A. Installation process
Description of the ERP system: most distinguishing features, modules, target
audience/company, cost, sample success stories.

There are two different editions of Odoo: the Community and Enterprise versions. Using
the Enterprise version is possible on Odoo Online and accessing the code is restricted
to Enterprise customers and partners. The Community version is freely available to
anyone.

Odoo is an open source ERP software system that makes tools for CRM, accounting,
ecommerce, manufacturing, sales and more.

All Odoo apps integrate seamlessly with one another, and you can select from hundreds
of different community-built apps to integrate Odoo with third-party systems.

Other benefits are streamlined expense management with its integration to accounting
and an easy-to-implement employee evaluation system. It also comes with recruitment
and social tools. Odoo ERP gives you accounting tools that help you save time while
you grow your business. You can sync your bank statements with your bank
automatically or import your file. The system lets you create professional looking
invoices and manage recurring bills and track customer payments, manage bills and
expenses while you automate most of your reconciliation process.

The accounting app comes with features that let you receive payments online. You can
also send reminders to your clients by setting up and automating follow-ups.

Odoo ERP has a built-in reporting tool so you can generate reports to view your earnings
balance sheet or cash flow. Your accounting module also integrates with other tools
such as expenses, inventory, pos and sales.
Using the Odoo CRM system, you can customize dashboards and generate real-time
reports to get insights. You can also create sales scripts and schedule activities based
on them. Automation tools allow you to capture information directly from opportunity
sources like web pages, email and others, track your sales performance in real time and
engage your customers better with messaging, call logs and file sharing tools.

CRM is fully integrated with more than 30 regularly updated main applications and
thousands more from third-party developers. Together Odoo ERP apps cover a wide
variety of evolving business needs. You can improve your operations further with apps
for inventory, procurement, manufacturing, helpdesk and field service.

New Features in Odoo 16
A. Performance
Odoo is introducing some new features and has prioritized performance with version 16
to ensure maximum performance and prominence in its line of work. Improvement in the
performance of Odoo is the primary aim of the new version rather than just a mere
update from the previous version. Odoo 16 is the fastest, the most user-friendly, and the
most high-end of its predecessor version.

B. New Module and Other Big changes


Odoo is known for its highly integrated and easy-to-use modules, which act as the basic
building block of the entire Odoo database. This is one of the critical factors that support
the user-friendliness of Odoo. The existing modules of Odoo will have a considerable
number of additional features and tools integrated into them to ensure more workflow
and efficiency. With version 16 of Odoo, new modules and components take a new and
improved shape.

C. Knowledge Module
The knowledge module is the latest addition to Odoo. Like the rest of Odoo, the module
is highly integrated and works more like a Knowledge center to share knowledge among
the employees and the administrator. Wikipedia inspires the module. You can create and
share articles in the Knowledge module inside the organization, mostly related to work
for maintaining proper communication inside the organization itself.

The knowledge module will also help you centralize the organization's information for easy
access.
D. Sales Module
As Odoo concentrates more on user convenience, the new merging of the Subscription
with the sales orders will make it much easier for subscription management.

E. Website Module
With the Odoo 16 Website module, you can now have more control and customization
options on the Blocks or the website building elements. Traditionally the front end and
the back end of the module were separate. But in the new version, the front and the
backends are merged to preserve a single interface giving more customization options
for the website.

F. Accounting Module
The accounting module in Odoo is much faster and more efficient with the support of the
new features and tools that can come in handy in real-world business scenarios. The
Credit limit feature of the accounting module will let you manage the customer Credit
limit now more efficiently. You can now wholly digitize your invoices with the accounting
module for easy management and accessibility.

because of its regular updates and smooth operation.

Odoo is both modular and extendable, meaning it can grow with you as your company
grows. The apps module is where you can identify and download additional
applications you might find useful in your business.

The company’s target audience is the small and large businesses wherein they provide
a range of easy to use business applications that form a complete suite of tools to
accompany any business need.

They have developed 30 main applications which are regularly upgraded. In addition,
their community of more than 1500 active members, have contributed another 16000+
apps to cover a wide variety of business needs.

GBR International is a leading distributor of phones, tablets, and phone components in
Egypt. Specializing in B2B channels, GBR not only sells these devices but also provides
a repair service backed by solid warranty conditions. Having carved out a niche in the
market, the company found itself facing operational challenges that needed a robust,
integrated solution. This is where Odoo stepped in.

