ABSTRACT

This project is based on college management system.It manages the college information,student
information,placement information,various different types of events going on in our college.It also
keeps track record of all the information regarding students those who are placed in various
organisations.Main objective of this study is an important step towards streamlining this effort is to
develop a framework and identify necessary properties that a secure and trusted online department
working system must satisfy to reduce discovery redundancy.Such a framework will allow us to
evaluate as well as compare the merits of existing and future candidate in department.System
should support multi-user environment.System should be fully automated. System should provide
concrete security features like creating users and and assigning privileges to the users of the
system.System should be capable to keep track of all the detailed descriptions of the client and the
whole details of services.

1.Introduction
The college management system is developed by using the Android. The main aim of this project is to
develop an android application which covers the all the details of college like student profile, teacher
profile, student progress, academic events, student attendance, Bus fees, College Fees, library,
sports. All the data related to college, staff and student is securely stored on firebase database which
is managed by the college administrator. The system utilizes the authentication, each subactivity has
authentication allowing the authorised users to login in the system to create or update information in
the particular activity. The staff can submit request for the leave thus reducing the processing time.
The application reduced the time needed to access and deliver the student records to users.

College Management System project is implemented in java platform.


College Management system is integrated android application that handles various academic or
nonacademic activities of college. The system can access by every students/faculties/employee of the
college through internet with help of android mobiles with their email id and password. Every users in
college management system has different home page with their respective levels like student has the
different level and teacher has the different level. Through that displayed menu user can access the
different option of the application assigned him. The system college management system can be used
to manage data of all type of education institute. It will support both stand alone and also networking
environment. The application reduces as much as possible to avoid error while entering the data. No
formal knowledge is needed for the user to use this application. Thus it provide userfriendly
environment for everyone.

1.1.Motivation
The software facilitates the administrators to know the present status of a student of college.We are
intended to create this college management system by attaining good motivation from our seniors
who had developed our college’s official nexus portal on their own.Our project adds some more
additional features to the existing system which thereby helps all the students and administrators of
college in proper retrieval and data entry.

1.2.Problem Definition

The problem is to provide the complete information about the college campus. In which the college
staff members, students and parents can access the information and will be familiar with college
campus. It will provide interactive environment for the staff, students and parents by getting
knowledge of student attendance, remarks, exams performances, grades, timetables, notices etc.

1.3.Objective of the Project


The main objective of the project is to make software fast in processing with good user interface so that This
is a web oriented application allows us to access the whole information about the college, staffs,
students, facilities etc. This application provides a virtual tour of Campus. Here we will get the latest
information about the students and staffs. This generic application designed for assisting the students
of an institute regarding information on the courses, subjects, classes, assignments, grades and
timetable. It also provides support that a faculty can also check about his daily schedule, can upload
assignments, and notices to the students. Here administrator will manage the accounts of the student
and faculties, makes the timetable, and upload the latest information about the campus.

2.Literature Survey

College management system assists in modifying the existing system to site based system.This is a
paperless work. It can be monitored and controlled remotely. It reduces the manpower required. It
provides accurate information always. Malpractice can be reduced. All gathered and extra
information can be saved and can be accessed at any time. The data which is stored in the project
helps in taking intelligent and quick decisions by the management. So it is better to have a WebBased
Information Management system. All the stakeholders,. staff members can get the desired
information without delay. This system is essential in the colleges/hostels and universities..

Online College Management System assists in automating the existing manual system. This is
a paperless work. It can be monitored and controlled remotely. It reduces the man power required. It
provides accurate information always. Malpractice can be reduced. All years together gathered
information can be saved and can be accessed at any time. The data which is stored in the repository
helps in taking intelligent decisions by the management. So it is better to have a Web Based
Information Management system. All the stakeholders, faculty and management can get the
required information without delay. This system is essential in the colleges/hostels and universities

3.Analysis

3.1 Exsisted System


Today in colleges student details are entered manually. The student details in separate records are
tedious task. Referring to all these records and updating is needed. There is a chance for more manual errors.
Problems in existing system:

• It was limited to a single system.


