Business Requirements Document (BRD)

Requesting Department: Merchandising

Date of Request: 18th June Expected Release Date: 27th June

Request Type :(CR/New requirement / Priority (High/Medium/Low): High

Defect):Defect

Application Name: Sabina Easmin

Module Name: ERP

Background / Executive Summary:

When viewing label information, it is challenging to obtain a comprehensive overview due to the code-
based representation. Multiple codes are generated for each label type, making it difficult to identify the
necessary information and potentially leading to missed codes. This issue can have serious implications for
label inventory management. Additionally, it is crucial to have a streamlined process that allows for easy
tracking of labels from requisition to bill report, ensuring accurate inventory management.

Requirement Title: Single sentence

simplify the process for accessing label information

Requirements Details: 1) Implement a master code system for labels, where sub codes are categorized under
the corresponding master code for each size.

2)Develop a comprehensive reporting mechanism that allows for tracking labels from requisition to bill report,
ensuring visibility and accurate inventory management for all labels.

Scope:

Functional Requirements:

1)Master Code System: Develop a system that allows for the creation and management of master codes for
labels. This functionality should enable the association of sub codes with their respective master codes based

0|P a g e
on sizes.

2)Sub Code Association: Implement a feature that allows sub codes to be linked to their corresponding master
codes based on label sizes. This association should ensure that all sub codes are organized under the
appropriate master code.

3)Reporting Functionality: Create a reporting module that generates comprehensive reports showing the
journey of labels from requisition to the bill report. This functionality should provide visibility into the label
inventory and facilitate accurate tracking and management.

Non-Functional Requirements:

1)Usability: Ensure that the system for accessing label information and generating reports is user-friendly and
intuitive. It should be easy for users to navigate and understand the interface.

2)Performance: The system should have efficient performance to handle a large volume of label information
and generate reports in a timely manner. It should be able to handle multiple requests simultaneously without
experiencing significant delays or system slowdowns.

3)Reliability: The label management system should be reliable and robust, minimizing the risk of errors or data
loss. It should provide accurate and consistent information regarding label codes, sizes, and their associations.

4)Scalability: Design the system to be scalable, allowing for future growth in label inventory and
accommodating additional features or enhancements as required.

5)Security: Implement appropriate security measures to protect the label information and ensure that only
authorized personnel can access and modify the data. This includes user authentication, data encryption, and
access controls to prevent unauthorized access or tampering.

Out of Scope:

1|P a g e
1)Label design or artwork creation: The scope does not include the creation or design of label artwork or
graphical elements. This requirement focuses solely on the management and tracking of label codes and sizes.

2)Label printing or manufacturing: The system does not cover the actual printing or manufacturing process of
labels. It deals with the organizational aspects of label codes, sizes, and inventory management.

3)Integration with third-party systems: The scope does not include integration with external systems such as
inventory management software, enterprise resource planning (ERP) systems, or label printing equipment.
The focus is on developing an independent system for managing label codes and tracking their journey.

4)Label distribution or shipping: The system does not handle the logistics or shipping aspects of labels. It
focuses on the internal management and reporting of labels within the organization.

5)Label quality control or compliance: The system does not address quality control processes or compliance
requirements specific to label production or industry regulations. It focuses on organizing and managing label
codes and sizes.

Report Requirement:

Input Parameter:

Requisition ID or Date Range: The report should accept input parameters such as a requisition ID or a date
range to filter the labels based on requisition or a specific time period.

Output Fields:

Label Code: Display the Master code assigned to each label.

Size: Show the size or dimensions of each label.

2|P a g e
Requisition Date: Provide the date when the label was requisitioned.

Bill Date: Display the date when the label was billed or invoiced.

Status: Indicate the current status of the label (e.g., requisitioned, billed, shipped, etc.).

Quantity: Show the quantity of labels requisitioned and billed.

Master Code: Display the master code associated with each label.

Sub Code: Show the sub code linked to the master code for each label size.

Business Logic:

Filter by Requisition ID or Date Range: Apply the input parameter of requisition ID or date range to filter the
labels for the specified requisition or time period.

Retrieve Label Information: Fetch the relevant label details from the database based on the filtered requisition
ID or date range.

Sort by Requisition Date: Order the labels chronologically based on the requisition date.

Retrieve Bill Date: Fetch the corresponding bill date for each label from the billing records.

Determine Label Status: Apply the appropriate business rules to determine the current status of each label
based on requisition and billing information.

Calculate Quantity: Calculate the quantity of labels requisitioned and billed for each label entry.

Retrieve Master and Sub Codes: Retrieve the associated master code and sub code for each label size from the
database.

3|P a g e
Generate Report: Compile the retrieved information into a comprehensive report, presenting all the output
fields in a structured format.

Note: The specific implementation details may vary depending on the system architecture and database
design. The mentioned requirements and business logic serve as a general guideline for developing the report
functionality.
