Word Definition
Lifecycle The steps for completing work in Enterprise One. Each step is assigned to a person or team to complete.

Outcome The output of work, which can be any combination of products, services, applications, technology, assets, facilities.
Enterprise One – Portfolio and Resource Management

Planning The menu used for investment and capacity planning; the first steps of setting up work.

Portfolio Grouping of information (work, resources, etc.) that YOU are responsible for or want to see.

Program Strategic initiatives with associated costs, revenue, and budgets.

A type of “Work” that has a defined start and finish, defined scope, and planned resources. All projects are Work, but
Project not all Work consists of projects.

Resources Something or someone assigned to work.

Strategies Work, initiatives, programs, and/or objectives designed to achieve a major or overall organizational goal.

Security: Grants
What You Need to Know
Grant settings allow you access to data in the system. Read-only grants let you view information, but not change it. Read/write grants allow
you to make changes. Grants apply to different types of data, like work, resources, strategic programs, or outcomes. For example, you may
have access only to your department’s work and your team’s resources.
In some circumstances you may be able to give grants to information to others.

 If single sign-on is in use, you may need to change your password on that system rather than Portfolio and Resource Management.

Navigational Search
What You Need to Know
The Search box at the top of the Portfolio and Resource Management screen finds entities (Work, Resources, Requests, Strategies, etc.)
containing the combination of letters/numbers typed in. You can use * before the string to find items with the search string after or any other
combination.
Action menus for each search result let you access relevant screens or perform common actions.
Search results are determined by your grants.

Don’t Forget
 The Search box is an entity navigational search. It is meant to help you find the primary pages for work or resources fast and take you to the most
common pages for those entities. It will not search every field in the system.

What You Need to Know
If you have the responsibility of creating new work, you can do so from:
• The +New dropdown at the top of any screen

• The +New Work link on the Work menu

In some workflows, new work can also be initiated from a request or a strategic program.
To create new work, you first complete a Basic Info screen, then at least one additional screen, depending on workflow. This collects the data
needed for any item of work.
The Basic Info section of the New Work screen is used (at a minimum) to determine the name of the work, where in the work hierarchy the
new work will go, and what type of work it is. This information can later be found in the Work View.

Don’t Forget
 The Work Type selection determines the lifecycle for the work. It should not be changed once the work is initiated.

What You Need to Know
Lifecycles are the key steps from your work process flow, automated in Planview Enterprise One – Portfolio and Resource Management. The
lifecycle role and responsibility are defined for each step; this is who is expected to complete a step when filling a role within the system, not
the person’s primary job title.
Access work lifecycles from a tab on the Work View screen. You can also access the lifecycle by clicking the icon in View Lifecyle columns in
tiles, such as Active Lifecycle Steps.
On the lifecycle diagram:
• The active lifecycle step is highlighted.

• Icons allow you to determine the status of each step

Don’t Forget
 Sharing portfolios allows for effective collaboration. When resources are shared as part of a portfolio, you will still need the appropriate
grants/permissions to access or make updates to the resource attributes.

The Work and Assignments screen allows you to review, create, update, and manage the schedule for a work item. Schedules can include
tasks, activities, milestones, resource assignments, and action items.
There are multiple views:
• Schedule: the work schedule

• Resources and Assignments: the resources and their assigned schedule line items

Work and Assignments Overview
What You Need to Know
Some of the original tasks, activities, and milestones may have come from the template selected when the work was created. Others may
have been added to support the work that you are doing.
Upon review, you can update or delete tasks, activities, or milestones to reflect the current work schedule.
You can build out the schedule using by defining the duration and relationships among the tasks and activities.

Don’t Forget
 Portfolio and Resource Management is a duration-based schedule. It uses the defined durations and relationships of the tasks, activities, and milestones
to determine the schedule start and finish dates for each schedule line item.
 If you change the Schedule Start or Schedule Finish date, the system thinks that there is something important about that date and will set a constraint to
“hold that date”. You may or may not want to remove the constraint.

