You have recently ordered an item through the Internet, but are not happy with the
purchase. Write to the company. In your letter:

 describe what you purchased,

 explain why you are not happy with the purchase,
 tell them what you would like them to do about the situation.

Dear Sir/Madam,

I am writing this letter to express my disappointment with a recent purchase on your

online store, order number #7298883.

I ordered a set of soccer equipments that were advertised on your site as a package
including 3 pairs of socks and a pair of soccer boots. However, when they arrived, I
found out that there were only 2 pairs of socks. In addition, there were scratches on the
boots that suggest that they had been used before and returned to your store.

I have since found the same offer on another website and will be returning the packages
to your office. I have read the refund policy, and as I am dissatisfied with the product, I
would like to request a return of all fees paid, as well as the postal and packaging fees.
Should you have any questions, you can contact me via email, my address is
raymond_squared@live.com.

I look forward to a swift resolution to this matter.

2. You successfully passed a job interview. You are expected to start on November 15,
but you will not be available on that date. Task: Write a letter to your new boss,
explaining your situation, expressing your concern and suggesting a solution.

Dear Sir/Madam,

I am Leonardo Gomes and I have recently passed a job interview for the Software
Engineer position at your firm. I was expected to start on November 15, as agreed, and
am writing because, unfortunately, I will not be able to present myself on that date.

I have caught chickenpox and been under medical care for the last whole week. My
doctor has advised me to stay at home because it is a highly contagious disease. I am not
feeling well either. If necessary, I can give you a copy of a letter from my doctor as a
proof for my sickness.

I sincerely apologize for the inconvenience and hope this will not affect our relationship.
I will very appreciate it if you understand my situation and let me start my job on
November 20. Also during this time I can do my job at home through the Internet.

I am looking forward to the positive response from you.

Yours faithfully,
Leonardo
3. You and your family are planning to spend a weekend at a seaside hotel.

Write a letter to the hotel making the arrangements. Let them know when you will be
arriving and leaving, what type of rooms you would like, and ask them how much the
weekend will cost. Also enquire about activities and places of interest near the hotel.

Dear Sir/Madam,

I am writing this letter to make arrangements for the stay during the weekend at your
hotel and to get more information on the places of interest and different activities nearby.

I will be arriving with my parents and wife to celebrate my parents’ wedding anniversary
on the 4th of July which will be on Saturday morning, and leaving on the 7th of July
afternoon. I would like to book double-rooms with the attached bathroom for more
privacy and convenience. In addition, I would love to have at least one bedroom
with thebalcony or seaside view for my parents.

Could you please inform me how much in total the weekend will cost? I would also
appreciate if you could provide me with the list of activities that we can take part in
during our stay for more fun and adventure. Furthermore, I would also like to know if
there are any historical sites or market nearby where we can explore more about
the place's history and local culture.

I look forward to hearing from you.

4. Your neighbours have a dog that is noisy at night. You can’t sleep. Write a letter to
your neighbours. In your letter:
- describe the problem with the dog
- explain why it is important for you to sleep
- outline what your neighbours could do about the situation.

Dear Mr Brown and Mrs Brown ,

I am writing to you to bring to your attention a problem that I have been having with
your dog at night.

As you may already be aware of, your dog started making small detours at night around
the neighborhood, digging holes in the gardens and often making loud noises. I was
awoken by your dog’s barks several times lately, and I had even consult a doctor and had
been prescribed some sleeping pills.

This wouldn’t have been as big of a problem for me if I wasn’t in the middle of my exams,
but since I am, it is crucial for me to take good rest and sleep during the right hours.

I will therefore be grateful if you could have your dog looked after by another member of
your family away from this neighborhood, even if only until my exams are over, which
will be in about three weeks time.

Thank you for taking time to read this letter, I hope you will address this issue soon.

Yours sincerely,

Lisa

5. You have decided to leave your current employment. Write a letter to your employer.
Include the following in your letter:

 Explain why you are writing

 Explain why you have decided to leave the company
 Tell your employer what you plan to do after leaving your present employment

Dear Mr. Steve Scott ,

I am writing this letter in regards of terminating my contract with the organization as a

Guest Service Agent. The employment contract has stated a requirement of two weeks’
notice. Therefore, my last day of employment will be on 25th of May 2012.

The decision made was due to personal reasons, as my family and I will be migrating to
Singapore. Recently my husband has been offered a managerial position in a five
star hotel, which we thought would be a better prospect for his career.

