INTRODUCTORY NOTE
Written and spoken texts from practically every discipline across the globe frequently include
reference to work produced by other people. This practice is particularly common in academic work
where, through citations, writers acknowledge the research, reports, results, statistics, illustrations,
tables or quotes produced by fellow writers.
When referring to external sources for academic assignments, it is imperative that students use a
method of citation approved by their university and that they follow the specific referencing
technique employed by their department. There are several citation techniques that are used by
educational establishments worldwide; one of the most common methods is the Harvard
Referencing Style, also known as the ‘Author-Date System’.
This handbook is designed to offer guidance and support on referencing to students studying on the
Business Management English (BME) Presessional at the University of Birmingham. As the
Birmingham Business School also advocates the use of the Harvard Referencing System, through
exemplification, this Guide will show how data from a number of different sources, including print,
electronic and spoken formats, can be cited and referenced in academic work using the Harvard
System. It should be noted that many academic institutions use a modified Harvard house-style,
and so slight variations to the format can be found across different universities. Occasionally,
variations may also exist from one department to another within the same university. It is therefore
essential that students familiarise themselves with, and are consistent in the application of, the
referencing style and conventions preferred by their department.
The terms ‘references’ and ‘citations’ are often used synonymously. Occasionally, the former is
used as an alternative term for the Reference List. For the purpose of this Guide, ‘reference’ is
used to mean the details of the document from which information has been taken (i.e. the
bibliographic details relating to a book, chapter in a book, journal article, etc. as shown in sections
2.2-2.12 of this Guide), and a ‘citation’ is used to mean the data recorded/used either directly (in the
form of a quote) or indirectly (by way of paraphrasing) in-text, or in the main body of the work.
The tips and exercises in this Guide are signaled by these respective icons.
Once postgraduate study commences, students should ensure that the guidelines contained in this
document are used in conjunction with any specific instructions given by programme tutors at the
Birmingham Business School.
Part One
1. Academic Conduct
During the BME course induction, all students are required to attend a compulsory talk on
Academic Conduct by the University’s Conduct Officer.
There are many reasons why students should acknowledge the work of other writers.
Brainstorm these reasons with a partner and then feedback the ideas to your teacher.
The act of a Registered Student…claiming as his or her own, intentionally or by omission, work
which was not done by that student…This includes auto-plagiarism and fabricating evidence,
results or data as well as copying work done by others (Code of Practice on Plagiarism, 2011-
12: 3).
Plagiarism, or literary theft, is a serious academic offence. Students who use the work of another
person without explicit reference to the original author risk being penalised.
The University of Birmingham’s definition of plagiarism falls into the three categories: Serious
Plagiarism, Moderate Plagiarism and Poor Academic Practice. See pages 6-7 of the
University’s Code of Practice on Plagiarism for details of what each category encompasses.
The appendix in this Guide offers a breakdown of the different types of academic misconduct.
When making a decision on whether plagiarism has taken place, staff will bear in mind the following:

Cases of serious plagiarism will lead to a student conduct case with an Investigating Officer. The
procedures and policies surrounding misconduct are highlighted in the University of Birmingham’s
Code of Practice on Plagiarism: this is accessible by both staff and students at this link:

