© SP.07.150 MANAGEMENT OF T & P NOTICES AND NavicaTionat {Sev 4 20.08.201 WARNINGS MESSAGES Dated: ° 1 PURPOSE The aim of this procedure is to describe processes for the proper and efficient management of the Temporary & Preliminary notices and all the Navigational Warning messages received through EGC and NAVTEX equipment. 2 = Scope Company's managed vessels. 3. MANAGEMENT oF TEMPORARY & PRELIMINARY NOTICES 3.1 For the vessels using ECDIS and where the ECDIS is supporting AIO facility then the T&P notices will be updated using the supplied AIO CD/DVD. If for some reason the AIO CD/DVD is not available on board the vessel, then the AIO files will be uploaded to the vessel by IT Department. 3.2 For the vessels using ECDIS and where the ECDIS is not equipped with or not supporting the AIO facility tool then the T&P notices will be received through ChartCo. A list will be populated by the navigation officer including all applicable T&P notices for the specific voyage and a reference will be made in the voyage plan. The T&P notices will be drawn in the vessel's ECDIS using user map facility and each overlay will be saved with the notice number [T&P XXXX(T/P)/YY]*, in case there is a large number of T&P Notices effecting the planned voyage a cumulative user map could be drawn and saved as [ Voyage name (T&P)/ YY]. Upon commencement of every voyage and throughout the entire voyage the T&P notices will be checked against the populated list and the applicable overlays will be drawn and activated or deactivated and deleted as necessary. * (XXXX = Notice Number, (Temporary or Preliminary)/ YY = Year) 3.3. For the vessels using paper charts the T&P notices will be received through ChartCo. The ChartCo providing a T&? notices list sorted per chart. The charts containing T&P notices will be updated (by pencil) in the footer of the chart with the number of T&P notice and the notice will be plotted on the chart. Upon commencement of every voyage and throughout the entire voyage the weekly ChartCo T&P list will be ‘compared with the notices included in the charts’ footer and in case the notice is or is not in force any more it will be included in or it will be erased from the chart (footer and plotted part) 4 MANAGEMENT oF EGC NAVIGATIONAL WARNING MESSAGES. The EGC Navigational Warning messages that are less than 2 weeks are received on board through Sat-C equipment. The company transmits weekly to the fleet all the past EGC Navigational Warning messages that are in force and not transmitted through EGC services. All the current voyage EGC messages should be maintained in a voyage file tll the completion of the voyage. The EGC messages will be acknowledged by the DOOW and in case the EGC message affects the planned route of the current voyage then this EGC message should be acknowledged by all DOOW and the Master, Upon completion of the voyage all the EGC messages should be removed from the file and archived with other voyage related files, 4.1 For the vessels using ECDIS, the navigation officer will check the EGC navigational warnings list for the specific voyage and a reference will be made in the voyage plan for the EGC messages that affect the Process Administrator Process Owner een aren, een iran Page 1 of 3 20.08.201 SP.07.150 MANAGEMENT oF T & P NOTICES AND Navicationay | Sev: ___4__ WARNINGS Messaces Dated: 7°98 current voyage plan. The EGC messages that affect current voyage plan will be drawn in the vessel's ECDIS using user map facility and each overlay will be saved with the EGC number (EGC AA/XXXX/YY)**, in case there is a large number of EGC messages effecting the current voyage plan, a cumulative user map could be drawn and saved as ( EGC AA/Voyage Name/Y¥). Upon commencement of every voyage and throughout the entire voyage the EGC navigational warning list and new messages will be checked against the applicable EGC overlays and the EGC messages will be drawn and activated or deactivated and deleted as necessary. ** (AA = Navarea / XXXX = Notice Number / YY = Year) 4.2 For the vessels using paper charts the navigation officer will check the EGC navigational warnings list for the specific voyage and a reference will be made in the voyage plan for the EGC messages that affect the current voyage plan. The EGC list will be updated (by pencil) next to each navigational warning message with the number of the chart(s) that is (are) affected. The charts containing EGC messages will be updated (by pencil) in the footer of the chart with the number of EGC navigational warning and the message will be plotted on the chart. Upon commencement of every voyage and throughout the entire voyage the EGC navigational warnings list and new messages will be compared with the EGC messages included in the charts’ footer and in case the navigational warning is or is not in force any more it will be included in or erased from the chart (footer and plotted part) 5 MANAGEMENT oF NAVTEX MESSAGES AND NAVIGATIONAL WARNINGS. All the current voyage NAVTEX messages should be maintained in a voyage file till the completion of the voyage. The NAVTEX messages will be acknowledged by the DOOW and in case the NAVTEX message affect the plan route of the current voyage then this NAVTEX message should be acknowledged by all DOOW and the Master. (Please also refer to SP.07.221, Par. 6) Upon completion of the voyage all the NAVTEX messages should be removed from the file and archived with other voyage related files. 5.1 For the vessels using ECDIS and where the ECDIS is supporting NAVTEX messages then the NAVTEX warnings will be updated and displayed in the ECDIS automatically and shall be checked/verified to assure they are not expired 5.2 For the vessels using ECDIS and where the ECDIS is not equipped or not supporting the NAVTEX messages display tool then the NAVTEX messages that affect the current voyage plan will be drawn in the vessel's ECDIS using user map facility and each overlay will be saved with the NAVTEX number (NAV 8,B,8;84/XXK/YY)*** in case there is a large number of NAVTEX messages effecting the current voyage, a cumulative user map could be drawn and saved as ( NAVTEX AA/Voyage Name/YY). Upon commencement of every voyage and throughout the entire voyage the NAVTEX list and new messages will be checked against the applicable saved overlays and the NAVTEX messages will be drawn and activated or deactivated and deleted as necessary *** (B, = StationCode, B, = MessageType, 838, = MessageNumber AA = Navarea / XXX = Notice Number / YY = Year) 5.3 For the vessels using paper charts the navigation officer will check the received NAVTEX messages and in case the NAVTEX message is affecting current voyage plan the notice will be drawn in the chart. All the NAVTEX notices should be removed from the voyage charts before the planning (drawing) of the next voyage unless the vessel is still using charts that containing NAVTEX notices from the last station(area) of the previous voyage.