Once my family and I have settled down in Singapore, I plan to look for a “work at
home” job. This allows me to have flexibility with my time and would be able to take care
of my children too. Leaving the company is a great loss for me as I have learnt a lot and
was given opportunities to grow.

Finally, I would like to thank you for the guidance provided during the period of my
employment.

Yours sincerely,

Erin Hammes
6. You live in a room in college which you share with another student. You find it very
difficult to work there because he or she always has friends visiting. They have parties in
the room and sometimes borrow your things without asking you.
Write a letter to the Accommodation Officer at the college and
 explain your reasons.
 ask for a new room next term. You would prefer a single room.

Dear Sir,

I am writing to express my extreme dissatisfaction with my current college

accommodation.

As you know, I am sharing a room with another student which is now creating a few
problems for me. Firstly, it is a very small room and my roommate is very social, she has
visitors almost daily, which makes the room overcrowded. Secondly, she has parties now
and then, which go till mid-night or early morning, makes impossible for me to focus on
my studies.

I hope this matter will receive your immediate attention as my next term exams are very
near.

I would appreciate if you could arrange a single room for me in the next semester, as I
have a habit of studying in silent atmosphere.

Thanking you in advance for your kind cooperation. I look forward for your reply as soon
as possible.
Yours faithfully,
7. Your car insurance company has told you that they are going to increase the amount
you have to pay in insurance for your car each month. You are not happy about this.
Write a letter to the insurance company and explain:
 Why you are writing to them
 Why you think the insurance should not be increased
 What you want them to do

Dear Sir/ Madam,

I am writing this letter with regards to a letter which you send me recently stating that
you are going to increase the amount of insurance for my car.
I am a regular customer of your insurance company. My new car insurance is little
higher than my previous car. The sudden increase in insurance is not acceptable
because, you are telling me to pay 20% more in every month.

As I said I am a customer of your company for more than 10 years and I never claimed
on my insurance during this period. However, other insurance companies have not
increased their rates and I can think of two better alternatives that would be glad to take
the hassle to transfer me under their insurance policy.

I would really appreciate if you could write back to me and explain the situation why
such an increase is needed. If you are unable to justify it to me, then I am afraid that I
will have to move my insurance to another insurance company.

Looking forward for your reply.

Yours faithfully,

8. You traveled by a long distance bus recently and your suitcase was damaged.
Write a letter to the bus company. In your letter :
 inform the bus company of when and to where you traveled
 describe your suitcase and what happened to it
 explain why the company should pay for a new suitcase

Dear Sir/Madam,

I am writing to bring to your attention the damage of my suitcase on my travelling with

your service from Da Nang to Hue on August 30.

My suitcase is a make of Louis Vuitton, of high quality fabric and in colour blue. It is in
rectangle shape with black handles and 2 steel wheels. When the travelling finished, I
found out that it was badly damaged. It was pushed to and pulled from the customer
luggage box so hard that it became badly crumpled. To make the matter worse, the zip
fastener has been tore out at the side and can not be fixed.

As your company is responsible for this issue, I would request you to pay me for another
same suitcase.

I look forward to a swift resolution for this matter.

9. You recently took a part-time job working for a local company. After a few weeks you
realised there were some problems with the job.
Write a letter to the manager of the company. In your letter
 explain why you took the job
 describe the problems that you experienced
 suggest what could be done about them.

Dear Mr Chen,
My name is Rona Lyn Olivar. I am one of your part-time receptionists in your Brighthand
hotel for 2 weeks now. I am writing to you today to bring to your attention two problems
I have encountered in the reception area that you are not aware of.
Firstly, duty staffs at night shift are always inside of the hotel's quarters sleeping. Only I
and Lindsay who is also new in the area are working at night time. Even if we knock them
at their door when there were many guests arrived on Saturday evening, they still did not
mind us. This happens 3 times already and I think you must know it.
Secondly, the food items that are supposed to be cooked for the hotel customers were
eaten by some of the head staffs. One of the breakfast meals that were not eaten by one of
the guests were brought to the staff quarters and ate by the head. I believe this is against
the rule of the company.
I think they should be reprimanded so that they should learn their lesson and I look
forward to your response regarding this matter.
Yours sincerely,
R.Olivar

10. Write a letter to your college’s administration department complaining about the
college’s facilities.
In your letter include:
 what the problem is
 how this problem has affected you
 what the college should do to fix this problem

Dear Sir/ Madam,

I am writing this letter to complain about the broken down elevator used in building C,
which is a very unpleasant problem of our facilities.