BME Staff and students are strongly urged to familiarise themselves with the Code of Practice
on Plagiarism 2011-12.
Regular homework assignments are set throughout the BME Programme. It is crucial that students
submit these assignments on time and that they heed any advice or suggestions made by teachers
following the feedback on the first submission (i.e. complete draft of an assignment), as this is
usually the point at which any signs of misconduct are first visible.
Contrary to the belief of most plagiarists, plagiarism can be relatively straightforward to detect.
Given the nature of their work, lecturers are frequently engaged in extensive reading, and the
grading of student work. It is these practices, combined with the factors listed below, that provide
them with the necessary skills needed to uncover cases of academic misconduct.
1.3.7 Experience
The more experience teachers have in assessing student work, the more likely they are to
quickly identify plagiarised content.
Where a BME Teacher suspects that plagiarism has taken place, s/he will suspend marking of that
work and will report the matter to the designated Plagiarism Officer with immediate effect. The
student will then become the subject of a student conduct case by the Investigating Officer, and
formal procedures from the University of Birmingham’s Code of Practice on Plagiarism 2011-12 will
be invoked. The first step in this process is to call an official Plagiarism Meeting.
Note: The role of the Investigating Officer is usually undertaken by an Academic-Related member of
staff involved in the programme upon which a student is suspected of plagiarism or found to have
engaged in academic misconduct. Please speak to a member of the BME Management Team for
further information.
The section below, renumbered here, has been extracted from section 4 of the University’s Code of
Practice on Plagiarism 2011-12. It highlights the procedural steps surrounding the formal
Plagiarism Meeting with the Investigating (or Plagiarism Officer):
1.5.1.2 set out a summary of the suspected plagiarism which must be sufficient to enable the
Registered Student to understand the allegation of plagiarism and which may but need not
include a Turnitin report
1.5.1.3 set out the Registered Student’s right to be accompanied by a ‘friend’ defined as
meaning a member of the staff of the University or a registered student of the University or a
Sabbatical Officer of the Guild of Students
1.5.1.4 set out the Registered Student’s right to respond in writing to the allegation of plagiarism
within 5 working days of receipt which may include a written explanation and should indicate
whether the Registered Student agrees to attend the Plagiarism Meeting
Note: Page 10 of the Code of Practice on Plagiarism states that any department within Corporate
Services that delivers an academic programme may act as ‘the School’. During the Presessional,
the School refers to the Unit which provides the BME Programme, that is: the English for
International Students Unit (EISU), and the Head of the School is Dorota Pacek, Director of EISU.
If a student is found to have plagiarised any assignment on the BME course, s/he will be subject to
the procedures outlined in the University’s Code of Practice on Plagiarism 2011-12, and may then
incur the penalties referred to therein. The section below, renumbered here, has been extracted
from sections 6 and 7 of this Code:
(a) Resubmission of the assignment in question, with the resultant mark being capped at the
lowest possible grade that would signify a minimum pass within the relevant pass structure.
(b) The mark obtained in the assessment may be downwardly adjusted to an appropriate level
(reflecting the actual contribution of the Registered Student or Student on a Leave of Absence),
including zero with no opportunity to re-sit.
(c) The mark obtained in the assessment may be downwardly adjusted to an appropriate level
(reflecting the actual contribution of the Registered Student or Student on a Leave of Absence),
including zero. Should this lead to failure of the module, a further attempt at passing the module
shall be permitted, with the mark awarded capped at the pass mark.
(d) The mark obtained in the module may be downwardly adjusted to an appropriate level
(reflecting the actual contribution of the Registered Student or Student on a Leave of Absence),
including zero with no opportunity of re-assessment permitted.
The falsification of data involves the deliberate misrepresentation or rendition of facts, figures,
images or other information. For example, this may include the manipulation of citation details, or
the modification of statistics, or presenting partially or wholly inaccurate data to suit a particular
purpose. In essence, this is usually where the student knowingly deceives the reader by changing