• It was less user-friendly.
• It have a lots of manual work (Manual system does not mean that we are working with pen and
paper, it also include working on spread sheets and other simple software's)
• It requires more no of employees need to work.
• It was time consuming process.
• The present system was very less secure.

3.2. Proposed System


Solution to these problems:

The development of the new system contains the following activities, which try to automate the entire
process keeping in view of the database integration approach.

• User friendliness is provided in the application with various controls.


• The system makes the overall project management much easier and flexible.
• It can be accessed over the Internet.
• Various classes have been used to provide file upload and mail features.
• There is no risk of data mismanagement at any level while the project development is under
process.

• It provides high level of security using different protocols like https etc.

3.3 Software Requirment Specification
3.3.1PURPOSE:
. This was the phase that involved the actual realization of the system. It is at this stage that various
tools, languages and environments are used, say, MySQL and PHP languages used for database design
and connectivity, HTML, CSS, JavaScript,Bootstrap, was used access enabling, Vs Code and notepad
as text editors.These technologies are further defined as below, as adapted fromWikipedia, the online
free encyclopedia:

i. MySQL is an open source relational database management system (RDBMS) that we usedin
developing of e-notice board system database. It is Structured Query Language (SQL), themost
popular language for adding, accessing, and processing data in a database

ii. Hypertext Markup Language (HTML) Is a predominant markup language we used fordesigning
web pages, forms as well as enablingour system in creation of web pages.

iii. Cascading Style Sheets (CSS) style sheet language weused for describing the presentationof a
document written in a markup language. It is used for styling, making the system tolook nice and
pleasant to the user.

iv. PHP Server-side scripting language was used to enable the server side of system to connect to
the client side of the system.

v. Bootstrap, was used for designing an interface for the user, unlike the PHP server-side code which
resides on the "back end" server. Bootstrap included HTML and CSS based designs templates for
typography, forms, buttons, tables, nav-models, optional JavaScript plug-ins and many others.
Bootstrap enabled us to create responsive designs for both mobile and desktop screen sizes.

vi. Operating system- Windows 10 is used as the operating system as it is stable and supports more

features and is more user-friendly.

HARDWARE REQUIREMENTS
Intel core i3 4 is the generation is used as a processor because it is fast than other processors and provide
reliable and stable and we can run our pc for long time. By using this processor, we can keep on
developing our project without any worries.

3.3.2.Scope
• College information: Through this service one can access the complete information about the
college campus such as courses available, admission procedure, placements, college events,
achievements etc.

• Student tracking: Any company or any organization that want to check the summary about the
student of the college, so that they will be able to choose the particular students for their campus
placement And for that purpose they will be given a particular link through which they can access
the information required.

• Student attendance status: It gives the attendance status of students. Faculty will update the
attendance periodically and can be seen by students and parents.

• Student’s performance in exams: This facility provides the performance of the student in each
exam which is conducted by university or college such as midterm performance. Marks obtained
by students in exams will be updated by faculties that can be access by students and parents.

• Exam Notification: This facility notifies students and parents about examination schedule.

• Events: It will give information about different events that will be conducted by college time to
time. Information about these events will be updated by administrator.

• Online assignments: This service provides the facility to faculty to upload assignments and to
students to submit these assignments online.

• Information about staff: It will help in maintaining complete information about college faculty
members such as their department, cadre, date of joining, salary, etc. Administrator will register
new faculties and remove their account when they leave the college.

