1.0 Observation of the Workplace
This chapter presents the observation of the company, Institut Integriti Malaysia (IIM).

1.1. Job specification and company profile


Institut Integriti Malaysia (IIM) or also known as the Malaysian Institute of Integrity
is an operational body that was established in April 2004. The establishment of
IIM is to coordinate, observe and evaluate the execution of the National Integrity
Plan (NIP). Now, the plan has been renewed to the National Anti-Corruption Plan
(NACP). This organisation aims to expand the capacity as well as efficiency of
government and private sectors to achieve nationwide integrity and be a notable
country that is known for its integrity. In order to achieve the agenda, IIM provides
consultation services, assessment tools and training programmes for government
agencies, private sector as well as small to medium entrepreneurs. This effort is
done to strengthen and cultivate integrity as the core values of each organisation.

I started my internship in IIM on 1 September 2022, Thursday. Initially when I


entered this company, I was placed under the Corporate Communication Section
(SKK) and Encik Zubayry Abady was my supervisor. When I first joined this
section, I did not have a specified job description which goes for about a month.
The officers from SKK did mention that the section mainly uses Malay language
as the main mode of communication internally and externally. Hence, they did not
have any specified role to give as there were not many tasks that used English
language in the section. During the first month of internship, I was told to
translate materials from the IIM website since they will be upgrading their website
to have a bilingual option. After a while, I realised that I could not utilise my ability
to the fullest in the section due to the language use in the section and my
existence there is needed only when they need to translate materials. Aside from
that, most of the tasks that I did received no feedback from the officers and this
process repeated for about a month. The mentioned incidents are the main
reason why I decided to have a discussion with the Section head and HR officer
to see if I can be transferred to another section that mainly uses English
language to fulfil my internship requirement as well as to allow me to contribute
my fullest potential towards the organisation.
In October 2022, I was transferred to the International Relations Section (SPALU)
under Puan Rajesh care. This section mainly uses the English language as the
mode of communication both internally and externally. In this section, I had the
opportunity to utilise my ability to the fullest where I was given the task to
translate; conduct research for keynote speeches; draft annual report, section’s
guideline, risk register and 2023 budget planning for the section; participate in
events as well as meetings. These tasks that were given have challenged my
ability and helped me to grow not only as an internship student but have given
me life lessons.

1.2. Observations of work context, work experience and work culture


The Institut Integriti Malaysia (IIM) values teamwork in every aspect of their work.
It is very fascinating to observe several sections coming together to make an
event successful. The employees are a good team player as they did not
overshadow each other nor micromanage any other section. I have worked
together with other employees outside of my section for several events. For
instance, the recent event of “Youth Leadership Programme (YLP) 2022”, a
delegation from Cambodia visited IIM to learn more on the efforts made to spread
integrity awareness among the public. This event involved several sections such
as Corporate Communication Section, Administration Section as well as the
International Section. We worked together from the preparation up to the closing
of the event. For this event, I was given the tasks to prepare tagging and to
translate presentation materials and it was then checked by the Corporate
Communication section as well as the Head of International Relations section.
Aside from that, I also worked with the Administration section to check the
organisation of seatings for the event as well as meals prepared for the guest.
This is one of the experiences that I had involving other employees in IIM and it
has taught me on how to work with employees of different backgrounds.

1.3. Observations of communication practice and language use


This organisation mainly uses the Malay language to communicate with each
other. Throughout the four months interning with IIM, I realised that there were
not many sections that use English language fully. There are several sections
that partially use English to communicate with their clients such as the Marketing
Section and Advocacy and Training section. The only section that uses English
language fully is the International Relations section as they deal with embassy
and international clients that would like to collaborate with IIM for sharing best
practices.

2.0 Sample of Work


Most of the work done in the section was compiled in the GDrive created by me. All work
samples are included and labelled accordingly. (Refer Appendix for work samples.)

2.1. Translation
During my first month in IIM, the head section told me to translate the IIM official
website as they planned to revamp the website. There are several items that I
have translated such as the website interface and information as well as daily
postings of activities handled by the organisation. As for the website translation,
there are a total of 54 pages of the work sample but only a few are presented in
the Appendices. Aside from that, I also helped in translating articles written by
officers to be published in the IIM Quarterly Bulletin.

2.2. Prepare Keynote Speeches


As for preparing keynote speeches, I conducted research according to the topics
given by the higher ups. Most of the keynote speeches are prepared for IIM’s
CEO and consultants to present in International conference as well as English
based conference in Malaysia. These are several conferences that I have
prepared keynote speeches along with my colleagues which are for United
Nations Development Programmes’ (UNDP) forum ‘Promoting A Fair Business
Environment in ASEAN (Fairbiz)’ in Bangkok, Thailand as well for the 3rd
International Conference on Build Environment and Engineering 2022 (IConBEE)
titled ‘Integrity and Governance Ensuring Transparency in the Construction
Industry’.

2.3. Draft important documents


During my internship in the International Relations sector, I was given tasks to
work on drafting important documents such as annual reports, sections’
guideline, risk register and 2023 budget planning. These important documents
are done under supervision of Puan Rajesh. There were a lot of follow ups
needed to complete each task as it determined the technical parts and work flow
of the section.

3.0 Self-evaluation of performance


Throughout my internship period in IIM, I have learned a lot of things from the people in
the organisation. I realised that my attitude in the workplace has improved. For instance,
I am used to submitting things without asking for follow-ups. This has caused a lot of
trouble where I did not know the progress of my work and delay in submitting the task. I
have learned that asking follow-ups is never rude and it is also to remind them of the
pending task. It does not only ease my work but also others as well.

Aside from that, interning in IIM helped in familiarising myself with terms that are related
to integrity and governance. At first it was hard for me to understand the term as what I
have learned in LG243 is different from the one that is being used in the organisation. In
a way this has become an obstacle for me but I managed to adapt myself. It took me
about a month to get myself familiarised with the terms used. I went through the
dictionaries and several books to understand the meaning and to find an accurate word
to replace the Malay terms into the English language. I actually enjoyed the process of
learning new things as it never fails to amaze me.

Furthermore, aside from terms that I have to learn, I also learn to view the concept of
integrity in various perspectives. I realised that in a way my knowledge on culture has
helped to have a better comprehension when it comes to learning new perspectives.
Being open-minded to knowledge has eased my learning process when conducting
research for keynote speeches. Aside from that, my familiarity with doing research and
speeches from my studies has also contributed to my skills when completing my task.

Last but not least, throughout my internship I have managed to make connections with
people around the office. I have yet to make connections with the clients as the section
is still developing and will be collaborating with other international agencies in the future.
Overall, it was a fun experience that has benefited me as well as prepared myself for my
upcoming work journey.