Pain Point: Streamlining Procurement to Payment Workflow


GBR's operation model involves minimal to no stock keeping. As such, they place
orders based on customer needs, source components for repairs and distribution
internationally, and manage long lead times from their local manufacturer. Further, as all
phones/tablets are serialized for warranty purposes, tracking was crucial. Payment
plans, shipping costs, bills and payments were also aspects that needed a system in
place.

Odoo Solution: Master Data Centralization & Intelligent Tracking


To overcome these challenges, GBR employed Odoo's applications such as Purchase,
Accounting, Inventory, Invoicing, and Studio. Phones and components were configured
as unique products, and master data for products, contacts, and CoA were imported for
easy access. Serialization tracking for products and landed costs were activated,
creating a smooth and efficient workflow. Payment plans were crafted with vendors and
bills were issued accordingly. The result? A well-tracked PO system and centralized
data center, making procurement to payment a breeze.

challenges in managing preset quotations, confirmation processes, payment terms,
warranty agreements, and tracking receivables. They also provided consignment
services and needed to invoice retail shops based on their usage of components.

GBR took advantage of Odoo's Sales, Invoicing, Accounting, Inventory, and Studio
applications. They created quotation templates, configured invoicing policies, and
activated MTO route for PO creation. The consignment workflow was set up, and a
system for tracking salespeople's performance was implemented. All these streamlined
their B2B sales, made payment collections easier, and provided a seamless repair
workflow.

Pain Point: HR Management


On the HR front, tracking employee time-offs, calculating payroll, managing loans and
benefits, and handling employee expense reimbursements were all areas that needed
improvement.

Odoo's Time-Off, Payroll, Attendance, Accounting, and Expenses apps helped GBR
efficiently manage their HR tasks. Time-off types were created, contracts were
imported, allowances were added, and salary structures were adjusted. An easy-to-use

reimbursements. As a result, HR tasks became easier, transparent, and automated.

C. Provide a recommendation whether the ERP can be used by the company you are
working at, what departments will be involved. You may include the following to

RECOMMENDATION:

In this case study, there is good practice in most of the process features of Odoo. Since I
am currently working in a university, I saw the potential of each module in different
workflows we have. Say for example in our unit, we may adopt and integrate the
Attendance application wherein the students can seamlessly use the app in their phones
and check-in their time log in and out of the Senior High School vicinity. Attendance has
always been a challenging matter to all the teachers.

Moreover, I find these following features Odoo helpful and useful for the university. First,
the Customer Relationship Management (CRM) can be utilized in big events entailing
merchandising products during Ateneo Alumni Homecoming or Ateneo Fiestas.

With the Odoo 16 CRM, one can reduce data entry work and automates customer
relationship activities with improvised functionalities. It can organize activities in a
pipeline mode, ensure activities and close transactions with proper enhancements. Odoo
CRM makes business activities up-to-date and serves customers or clients without any
delay. It ensures quality feedback in your business and provides more potential with
potential customers or clients and leads.

Second, the Odoo 16 Website which can benefit the offices of Senior High School.
Though this is still not widely common to the unit using websites however, the need to
create and establish one for information dissemination, enrollment campaigns,
newsletters or SHS pipeline activities, etc. This may take a while since we are
comfortable using Facebook as one of the major platforms for this purpose.
Nevertheless, in the next few years, the website will still be relevant and continuously be
upgraded to new features and hopefully our Unit slowly adopts this advancement.

Accordingly, Odoo platform is so unique that it will cater to the website development's
functional aspects, which can be crafted within minutes. Here are sure of the other
highlightable features of the Odoo Website module, making it one of the best and most
exceptional operation tools in website management.

A. Distinctive module completely for the website management operation and
supporting module that will add to the complete website management operations
process.
B. Complete the Odoo Website builder tool to create an attractive website without

needs. It can manage the functions from Recruiting to, Employee Directory
Management, to Attendance and Leave management, Expense, and Timesheet
management.

A. Employee information, time and attendance, salary, leaves, expenses,


recruitment, and employee evaluation are all conveniently managed in Odoo’s
human resource module. Besides, Odoo HR allows you to efficiently manage
crucial parts of your employees’ employment, such as their talents, contracts,
and working hours.
B. The recruiting module from Odoo can effortlessly manage the hiring process and
organize job applications. In addition, businesses can establish their hiring

E. The “Applications” menu in All Applications allows the firm to track individual job
applications that could be at one of the defined phases at any one time. You can
verify the applications at each stage by going to the specific location. To better
assess and design a new application, switch to calendar and list views.