or distorting the truth. Data falsification is an academic offence.
The fabrication of data involves the creation of information. When compared to data falsification,
fabrication may include inventing citation details, concocting statistical data, or presenting fake data.
Again, any student who undertakes this activity does so with the deliberate intention to deceive.
Data fabrication is, therefore, also a form of academic misconduct.
1.9 Collusion
Group work is common in student-centered learning: Where students are to be assessed on their
teamwork activities, this is made clear in the rubric and assessment criteria given to them.
However, where a student shares his/her work, knowledge or answers with another student or
group of students with the aim to jointly produce or submit a response to an individually assessed
task, collusion will have taken place. This is an academic offence which could have serious
consequences for each/all of the students involved, and must therefore be avoided at all times.
The University’s Code of Practice on Taught Programmes & Module Assessments offers specific
guidance on the double marking of assessments. The extract below, which has been taken from this
Code, shows the procedure that is followed in the marking of assessed components on the BME
Programme:
The first and second marker will discuss the reasons for the marks they have awarded, with
reference to the marking criteria, and agree on one of the following outcomes:
a) that the full set of marks awarded by the first marker be adopted as the confirmed marks; or
b) the full set of marks awarded by the second marker be adopted as the confirmed marks
c) that the average or a weighted average of the marks awarded by the first and second
marker be adopted as the confirmed marks; or –
d) the marks of the whole cohort may be adjusted by an agreed proportion or number of
marks; or
e) a mark is agreed for each piece of assessment
Exceptionally, if the first and second marker are unable to agree on a course of action, then a third
(internal) marker or moderator should be consulted.
Where necessary, Home/Second Teachers will approach a member of the BME Management Team
for a third opinion.
Note: A permanent written record of cases of inappropriate academic behaviour will be kept on the
student’s file, and in the BME Academic Misconduct Database (BAMD). Where plagiarism has
occurred, regardless of the level (i.e.: poor academic practice, moderate or serious plagiarism), the
student’s file and any relevant details in the BAMD will be shared with the investigating officer(s)
and/or the student’s Programme Director at the Birmingham Business School, upon request.
Part Two
Work that incorporates in-text referencing in the Harvard style is easily identifiable in the main body
of work through its use of the author-date citations, that is, the surname (family name) of the author,
followed by the year of publication in brackets; e.g. Cole (2007). As accurate referencing is an
essential part of academic writing, it is crucial that students familiarise themselves with the rules that
govern correct referencing. The remaining sections of this Guide address two key components of
the Harvard Referencing System: In-text citations and the Reference List.
Reference Lists compiled according to the conventions of the Harvard System contain specific
information pertaining to all the sources cited in the main body of the work. These works are listed
on a separate page at the end of the assignment, before any appendices. Unlike the endnotes
referencing system, the entries in a Harvard Reference List are presented in alphabetical order
using the authors’ surnames, and not the order in which they were cited in the main body of the
work. The bibliographic details provided for each entry are dependent on the source type. That is,
the particulars for a book are different to those given for a journal article, and in turn, these both
differ from the information listed for Internet sources. Part Two of the Guide will highlight the
bibliographical differences, through examples.
Ensuring consistency in the preferred technique for the storage of this information is strongly
advised.
Tip: It is often difficult and time-consuming to re-locate materials after they have been used.
Therefore, it is useful to create a system where the details of the sources consulted for an
assignment are recorded for swift retrieval at a later stage. Some students find it helpful to store the
references on index cards; others prefer to enter the details into a spreadsheet. Microsoft Word
2007 and 2010 have a ‘Reference’ tab which helps writers to save the details of any materials cited
in the production of a Reference List/Bibliography. However, these details are often not recorded
according to Harvard conventions, and therefore require some careful checking and editing.