What You Need to Know
From the Work and Assignments screen you can: Action Menus are used throughout the system. The action menu, on

Action menus let you:
• Insert, delete, cut, indent/outdent, copy, and paste lines in the structure
• Create relationships (this depends on your methodology—Agile/Lean, Waterfall/Stage Gate, etc.)
• Go to the Work Detail page to change information entered when creating the work
• Column sets let you manage different attributes and data elements of your schedule
• On each schedule line you can:
• Modify or add durations
• Edit or add dates
• Modify relationships
• Click the Schedule button to apply the relationship definitions that you have added to your schedule (constraints, lag/lead, etc.)

 The start date can come from: time now, the requested date in basic info section, the relationships between preceding tasks and activities, or from

What You Need to Know
Different resource assignment types are available to help plan work. Reserves schedule and generate demand for specific named resources.
However, using these various resource assignments can be optional. Reserves “soft book” a resource, so that others know you want to use them, and
Resources aren’t always people. They can be tools, production lines, labs, the work gets on the resource’s schedule.

Resource Assignment Types: Use reserves to assign resources to ongoing support or maintenance types of
work.

Dates for reserves are static; they don’t change if the work schedule dates change.
Requirements don’t request a specific named resource; instead they are for
organizational resources (OrgRes). Allocations book named resources and generate demand.
Requirements are used for long-range or future planning. Use allocations for the current working plan, in the near future.
Dates on requirements will move as schedule dates change. Allocations apply to a specific task, and dates move with the task.
Allocating resources enables them to report time to that work on their timesheets.

Don’t Forget
 Make sure that reserves and allocations are associated to a requirement when appropriate. Otherwise, the system will see these as two unique resource
assignments, potentially inflating your effort and cost estimates.
 An allocation must be in an approved state to be available for time reporting on a timesheet.

Authorizations allow resources to track time to the work. Standard Activities are not work-related activities. Examples are
payroll/HR activities (vacation, PTO, sick, others).
Authorizations do not generate resource demand, so you may need

What You Need to Know
The information on the Work View screen allows you to focus on and drill down into the work details using tabs and tiles.
Tiles in the Work View include Work Detail, which shows the Basic Info and any other attributes you added when you created the work, and
potentially links to other detail screens. Additional tiles provide reports of data related to the work.
Tiles can support in the analysis of work by providing details, count summaries, breakdowns, and reports. The Work Detail tile is an example
of this; it brings together a variety of attributes, information, and links to additional detail screens into one screen.
Tabs serve various purposes. Some are shortcuts to additional information screens, show dependencies, work associations, and/or a status
report.
Action menus on the Work View take you to other screens or allow you perform actions.

 If you return to the Work View screen and are not seeing the desired tile ribbon, check the active tab. The tile ribbon is on the overview.

The purpose of the Financial Planning Detail screen is to record all monetary aspects of work:
• Labor

• Costs
• Expenses

• Benefits/revenues (if used)

Financial versions can serve as financial snapshots for your work. Often when there are approval steps in the work’s lifecycle, a version is

What You Need to Know
Schedule baselines are often taken as directed by the governance of the workflow, but ad-hoc baselines can also be taken from the Work and
Assignments screen. Governance or lifecycle baselines are usually created upon approval to move forward with the schedule and resource
assignments. Additional baselines may be created to work through a “what-if” scenario or record a “before” snapshot.
There can be only one active baseline at a time. The baseline marked at “active” is used for analytics and is on the Gantt chart.
You can restore to a baseline. For example, you can take a “before” baseline then make some changes to the schedule and/or resource
assignments to see what effect a potential change could make. You can even take a baseline of this potential schedule. After reviewing the
changes, you can then restore to the previous-state ”before” baseline. If later, the potential schedule is what you will want to use going
forward, you can restore to that baseline.

Don’t Forget
 There must be an active baseline for some analytic tools to work properly.

 When you “compare” to a baseline, you are comparing the selected baseline and the schedule that is currently displayed on the Work and Assignments screen.