User requirements:

The following requirements are raised during the analysis of the needs of the users:
 A Person Should be able to login to the system through the first page of the Application.
 The Administrator can create users as per user requirement.
 Admin can upload the data for a particular Student. On successful completion of upload, user
(Student/Parent/Faculty) can view reports.
 A general user will have access to see the status of particular Student id number.
 Student (user) can use all the facilities, same as which are provided to him in the college.
 Student can see attendance, notices, grades, report and other facilities in updated manner.
 There will be a separate page for every student as his account in which he can get notices, attendance,
grades, assignments etc.
 Parent can just view the record of student with the username and password provided.
 Faculty can give the attendances and notices for the students.
 The administrator verifies all these reports and generates them for users to view them.

After analyzing the requirements of the task to be performed, the next step is to analyze the problem
and understand its context. The first activity in the phase is studying the existing system and other is to
understand the requirements and domain of the new system. Both the activities are equally important,
but the first activity serves as a basis of giving the functional specifications and then successful design
of the proposed system. Understanding the properties and requirements of a new system is more
difficult and requires creative thinking and understanding of existing.

UML stands for Unified Modeling Language. It’s a rich language to model software solutions, application
structures, system behavior and business processes. There are 14 UML diagram types to help you model
these behaviors.

1.CLASS DIAGRAM
Class diagrams are the main building block of any object-oriented solution. It shows the classes in a system,
attributes, and operations of each class and the relationship between each class.

2.COMPONENT DIAGRAM:
A component diagram displays the structural relationship of components of a software system. These are
mostly used when working with complex systems with many components. Components communicate with
each other using interfaces. The interfaces are linked using connectors

3.DEPLOYMENT DIAGRAM
A deployment diagram shows the hardware of your system and the software in that hardware. Deployment
diagrams are useful when your software solution is deployed across multiple machines with each having a
unique configuration.

4.OBJECT DIAGRAM:

Object diagram, sometimes referred to as Instance diagrams are very similar to class diagram. Like class
diagrams, they also show the relationship between objects but they use real-world examples.
They show what a system will look like at a given time. Because there is data available in the objects, they
are used to explain complex relationships between objects.

5.PACKAGE DIAGRAM:

As the name suggests, a package diagram shows the dependencies between different packages in a system.

6.PROFILE DIAGRAM:

Profile diagram is a new diagram type introduced in UML 2. This is a diagram type that is very rarely used
in any specification.

7.COMPOSITE DIAGRAM:

Composite structure diagrams are used to show the internal structure of a class.

8.USE CASE DIAGRAM:

As the most known diagram type of the behavioral UML types, use case diagram give a graphic overview
of the actors involved in a system, different functions needed by those actors and how these different
functions interact.

It’s a great starting point for any project discussion because we can easily identify the main actors involved
and the main processes of the system.

9.ACTIVITY DIAGRAM:
Activity diagrams represent workflows in a graphical way. They can be used to describe the business
workflow or the operational workflow of any component in a system. Sometimes activity diagram are used
as an alternative to State machine diagrams.

10.STATE MACHINE DIAGRAM:

state machine diagrams are similar to activity diagrams, although notations and usage change a bit. They
are sometimes known as state diagrams or state chart diagrams as well. These are very useful to describe
the behavior of objects that act differently according to the state they are in at the moment.

11.SEQUENCE DIAGRAM:

Sequence diagram in uml show how objects interact with each other and the order those interactions occur.
It’s important to note that they show the interactions for a particular scenario. The processes are represented
vertically and interactions are shown as arrows.

12.COMMUNICATION DIAGRAM:

In UML 1 they were called collaboration diagrams. Communication diagrams are similar to sequence
diagrams, but the focus is on messages passed between objects. The same information can be represented
using a sequence diagram and different objects.

13.INTERACTION OVERVIEW DIAGRAM:

Interaction overview diagrams are very similar to activity diagrams. While activity diagrams show a
sequence of processes, Interaction overview diagrams show a sequence of interaction diagrams.They are a
collection of interaction diagrams and the order they happen.