The colour-coding in the section that follows is for exemplification purposes only. A Reference List
at the end of academic work should be presented as one continuous list, in a single colour (black).
Tip: The order, punctuation and spacing for each entry are also a part of the prescribed
format, and as such, warrant careful attention. Remember: According to the Harvard Referencing
system, where known, the author and date (surname and year of publication) are always used for
any in-text citations.

Note: The method for the in-text citation of books with more than one edition is the same as

Tip: When referring to a book with several editions, ensure that the original year of
publication for the edition that is being used is referenced. Students often make the mistake of
referring to the reprint date, or the date of the first edition.

The in-text citation pattern for journal articles is the same regardless of the journal type,
i.e.: whether a print journal, online journal article, or journal article retrieved from a database –
it is the author-date that are referred to. Some writers tend to cite the database from which
articles have been retrieved. This can complicate matters where more than one article has
been cited from the same database.
2.4.1 Periodical

Note: In the Reference List, the full date is given for periodicals or similar publications which
have more than one publication each year. However, the in-text citation does not include the
full date, but the year of publication only, i.e.:

are unknown as this may affect the perceived authority of the claims being supported, or the
argument being made.

The in-text citations for official sources which do not have a named author can be presented in
a number of ways. Most commonly, the in-text citation usually gives the title of the report, or
makes reference to the governing body in place of the author, e.g.:

In-text citations for dissertations/theses are incorporated into the work in the same way as
other sources, i.e.: by way of reference to author-date. As students are not permitted to re-use
their text from previously submitted assignments, where relevant, they may wish to cite their
own work instead; however, this is usually done for published work.

In-text citations for dictionaries may be necessary in assignments, especially essays, where
definitions are required. In such cases, the title of the dictionary and the year of publication are
given in brackets after the definition, e.g.:
Branding can be defined to mean the method by which a unique image of a product
or service is created in the mind of the consumer (Cambridge Business English
Dictionary, 2011).
Start with the…‘Title of report or article – in inverted commas’ or Title of webpage – in italics [i.e.
as relevant to the text-type]. (Date)… and then follow the remainder of the pattern for the source
type… e.g.:
Where the author is unknown, the in-text citation can be presented by referring to the title of the
source text, or the publishing body, followed by the year of publication, e.g.:

Where the date of a publication is unknown, the in-text citation is given by referring to the
author, followed by (n.d) in brackets, whereby the latter means ‘no date’. See section 2.5 of this
Guide for further examples.
The bibliographic details recorded for a non-English text are the same as those given in sections
2.2 - 2.11 above, depending on the text-type. However, a translation of the non-English title
should be given along with the original. This translation should be placed in brackets after the
title with no intervening punctuation. e.g.:
Where possible, only texts written in English should be cited in assignments. Where the use of a
non-English text becomes necessary, and a translated quotation of this text has been cited in the
main body of an assignment, the name of the translator (if known) should be placed within
square brackets immediately after the author’s name in the Reference List. The language of the
original publication is indicated in round brackets after the title. e.g.:
The in-text citation for non-English texts is presented by referring to the author of the
source/original text (and not the translator) followed by the year of publication, e.g.:
If a quotation is cited from a non-English text, this must be translated into English by the student
and placed within quotation marks; (own translation) is then presented in brackets immediately
after the quote; note: a quote requires a page number, e.g.:
Laisi (1997:45) stated that this was ‘of paramount importance in establishing a
lasting relationship with consumers, leading to customer loyalty’ (own translation).
Where a text has been authored by one person, but compiled by another, only the name of the
author appears in main body citations, whereas the names of both persons need to be given in
the Reference List. As always, the name of the original author comes first; this is followed by the
name of the compiler in square brackets, as shown below. Some entries may be further
complicated by the fact that the compilations are also translated works! e.g.:

The bibliographic details recorded in the Reference List for a table, graph, chart, picture – or any
other non-text form – are the same as those for its corresponding source-type. The in-text
citation is placed directly under the image, and refers to the author-date or source-type [this can
be placed in square brackets]; the font size is usually slightly smaller than that of the rest of the
in-body text.
For the figure below, the Reference List entry would read:
Look at the photograph below. The details surrounding the source of the image are limited, and
the name of the photographer and the date of the photograph are unavailable, hence the
Reference List entry would read:
The Reference List below has problems. Work with a partner to rearrange the entries and/or
bibliographic details into the correct order.