 Think carefully before you restore your schedule to a baseline schedule. You might lose adjustments to the schedule activities, dates, action items, and resource assignments that have been made
by you or the progressing process, since that baseline was taken.

Work Portfolio View
What You Need to Know
You can create as many work portfolios as you want, to group your work by criteria relevant to you. You can also share portfolios with other users.
The Portfolio View screen includes action menus that let you work with the entire portfolio (edit, delete, export, etc.). It also has tiles that show information
about the selected work. The Portfolio Manager tile contains:
• The list of relevant work/projects
• Action menus for each item of work that let you navigate to other work screens and perform other common actions
• Columns of information, determined by the column set selection
• Tree, list, and group controls that let you change the focus of the listed work
• A summarization control that lets you turn summarization of financial information on or off
• A ribbon of tiles that provide information on the portfolio items or display reports
• A filter box that lets you narrow down the list of work displayed

Don’t Forget
 When reviewing or summarizing financial data, be sure to check for the correct financial version.
 Sharing portfolios is helpful; it allows for effective collaboration. When work is shared as part of a portfolio, you will still need the appropriate
grants/permissions to access of make updates to the details of the work.

What You Need to Know
The Resources and Assignments view allows you to change your focus of the schedule to look at all the assigned resources and what work
they are assigned to. Use it to update assignments and the resource schedule. This view is particularly helpful in preparing for conversations
with resource management.
Change the display preferences to add a bar or a heat map color to give you a visual clue as to how busy the resources are in and outside of
your work.
The action menu for a resource:
Provides access to a Resource Management and Assignments screen for that resource, for detailed analysis.
Allows you to quickly access the Resource View screen, to show how the resource is defined in the system.
Allows you to substitute another resource for this one. This is useful if you need to move someone off one assignment to another, or you need
someone else to continue with the work.

 Requirements are not displayed in this view, because they are for organizational resources, not named resources.
 Making changes requires communication with others who are affected by the change.

Progressing is an action that runs and affects your schedule. Details
Review in-flight tasks and activities for the schedule and the resources.

After Progressing
Use the Work View screen to review the Updated by Progressing Engine tile.
Looking at the schedule, filter by the status of Assumed Completed. Determine whether any work in this status is actually complete or not.
If an Assumed Completed item is complete, mark the status according to your process.
If the work is not complete, set it to an active status and adjust the schedule and assignments.

What You Need to Know
Usually all the CRI types are used, though in some organizations, a subset may be used for a time. Each can be transferred to another or moved between
work items or projects. They are visible from:
• Column sets
• Work View tabs
• Tiles on the ribbons of selected projects or portfolios
Risks are typically anything that threatens or limits the ability of work to achieve its goal and meet its objectives or has an impact on the production of work
deliverables.
Issues are unplanned events of potential significance, often resulting from the occurrence of a risk.
Changes to work can affect the cost, schedule, quality, or scope. Change management is the process whereby changes to work are formally introduced and
approved. It is the practice of evaluating, controlling, and approving important changes made during ongoing work and ensuring that all project resources
are aware of the changes that affect them.

Don’t Forget
 In some configurations, creating a CRI will kick off a lifecycle.
 If you transfer or close a CRI, it is no longer “active” and won’t show up on the Active tiles. It is still there, but you need to use the other tiles, tabs, or
screens to review.
 If you start a CRI using the +New button, you will be required to specify which work item it is for.

What You Need to Know
When work, or any line in the work schedule is marked as Completed, it is no longer active. Its children (activities and tasks) are also
considered completed.
There are no scheduled resource assignments on completed items.
To keep work “active” in the system, use the Assumed Completed status or another preparation for closure status. This allows resources to
finish reporting time and for work management to make any needed adjustments. This state often lasts a few weeks.

Don’t Forget
 Once an item is completed, you may or may not have the grants/permissions to open it back up.
 Once work is marked completed, resources can no longer add it to their timesheet for reporting time. If it’s already on the timesheet, the system can
handle additional entries.
 The Assumed Completed status is set by the system.
