Subject: Request to Borrow/Rent Gymnastics Mats for Danztrack Battle 2023

Ma’am,

I hope this letter finds you in good health and high spirits. I am writing to seek your permission and
assistance in borrowing or renting your gymnastics mats from ICNHS for an upcoming event, the
Danztrack Battle 2023. As you may be aware, this event is part of the LGU month-long city fiesta
celebration and has been a long-standing tradition in our community, and it continues to promote
physical fitness, teamwork, and creativity among our youth.

The Danztrack Battle 2023 is scheduled to take place on Sept. 24, 2023, in Anahaw Amphitheater,
and it is expected to attract participants and spectators from various schools and dance academies in
the city and nearby provinces. To ensure the safety of the participants during the dance battles and
rehearsals, we require high-quality gymnastics mats to be placed on the dance floor.

Given ICNHS’s well-known commitment to supporting the development and enrichment of our
community's youth, we believe that your gymnastics mat would be the perfect addition to our
event. We kindly request your permission to borrow or rent your mats for this purpose.

In recognition of your generosity, we would like to assure you that we will handle the gymnastics
mat with the utmost care and responsibility. We are willing to abide by the following terms and
conditions:

1. Duration: We will require the gymnastics mat from Sept. 23, 2023, to Sept. 24, 2023,
including time for setup and removal.

2. Maintenance: We will ensure that the mat is clean and sanitary throughout the event.

3. Damages: In the unlikely event of any damages to the mat during its use, we agree to
promptly notify ICNHS and take responsibility for any necessary repairs or replacement
costs. We understand that the equipment's safety and longevity are paramount.

4. Transportation: We will arrange for the transportation of the mat to and from ICNHS and we
will take all necessary precautions to prevent any damage during transit.

5. Liability: We will indemnify ICNHS against any liability arising from the use of the gymnastics
mat during the Danztrack Battle 2023.
