document
from the drop-down list.

Modifying the macro button icon:

As you add multiple macro buttons to the Quick Access Toolbar you will notice that all macros have the
same symbol.

Adding multiple macros to the Quick Access Toolbar, without changing the icon might get a little
confusing. To replace the macro icon with a different button for your macro:

1. In the list of buttons on the Quick Access Toolbar, select the macro.
2. Click Modify…
3. Under Symbol, select a button icon for your macro.

4. In the Display name: box, enter the name you want to display when a user rolls their mouse
over the icon.
5. Click OK twice.

The new button appears on the Quick Access Toolbar, where you can click it to run the macro.

Rearranging buttons on the Quick Access Toolbar:

1. In the list of buttons on the Quick Access Toolbar, select the macro you want to move.
2. On the right of the list, click the up or down arrow until the button is in the position you desire.
