INTRODUCTION

In an era characterized by rapid technological advancements and the

digitization of various aspects of our lives, electronic payment systems, often

abbreviated as e-payment systems, have emerged as a cornerstone of modern

financial transactions. These systems have revolutionized the way we conduct

business, purchase goods and services, and transfer funds across the globe.

An e-payment system encompasses a range of electronic mechanisms

designed to facilitate secure and efficient monetary transactions between

individuals, businesses, and institutions. By leveraging the power of the internet

and digital technologies, e-payment systems offer a convenient and seamless

alternative to traditional cash-based transactions and paper-based methods like

checks.

The core principle underlying e-payment systems is the conversion of real-

world currency into its digital equivalent, allowing for transactions to occur

electronically. This can take various forms, including credit and debit card

transactions, mobile payment apps, online banking transfers, digital wallets, and

cryptocurrency transactions. Each of these methods comes with its own set of

The proliferation of e-payment systems has not only transformed the way

such opportunities. Moreover, businesses and governments have embraced these

systems for their efficiency in reducing the administrative burden associated with

traditional payment methods, enabling them to allocate resources more effectively.

concerns surrounding security, privacy, and the potential for digital fraud have also

Background of Study

In the ever-evolving landscape of technology-driven financial services, the

emergence and rapid adoption of electronic payment systems (e-payment

systems) have marked a significant paradigm shift. These systems have garnered

immense attention from researchers, policymakers, businesses, and consumers

alike due to their transformative impact on financial transactions, consumer

behavior, and the broader economy. The journey towards e-payment systems

began with the rise of digital technologies and the proliferation of the internet in the

late 20th century. Traditional methods of payment, relying on physical currency

and paper-based checks, faced limitations in terms of speed, security, and

efficiency, especially in a globalized world where transactions spanned

geographical boundaries. This created a pressing need for innovative solutions

that could transcend these limitations and offer seamless, secure, and convenient

means of transferring value.

As a response to these challenges, researchers and entrepreneurs explored

various electronic payment mechanisms. The introduction of credit and debit card

systems in the 1950s laid the foundation for cashless transactions. However, it

was the subsequent integration of point-of-sale (POS) terminals, online banking,

payment processors. This period also witnessed the birth of digital wallets and

electronic funds transfer systems, enabling users to store their financial

information securely and conduct transactions with ease.

The early 21st century witnessed a further evolution with the advent of mobile

technologies. The rise of smartphones and mobile apps enabled the development

of mobile payment solutions, allowing users to make transactions using their

mobile devices. Additionally, the conceptualization and subsequent realization of

blockchain technology led to the creation of cryptocurrencies like Bitcoin, which

introduced the concept of decentralized digital currencies and revolutionized the

financial industry.

Amidst these advancements, researchers started delving into the intricacies of e-

STATEMENT OF THE PROBLEMS

This study aims to investigate the implications of adopting electronic

payment methods at Saint Vincent College of Cabuyao, focusing on their impact

on the payment processes and considering factors influencing their adoption.

1. Data Inaccuracy and Error-Prone Transactions: The reliance on manual

data entry and record-keeping often leads to data inaccuracies, which can cause

disputes, delays, and confusion among students and administrative personnel.

2. Limited Payment Options: The college currently offers limited payment

options, hindering convenience and accessibility for students. The lack of online

payment methods or electronic wallets limits students' ability to make payments

securely and conveniently.

3. Lack of Transparency: The absence of real-time tracking and notifications

makes it difficult for students to monitor their payment statuses and for the college

to provide accurate and timely financial reports.

4. Security Concerns: With the rise of cyber threats, the current payment

system may be vulnerable to security breaches and data theft, potentially

compromising sensitive financial information.

5. Inconsistent User Experience: Different departments within the college may

have varying payment processes and requirements, leading to inconsistencies and

confusion for students, guardians, and staff members.

OBJECTIVES (General and specific)

This study's goal is to investigate the possibilities and problems related to

the use of Electronic Payment methods in Saint Vincent College of cabuyao that

has an impact on Students ' use of various current electronic payment methods.

The particular goals to look at the contributing affect the uptake of electronic

payment systems.

(1) Streamline the payment process by providing a quick and convenient

method for students, parents, and guardians to make various payments, such as

tuition fees, event fees, and extracurricular activity charges.To make it easier to

pay and to avoid the long queue.

(2) Provide real-time access to payment records and financial transactions,

ensuring that parents, administrators, and relevant stakeholders can easily track

and verify payments made by students.

financial decisions.

Manageability (Scope and limitations)

In general, the focus of this study is directed towards the design and

development of a Student’s Payment record System of St. Vincent College of

Cabuyao with its Parents, Admins, School food entrepreneur and Student’s are

selected. The system will be use in to:

a. To monitor the Payment transaction.

b. Reliable and faster way to pay with a simple monitoring system for verification.

c. Display the updated Payment transactions.

d. Display the all transaction on cashier.

e. Generate the payment methods of school.

Limitation of the Study

For its limitation, the study is limited only on the Student’s transaction

payment. The system is intended to the persons who have direct involvement in

the transaction and monitoring payment of student’s. These are the following:

PARENT: they are being an in-charge to keep track of their kids' school expenses

and tuition payments. they must have been trained and oriented in the system to

use them correctly.