14.TIMING DIAGRAM:

Timing diagrams are very similar to sequence diagrams. They represent the behavior of objects in a given
time frame. If it’s only one object, the diagram is straightforward. But, if there is more than one object is
involved, a Timing diagram is used to show interactions between objects during that time frame.

1.Secure Login and Logout:

 A secure login is an account access process that uses more than one method to verify a user's
identity. Authenticating user identity with a higher degree of certainty reduces the risk of identity
theft.

 Loging out means to end access to a computer system or a website. Logging out informs the
computer or website that the current user wishes to end the login session. Log out is also known as
log off, sign off or sign out

2.Manage Users:

 User management describes the ability for administrators to manage devices, systems, applications,
storage systems, networks, SaaS services, and user access to other various IT resources.
 User management is a core part to any identity and access management (IAM) solution, in particular
directory services tools.
 User management is an organizational function that enables users to access and control digital
assets, such as applications, devices, networks, and cloud services. Organizations are now exploring
even more advanced solutions

3.Add New Notice:

An action is used to add update messages. This is ideal because plugin authors can overwrite default

behaviors. In some instances you may want to suppress some messages – actions give you the ability to

do so. The hook to use is admin_notices.

4.List Notices:

Notice List means the list of persons in a regulatory proceeding who will receive all Board opinions and

orders and all hearing officer orders. Persons on a notice list generally do not receive copies of motions,

public comments, or testimony.

5.Edit Notice:

You can edit a change notice in the following ways:

• Select Edit from the actions list on information pages of change notices.

• Select a change notice on the Change Notices table, available from Changes > Change Notices.

2.Manage personal details:

Personal Information Management Systems (or PIMS) are systems that help give individuals more

control over their personal data. PIMS allow individuals to manage their personal data in secure, local

or online storage systems and share them when and with whom they choose. Providers of online

services and advertisers will need to interact with the PIMS if they plan to process individuals’ data.

This can enable a human centric approach to personal information and new business models.

After making all modifications, we intimate all the information to the corresponding handlers and the records
will be stored in our website.

FRONT END:
The front end is designed using of html, css, bootstrap.

1)HTML:

Html or hyper text markup language is the main markup language for creating web pages and other

information that can displayed in a web browser.Html allows images and objects to be embedded and

can be used to create interactive forms.It provides a means to create structural documents by denoting

structural semantics for text such as headings,paragraphs,lists,links,codes and other items.It can be

embedd scripts written in languages such as javascript which affect the behaviours of html,webpages.

weights are calculated and assigned to rules, so that the results are predictable.

and best of all it is an opensource.

PHP is an acronym for "PHP: Hypertext Preprocessor"

BACKEND:
Implementation of backend is generally done using popular backend scripting languages such as Mysql.

1)MYSQL:
MySQL is an Oracle-backed open source relational database management system (RDBMS) based on
Structured Query Language (SQL). MySQL runs on virtually all platforms, including Linux, UNIX and
Windows. Although it can be used in a wide range of applications, MySQL is most often associated with
web applications and online publishing.MySQL is an important component of an open source enterprise
stack called LAMP. LAMP is a web development platform that uses Linux as the operating system, Apache
as the web server, MySQL as the relational database management system and PHP as the objectoriented
scripting language. (Sometimes Perl or Python is used instead of PHP.)

8.CONCLUSION

We delivered a dual portal interface for both student and staff.COLLEGE MANAGEMENT SYSTEM is
an online software designedto help colleges and higher education institutes to manage their day to day
activities efficiently.An ideal college management system should enable institutes to manage all of their
activities-from admission to report cards online without any hassle.
The system will greatly simplify and speed the management process.It will describe the paper
work.The admin ,faculty or the student will perform all the tasks very easily and in more convenient
way.

9.FUTURE ENHANCEMENT

1.Online examination modules would be introduced to conduct online exams


2.Further,the faculty can upload the videos of their lectures on this site and the students who have missed the
classes can view those videos.
