MEANING

• An Overview of Project Planning Project planning involves a series of steps that determine how to
achieve a particular community or organizational goal or set of related goals. This goal can be
identified in a community plan or a strategic plan. Project plans can also be based on community
goals or action strategies developed through community meetings and gatherings, tribal council or
board meetings, or other planning processes. The planning process should occur before you write
your application and submit it for funding.

MEANING

• Uses specific knowledge, skills, tools and techniques to deliver something of value to people. The development of
software for an improved business process, the construction of a building, the relief effort after a natural disaster, the
expansion of sales into a new geographic market—these are all examples of projects.

• Defined as ”the application of knowledge, skills, tools, and techniques to project activities to meet the project
requirements.” A basic project management lifecycle covers four stages:
• Initiation
• Planning
• Execution
• Closure

• The major advantage of thinking about your mission and goals in terms of projects is that social
impact, which can feel incredibly abstract at times, can be defined in terms of concrete and
measurable deliverables. By breaking down your mission and strategic plan into projects, which
are always time bound and clearly defined, you are positioning yourself to understand and then
explain the social impact your organization is having. The nature of project planning and
management includes:

Purpose

• Project Planning helps us to think ahead and prepare for the future clarify goals and develop vision
identify issues that will need to be addressed choose between options consider whether a project
is possible, make the best use of resources motivate staff, and the community assign resources and
responsibilities achieve the best results

• Project Planning helps eliminate poor planning overambitious projects unsustainable projects

• Project management is important because it ensures what is being delivered, is right, and will
deliver real value against the social needs problems.

Purpose

• Project management provides exactly that a scientific approach that helps to ensure successful
results through structure and organization. By using project management methods, organizations
can gain control over the running of projects and make sure that they are keeping on track and
within budget.

• Project management is important because it brings leadership and direction to projects. Without
project management, a team can be like a ship without a rudder; moving but without direction,
control, or purpose. Leadership allows and enables team members to do their best work. Project
management provides leadership and vision, motivation, removing roadblocks, coaching, and
inspiring the team to do their best work.

Purpose

• It ensures there’s a proper plan for executing on strategic goals. Where project management is left
to the team to work out by themselves, you’ll find teams work without proper briefs and without a
defined project management methodology. Projects lack focus, can have vague or nebulous
objectives, and leave the team not quite sure what they’re supposed to be doing, or why.

• It ensures proper expectations are set around what can be delivered, by when, and for how much.
Without proper project management and a solid project plan, budget estimates and project delivery
timelines can be set that are over-ambitious or lacking in analogous estimating insight from similar
projects. Ultimately this means without good project management, projects get delivered late, and
over budget.

ROLES OF A PROJECT
PLANNER AND MANAGER

• Project planner and project manager is different, a project planner is a dedicated team member
dedicated to planning and monitoring multiple projects from beginning to end. The role of the
project manager has started expanding to incorporate planning. This means that the project
manager will often fulfill this role, especially if working with a small team.