In cases where the authors of a text are unknown, the positioning of that text in the Reference
List is determined by the first letter of the title of the report/webpage, etc. This is placed at the
appropriate point in the list at the end of the academic work, in alphabetical order. For instance,
note the position of the radio programme Crossing Continents, in the following example:

Occasionally, writers/researchers may cite two or more texts authored by the same person.
Where this happens, the entries in the Reference List should appear in the appropriate
alphabetical position – but also in year order – with the earliest first. For example:

Students will occasionally cite the work of prolific writers in their assignments. Where they use
multiple texts authored by the same person – in the same year, a distinction needs to be made
between the different texts for the purpose of the in-text citation. In the Harvard Referencing
System, this is done by adding letters in small case (a, b, c) after the year, e.g.: (2000a) – in
both the Reference List and the in-text citations, e.g.: Butt (2000a) concluded that… Note that in
the case of same-year publications by the same author, where the actual order in which the
materials were published is unknown, the letters can be randomly assigned to the texts:

For a text written by multiple authors, give the name of each author in the Reference List. In the
main body, where there are up to two authors, name both in each in-text citation. In the case of
the example entry for a multiple-authored text in section 2.2.1 of this handbook (Wylie,
Sivewright and Hagan), the in-text citations would read, Wylie et al. (2006) state that… That is,
Sivewright and Hagan would not be referred to in the main body; instead, ‘et al.’ (or et al) [Latin
for ‘and others’] replaces their names. Notice above how et al. appears after the first named
author for the in-text citation; therefore, Smith, Jones, Brown and Perkins (2007) suggest…
would become Smith et al. (2007) suggest…
Some institutions or departments stipulate that each of the authors of a single text are named in
the first in-text citation [only], but then ‘et al.’ is used thereafter. Check with your department as
to their preference.
Note: the names of the multiple-authors should not be reorganised into alphabetical order; this
is because they appear on the book cover or report in the order of the main contributors, in
descending order; e.g.: in the above example, Smith would have contributed the most to that
work, and Perkins the least.
Occasionally, students may hear the term Reference List being used interchangeably with
Bibliography. While both may be presented in an identical format, the former contains only those
texts that were cited in the work, whereas the latter also includes a wider list of texts on a particular
topic that were consulted – but not cited.
Most teachers at the Birmingham Business School expect students to attach a Reference List
to their work. Bibliographies may be stipulated for longer pieces of work, like the dissertation. If in
doubt, consult your module leader. Care should always be taken to ensure that each entry in the
Reference List is in the appropriate format based upon the relevant text-type.
Part Three
When using the Harvard Referencing System, materials from external sources are often cited in the
main body of written assignments using one of the following techniques:
In essays, article reviews, research proposals and dissertations, all three methods can be
used to cite external sources as this ensures that the work is stylistically dynamic and non-
repetitive. However, some genres of writing (e.g.: reports, proposals…) rarely contain direct
quotations.
Which of the following need references in the main body of the work?
All in-text citations (short quotes and paraphrased sentences) are presented in the same font as the
main body text. For each citation in the main body, provide the surname of the author followed by
the year of publication (i.e. the author-date). In the case of quotes – or verbatim reference to
another author, the page number must also be given. Where the author is unknown, a corporate
name or a brief form of the title of the article or webpage can be used to introduce the source.
Short quotes can be incorporated into the text in a number of ways. One of the most common
techniques in the Harvard style is to open a sentence with the author-date, followed by a suitable
reporting verb and then the quotation. There are a variety of positions in which a short quote can be
placed within the work:
Single Author
Harrison (2005) highlights the ‘need to combat unethical advertising aimed at children’
(p.23).
The ‘need to combat unethical advertising aimed at children’ was highlighted in a recent
study (Harrison, 2005:23).
Many researchers have argued against the practices of targeting children through
advertising strategies. Harrison (2005:23) argues that there is a strong ‘need to combat
unethical advertising aimed at children’.
Note that the short quote is usually placed within single inverted commas, without italics. Some
students may prefer the use of double quotation marks. While both formats are acceptable, one