Most of the buildings in our school have 6 to 7 floors, and each is equiped with an
elevator, which is very helpful for thousands of students. However, the one in building C
has been out of work for four months, and there is no evidence that it is going to be fixed.

This is not of a big problem if we do not use it frequently, but since we have several
classes on the 5th or 6th floor per week, it is very tiring and frustrating to climb the stairs
almost everyday. Most importantly, the library is located on the 7th floor, so it is very
discouraging for students to visit library, which may be not good for their studying.

As this problem causes much inconvenience for a large number of students, I would
appreciate it if you could have it repaired or install a new one as soon as possible.

I look forward to a swift resolution to this matter.

Yours faithfully,

Loi Nguyen

Mention the food, service and the atmosphere. Also suggest any improvements to make

Dear Sir/Madam,

I am writing to you to thank you for the fantastic food and amazing service on my
birthday last week.

My friends and I were celebrating my birthday last week at your restaurant and we
enjoyed our time a lot. The food was delicious and well presented. I must mention the
Chocolate Mousse that we had at the end, which has a perfect taste. Moreover, the
atmosphere in the restaurant was really pleasant and we especially enjoyed the live
music you performed.

We were also very pleased with the service; all the staff members were friendly, attentive
and served us with a smile.
Finally, I think it would be great if you have more variety in beverage and desserts
menus.

Again, thank you for this nice experience. We are definitely coming back.

12. You have seen an advertisement in an English newspaper for a job working in the
City Museum shop during the holidays.
You have decided to apply for the job. Write a letter to the director of the Museum. In
your letter:
 introduce yourself
 explain what experience and special skills you have
 explain why you are interested in the job

Dear Sir/ Madam,

I am writing to apply for the holiday job in the City Museum shop that you are
advertising on the Song Huong.
I am a student in Da Nang University of Economics. I am currently on my summer break
and I am keen on having a job to make my holiday meaningful.
I am good at calculating so I can deal with cash easily. In addition, I worked part-time as
a waitress in a restaurant last summer so I have experience working with customers from
many parts of the world. I believe these skills are useful for me to work as an assistant at
the shop.
I am always interested in history and I have visited your museum several times, so I can
help the guests well with my knowledge. Besides, I am effective, polite and honest.
With those experience and skills, I believe I am an asset to your shop.
Thank you for considering my application. I look forward from hearing from you soon.

13. You are working for a company. You need to take some time off work and want to
ask your manager about this.
Write a letter to your manager. In your letter:
 explain why you want to take time off work
 give details of the amount of time you need
 suggest how your work could be covered while you are away.

Dear Mr Maclarins,
I am writing this letter to inform you that I would like to take an unpaid leave.
As you know that I am still preparing for my PhD in Surveying beside my work in the
evening. As my final exams is coming, I need one week to prepare for it, from September
24th to September 30th 2017.
My schedule for that week is relatively light with only 2 meetings with customers. Helen
would be able to attend these in my place, as she has experience dealing with them.
I would appreciate if you could be helpful and understanding. Since I am satisfied with
my job for your company, I look forward to accomplishing great improvements in my
work for the future of our company.
I am looking forward to your approval and thank you in advance.
Yours Sincerely,
14. 2 weeks ago you bought a radio from a local branch of a well-known chain of shops.
It did not work properly. The shop took it back and said they would repair it. You have
waited a week and still it is not ready.
Write a letter to the shop complaining. Tell what has happened and how you feel. Ask
them to repair the radio very soon or supply you with a new radio.

Dear Sir/ Madam,

I am writing this letter to inform you that I had given the radio for repair and it is still not
ready even after one week.

I had bought the radio from your shop as it is one of the best available shops. But, it was
an utter disappointment when the brand new radio was not working as it should be. I
talked to your representatives in the shop and they agreed to repair it within a couple of
days. Now, it has been a week and radio is not yet ready. Whenever I call on shop phone
number, one of your salesmen always promises to deliver the radio within one day. But it
was never delivered and all I got is apology and regret.

Please repair the radio by day end today as it is already much delayed. If it is not
possible, kindly provide me with a new radio of same branch and model.

Thank You.

