Sub: Letter of Intent (LOI) for the work of ‘Event Management of Festival of
Libraries’ in Hall No. 5(GF), ITPO, New Delhi.

Sir,

With reference to your e-tender against our Request for Proposal (RFP) published
vide Tender Id No.2023_NL_758383_1 for the work of Event Management of ‘Festival of
Libraries’ in HallNo5 (GF), ITPO, New Delhi,it is intended to award the subject work to
youat your quoted amount of Rs.3,14,34,900/- (Rupees three crores fourteen lakhs thirty
four thousand nine hundred only) Plus taxies, amounting to Rs.3,68,51,382/- (Rupees
three crores sixty eighty lakhs fifty one thousand three hundred and eighty two only) as
per attached Price Schedule(Bill of Quantity).

In this context, you are requested to submit the following documents at this Centre
within three (03) days from the date of issue of this Letter of Intent (LOI): -

1. The copy of this Letter of Intent (LOI) duly stamped and signed as a token of
acceptance.
2. You are required to sign an Agreement with the Director General, National Library in
approved format on a non-judicial stamp paper of appropriate denomination.

The date of commencement of the work shall be the date of issue of this LOI. The
period of the event is 05-8-2023 to 06-8-2023 (both days inclusive). The entire exhibition
must be made ready in all respects by 03-8-2023 (evening/night) and the same has to be
dismantled after the event is over and the vacant site should be handed over to the ITPO
Authorities by 07-8-2023 (evening).
 You may please note that after completion of the work, the bill may be submitted in
duplicate based on the actual work done at site for processing the bill for payment as per the
terms & conditions given in the RFP. The payment shall be made as per actual work done at
site.
