Job Title: Release of Information Supervisor


Positions Supervised: Medical Secretaries and Medical Transcriptionists
Department: Medical Records
Reporting To: Clinic Manager

CONTENTS OF JOB DESCRIPTION

Qualification: Bachelors in Science – Microbiology

REQUIRED:

1. Advanced computer skills and past work experience using Epic or another Electronic Medical
Record (EMR).
2. Proficient in the use of MS office applications, printers, scanners, fax machines and copy
machines.
3. Current knowledge of or experience with maintaining confidential information, information
security and use of ethical behavior when handling all medical records information. Experience
in a situation where consequences of oversight or error could result in financial or legal action.

4. Exceptional customer service skills and ability to interact with patients/customers in stressful
situations. Ability to remain calm and in charge during customer interactions that might become
volatile. Past experience diffusing extremely difficult interactions with customers.
5. Excellent communication skills, both verbal and written. Able to communicate effectively with
providers, clinical staff, patients, insurance companies, lawyers, government agencies and
various employers.
6. Exercise sound judgement and critical thinking skills in the execution of job duties.
7. Demonstrated ability to multitask and feel comfortable with deadlines and changing priorities.
8. Excellent attention to detail, critical thinking and problem solving skills including the ability to
define problems, collect data, interpret data, facts, and draw conclusions.
9. Outstanding interpersonal and teamwork skills.

PROFESSIONAL EXPERIENCE

Plus 2 years working with Release of Information or 5 years of experience with Release of
Information

DUTIES & RESPONSIBILITIES:


1. Provide oversight and supervision of ROI team including recruitment, training, performance
management and workflow. Conduct staff meetings, ensure staff development as well as
provide orientation and training.

2. Communicate effectively with medical staff and allied personnel through verbal and written
communication as well as supervises workload during shifts.
3. Responsible for developing and providing training for all new staff as well as process
improvement training for current staff.

4. Maintains quality results by following and enforcing standards.

5. Adhere with policies and standards on managing patient medical records & maintaining a
system for effective patient records, maintaining confidentiality, adverse events
management and reporting, and protecting the privacy and security of patient information

6. Demonstrates ability to understand diversity and deal with differences.

7. Demonstrates problem solving skills using critical thinking while dealing with staff and
clients.

8. Prepare duty schedule for the department and submit it to Clinic Manager and HR.

9. Prepare and conduct performance reviews for staff with review by the department manager.

10. Identify and evaluate areas that may need improvement and work with manager to develop
and implement solutions that will streamline processes and improve workflows.

11. Responsible for dealing with escalating situations by communicating with insurance
company representatives as well as a variety of other professionals. Diffusing situations by
expediting their requests, answering questions and educating on processes.

12. Efficiently allocate resources, making recommendations for staffing and future concerns.

13. Manage the daily work load by making sure the work queue in Epic is maintained and they
are being completed in a timely manner.

14. Keep up to date on HIPAA and compliance rules and serve as the expert. Train staff and keep
them up to date.

15. Complete online incident reporting when breeches occur and submit for manager review.
Reviewing breech details and coming up with solutions to prevent further breeches and make
recommendations for improvement to management.

16. Prevent possible breeches by maintaining quality assurance (QA) for the department. Follow
protocol for QA for all ROI requests and hold employees accountable for high quality. Be
responsible for meeting quality goals monthly.

17. Performs other duties as assigned.
