3Ps in Action Writing an Executive Summary for a PowerPoint Report


Purpose
Imagine that you’re a member of the White House Task Force to Protect Students from Sexual
Assault. You’re proud of the report Not Alone, which received wide publicity and positive
responses from universities. Now you want to create a PowerPoint report for easier reading,
and you start with the executive summary page. See the full report at

Process
Who is your audience for the report?
The primary audience is the leadership and relevant teams at colleges who have the
responsibility to prevent campus sexual assaults, especially campus law enforcement officials.
Additionally, college students are also target audience because they should all be aware of
policies and methods that are being created to protect them from sexual violence, as well as it
can send the message that for those sexual assault survivors, they are not alone.
What is most important for your audience to know? How will you summarize the 23-page report
(which currently includes a four-page executive summary) into just one page? Describe your
strategy for identifying main points.
For the presentation to be actionable, I think the most important message is to spread the set of
action steps and recommendations in the report, so that schools can react immediately.
I would focus on highlighting the four action items that schools can do, along with examples in
bullet points. The language will be concise, clear and well structured.
Although the page will be mostly text, what graphical elements can you use to add visual
interest and make it easier to read? Consider simple approaches, such as boxes, fonts, bullets,
and colors.
I would separate the context and the action plan by using different fonts/boxes/colors.
Additionally, I would use bolded text for the four main points and divide them into bullet points. I
would also utilize hyperlink to provide additional information if schools would like to acquire
more resources.