should be selected and then used consistently throughout the work. Where the author’s name is
mentioned in the opening statement, only the year (or year and page number for quotes, separated
by a colon) is placed in brackets. If the citation appears at the end of a sentence/paragraph, the
author and year are placed within brackets (and again, the page number is included for direct
quotes). Two or multiple authored texts are cited in the same way.
Where the author-date citation is placed mid-sentence/paragraph, this means it relates only to that
sentence or idea, rather than the paragraph as a whole. Note that when the name of the author(s)
appears at the start or in the middle of a sentence, it is not repeated in brackets.
In cases where there is more than one author, the ampersand (&) is used to join the authors when
placed in brackets at the end of the sentence – and in the Reference List, but ‘and’ must be used in
the main body when the citation is placed outside of the brackets, e.g.:
Multiple Authors
Marcouse and Lines (2002) state that ‘case study analysis is one of the most effective ways
to learn the practical application of business tools’ (p.5).
Many university courses employ the use of cases in their modules as it is argued that ‘case
study analysis is one of the most effective ways to learn the practical application of business
tools’ (Marcouse & Lines, 2002:5).
One recommendation is ‘a comprehensive approach’ to case analysis (Wylie, Sivewright &
Hagan, 2006:9).
Long quotations, i.e.: those that are three lines (not sentences) or longer, are usually indented and
placed between paragraphs; they can also be presented in a different font size, e.g.:
Jordan (1992:240) draws attention to the necessity for using hedging language:
It is not necessary to place a long, indented quote within quotation marks. Also, the position of the
author/date/page can vary, depending on the sentences surrounding the quote:
Students should avoid excessive use of direct quotations in their work, as frequent and unnecessary
usage reduces the impact of the citations and weakens the tone of the paper. The relevance of
each quote should always be immediately apparent to the reader. For instance, quotes are often
inserted to support a personal viewpoint, introduce a counter-argument or present the outcome of
research.
When writers avoid the use of direct quotations, they may choose to cite an external source by
paraphrasing the key ideas: That is, by rewording the main point. For instance, if the direct quote
was…
Academic writers need to take care when making assertions in their work. In this respect, vague
language can be helpful as ‘it allows claims to be made with due caution, modesty and humility’
(Hyland, 1994:241).
Hedging language can be a useful tool to express caution in academic writing for it enables the
writer to make statements in a careful or moderate manner. As such, students must pay attention
to the claims made in their analysis (Hyland, 1994).
When texts are paraphrased, an author/date citation is still required in the main body of the
work; note the omission of page numbers.
There are several ways to cite work that has been paraphrased. Varying the way in which the
citations appear in a piece of writing often increases the readability of the text. Where a source is
used as a general reference for an entire paragraph, the citation is usually placed at the end of the
paragraph, as in the Hyland (1994) example above. If the author and date are cited at the start of a
sentence, this could indicate that the citation relates to the paragraph as a whole. Alternatively, it
could also be used to refer to that sentence only. To illustrate this, a general phrase is used to
introduce the next sentence, e.g.:
Baker (1992) suggests a number of different strategies to deal with the issue of non-equivalence
in translation. Similarly, other authors also focus on the difficulties faced by translators when
attempting to render equivalents in a target language.
Note that in the above example, the use of the word similarly signals to the reader that the reference
to Baker (1992) ends immediately before this word.
When preparing for an assignment, students will inevitably come across different texts which refer
to the same points or areas of discussion. These sources should be incorporated into the main
body through synthesis. The purpose of this is to demonstrate to the reader that a wide range of
sources have been consulted, and that the connections between these texts and the standpoints of
the authors have been understood. When synthesising, the authors are usually placed in brackets
at the end of the sentence or paragraph, as follows:
There are a number of different strategies that can be used to address the issue of non-
equivalence in translation. Translators need to find alternative ways of rendering an equivalent
in the target text; some of the common strategies used are borrowing, calque, literal translation,
transposition, modulation and reformulation (Baker, 1992; Hatim & Mason, 1997; Newmark,
1992; Venuti, 1998).
When citing a source from a website, this is done in the same way as any other citation, i.e.: by