15. You have bought a new mobile phone and in a few days of purchase it has stopped
working. You’ve spoken to the company representative a week ago but it has still not
been repaired.
Write a letter to the company. In your letter
 introduce yourself
 explain the situation
 say what action you would like to company to take.

Dear Sir/ Madam,

I am writing to complain about the faulty mobile phone that I have purchased from your
store.

On the 8th of July, I bought a brand new Nokia N95 mobile. However, upon one week of
using it, problems started to appear. The flash of the camera is no longer working. Also,
the monitor is getting blurred which makes it difficult for me to see the SMS messages
clearly. I was very surprised to discover such problems in quite an expensive model.

Naturally, I returned the mobile phone in your store to be replaced with a new one. One
of your sales staff members told me that they will send it to me at my home address within
one week. However, two weeks have gone without receiving any replacement. I am very
upset with your poor service.

In this regard, I insist on getting a refund of my full payment if the replacement will not
come within another week.

Yours faithfully,
Joseph Mark.
16. Write a letter to your company manager saying that you want to leave the company.
In your letter mention:
 What have you learned while working for the company?
 Did you enjoy working there?
 What are your reasons for leaving?
17. You recently bought a piece of equipment for you kitchen but it did not work. You
phoned the shop but no action was taken.
Write a letter to the shop manager. In your letter:
 describe the problem with the equipment.
 explain what happened when you phoned the shop.
 say what you would like the manager to do.

18. Your find that your study load is too heavy. Write a letter to your college teacher
explaining why you need to withdraw from two courses. Ask if it is possible to obtain a
refund.

Dear Prof. James,

I am writing to formally request to withdraw from two courses: Introduction to
Elementary Education (EDUCE 561) and Teaching Methods (EDUC 562)
The main reason for reducing my course load is that I am finding it extremely difficult
to manage six courses. In the beginning of the term, I was perhaps overly optimistic
about juggling both my full time studies and my part time job (20 hours/week). Because I
really must work part time, I have no other choice but to decrease my course load. I am
planning on taking the two courses during the summer semester, if they are available, so
that I will be able to complete all the courses for the degree program by the following
year.
I would also like to request a tuition refund, and hope I am not too late to receive the full
reimbursement. I am sorry for any inconveniences I have caused by this change in plans.
This decision was not taken lightly, and I do appreciate the kind consideration you have
shown to me.
Thank you for your attention to these requests. If you have any questions, please feel free
to contact me at 257-9241. I look forward to hearing from you soon.
Sincerely yours,
Jane Carter

19. You booked a two-week holiday to Sydney with Fly-by-Night Travel. You are not
happy with the holiday – the flight was delayed, the hotel was noisy, and so on.
Write to Fly-by-Night Travel to complain about the holiday giving details about the
problems. Request some compensation or refund.

Dear Sir/ Madam,

I am writing to complain about my two-week holiday that I booked with your service. It
was very disappointing.

The first problem was that the flight was delayed for 2 hours, which not only made me
really tired but also ruined our plan. In the schedule, I should have been to Sydney at 6
o’clock, so I could visit the Opera House at 9, however, I arrived at 8p.m and could not
manage for the trip.

Also, your advertisement had said that I would stay in a quiet seaside hotel. However, it
turned out to be on the contrary. It was surrounded with many clubs, making it so noisy
and frustrating for us that we could not rest well at night throughout two weeks.

To make the matter worse, the buffet breakfast served by the hotel’s restaurant were
terrible. There was a limit of choices and the fruits were not fresh.

As we did not receive the good service as advertised, and we were dissatisfied with the
holiday, I would request a refund of 80% the cost of the holiday, or another free trip at
the end of this year to Australia.

Looking forward to your reply soon.

Yours faithfully,
20. You borrowed some books from your school or college library. Unfortunately you
have to go away to visit a sick relative and cannot return the books in time.
Write a letter to the library. Explain what has happened and tell them what you want to
do about it.

Dear Sir/ Madam,

I’m writing to inform you that I will not be able to return the books I had borrowed on
December 12 as expected.
I have borrowed three books, which include an Anatomics and 2 Maths ones which I
intend to return this week. However, my aunt who lives in Hue has been seriously ill, so I
need to go there to see her and could not come back here until next Monday.
I am terribly sorry for this inconvenience. I would very appreciate it if you could allow
me to return the books on December 15 instead. I would pay the fine if I need to.
Thank you for taking time reading this letter.
Yours faithfully,