STUDENT:They will deposit the cash supplied to them by their parents into Saint

Vincent College of Cabuyao's electronic payment system.

ADMIN:in the absence of Parent, School food entrepreneur and student’s in-

charge they must take over the steps by steps of using a e-payment system.

System function must be explained and demonstrated to them properly.

The outcome of the study will be the definition of the Digital Appointment

System of Identification Card for college students in St. Vincent College of

Cabuyao. The findings of this study will be a great help to the following:

STUDENT: Students at Saint Vincent College of Cabuyao face delays and

inconveniences with manual payment methods, especially during peak periods.

They need a more flexible and streamlined payment process for various expenses,

such as tuition fees and event charges.

PARENTS AND GUARDIANS: Parents and guardians experience financial

planning challenges due to insufficient communication of payment due dates.

They also require a user-friendly payment platform to actively manage their child's

educational expenses.

Administrators and Relevant Stakeholders: Administrators struggle with

inaccurate financial tracking and outdated reporting methods. They need improved

financial transparency and security in the evolving digital payment landscape.

Conceptual Framework

Information collecting is the first crucial step in the creation of the Electronic

Payment Management System at ST Vincent College of Cabuyao. Understanding

the particular demands and requirements of the educational institution is crucial

during this time. It includes the gathering of crucial information, such as system

requirements, user expectations, and any current organizational and financial

frameworks. The architecture and structure of the system are also included in the

information gathering phase, which is an iterative procedure comprising

documentation, questions, and the construction of thorough diagrams. The system

is designed specifically to satisfy the needs of the college during this phase, which

also acts as the project's cornerstone.

The Electronic Payment Management System takes shape during the project's

development and implementation phases. Both hardware and software

components are included in this level. On the software side, it includes using

development tools like XAMPP as well as picking the right programming

languages, such C# and PHP. Here are designed, coded, and tested the system

architecture, user interfaces, and functionality. It necessitates the configuration of

reliable hardware elements, such as a CPU with precise specs and sufficient

storage capacity. The hardware configuration has a big impact on how well the

system performs. A functioning and effective payment management system is

The final stage includes two key elements. The ST Vincent College of Cabuyao

Electronic Payment Management System itself is the first result. This is the

project's culmination—a fully operational system that improves control and

efficiency, streamlines financial operations, and offers a variety of services to the

college community. Second, the assessment component is essential for

determining how well the system performs and how well it adheres to the original

criteria and objectives. Testing, user input, and performance analysis are all part of

it. This assessment guarantees that the system effectively satisfies the demands

of the college and that any required modifications or adjustments are found and

made. The payment management system's continuous success and relevance

depend on this iterative feedback loop.

We used the Rapid Application Development (RAD) methodology to ensure a

simplified process from requirement planning to user design, building, and

deployment when creating the St. Vincent College of Cabuyao Electronic Payment

System.

Our journey begins with Requirement Planning, the essential foundation for our

Electronic Payment System. Just as any successful space mission requires

We enter the user design process after gathering the requirements. Consider this

this section. The numerous scenarios and conditions that the electronic payment

system should successfully handle are formulated by our development team. This

stage focuses on maximizing the system's advantages while proactively correcting

any shortcomings that have been found. As appropriate data and procedures are

chosen and prepared for the construction of the cloud-based library system model,

unnecessary data or entities that do not support the system's goals are discarded.

The Construction phase is the subsequent stage. developing the electronic

payment system is comparable to developing a spacecraft in our case. Here, we

apply RAD concepts with a focus on incremental and iterative development. With

this strategy, the system may be improved while consistently taking user feedback

into account and developing its fundamental features and functionalities. To make

sure the system works as intended and upholds security standards, stringent

testing and quality assurance procedures are used. This stage corresponds with

building a spacecraft to make sure it functions securely and effectively in space.

Implementation is the last stage. We either launch our spacecraft here, or in our

case, we put the electronic payment mechanism into place. The journey's

conclusion has arrived. By applying RAD concepts throughout this phase, the

development team is better able to quickly react to shifting requirements and user

needs, improving the system's overall effectiveness and efficiency. This is in line

with the last step in launching a spacecraft and assuring its efficient operation.

functionality, construction for effective development, and implementation for

The project aims to develop a comprehensive system for an educational institution,

involving various user roles such as admin, student, canteen staff, faculty, and

parents. The system includes functionalities for user account management,

encompassing login and signup features for all users, with specialized admin login

and admin signup options. Additionally, users can view payment history/record,

manage the canteen menu/prices (accessible to canteen staff and admin), and

perform payment/transaction operations. The admin is responsible for creating and

editing accounts, while all users can access their payment history. A use case

diagram (Figure 1) visually represents the interactions and relationships between

the mentioned user roles and system functionalities. This design provides a

navigation allows for a systematic visual representation of the system that helps to

record the transaction made by the students or parents, admin users have more

freedom over the system and can change certain values and status, the student

and parents can only see the history/receipts and do a transaction on the system.