reference to the author and date. However, often WebPages tend not to display the names of
authors, and so an alternative method of citation becomes necessary.
Where the website source is an official publication (company report, government statistics…), use
the name of the authoritative body in place of the author in the main body citation. Where the
webpage citation needs to come at the end of a paraphrased summary, it becomes necessary to
use the website address: Here are some examples:
According to Microsoft (2011), MS Office 2010 offers features that can enable users to
reduce mundane, repetitive tasks, by using smart technology to achieve more in less time.
Microsoft Office 2010 is reported to offer features that can enable users to manage time
efficiently and effectively by reducing mundane tasks through smart technology
(www.microsoft.com).
Note that in the second example above, the full url (http://www.microsoft.com/ business/en-
us/businessneed/domoreinlesstime/default.aspx?fbid=7oZqzZZDxZ3) is not presented in the main
body; this would appear in the reference list at the end of the work instead, complete with the other
bibliographic details, including the date on which the website was accessed.
While reading in preparation for an assignment, writers will frequently come across some text that
has been quoted or cited by the author of the text they are consulting. For example, if a student was
reading a book authored by, say, Bailey, s/he may find a citation by Bailey which refers to another
author, say Jordan. If the latter is of relevance to the essay being prepared, the student should
endeavour to locate the primary author (i.e.: Jordan), so as to avoid the inclusion of a second-hand
citation in the assignment. However, if the original source is inaccessible, secondary referencing
becomes necessary. This is then done as follows:
Jordan (1999) cited in Bailey (2003:39) provides detailed information on paragraphing and
the use of cohesive markers.
Bailey (2003:39) cites Jordan (1999) when making reference to the necessity of the use of
cohesive markers in paragraphs.
Where secondary referencing takes place, only the source that was consulted (e.g.: Bailey) is
provided in the reference list – and not the source cited (e.g.: Jordan). Also, note the addition of
page numbers for this form of citation: A page reference must be given when secondary referencing
takes place, regardless of whether a direct quotation or paraphrased summary has been used.
Always try to avoid secondary referencing as this means having to rely on the personal
interpretation of others.
3.9 (sic)
Quotations are the exact words of another author; these must be incorporated into an assignment
accurately, with the same punctuation and spelling – including any mistakes. In the case of the
latter, the writer needs to inform the reader of the mistake. This is done through the use of (sic) as
follows:
The position of (sic) above signals that rarely is spelt incorrectly in the original. (sic) can also be
used to demonstrate ideological differences, e.g.:
‘A surgeon must always wash his (sic) hands thoroughly before operating’ (Smith, 2002:34).
Here, the writer demonstrates a lack of approval for the sexist language used by the author cited. In
other words, a more appropriate general statement would be ‘…his or her hands…’
Any quote incorporated into a written assignment should include necessary information only. If a
writer finds a paragraph that supports an argument, but that paragraph is not relevant in its entirety,
s/he should omit the irrelevant or unnecessary words from the quote by using the ellipsis mark, or
three dots, e.g.:
Original:
A feature of academic writing is the need to be cautious in one’s claims and statements. In other
words, you may indicate your certainty and commitment in varying degrees.
In most cases, the omission of irrelevant details will apply to complete clauses, lists of examples, full
sentences – and possibly entire paragraphs (rather than a few words only, as shown above). This
example has been given due to space constraints.
Where text is placed within quotation marks, this tells the reader that it is presented exactly as it
appears in the original source. Occasionally, it is necessary for the student to add a word/phrase to
a quote to ensure it can be understood by the reader. Any additions are placed within square
brackets to show that they are not part of the original text, e.g.:
‘Some help for these [anxious] students may come from demonstrating how poor many of the online
papers are. This should act as a deterrent to the temptation to plagiarise from websites’ (Harris,
2004:3).
Without the inclusion of ‘anxious’, the reader could interpret these students in a multitude of ways,
for instance: international students; home students; postgraduates; undergraduates; Business
students…and so forth.
3.12 (ibid)
ibid, the abbreviation for ibidem, is the Latin word meaning ‘in the same place’. This is often used in
academic writing to inform the reader that a quote/paraphrased section has been taken from the
same source as the immediately preceding citation, e.g.:
Harris (2004:2) argues that ‘many students have poor time management and planning skills’. He
states that this is one of the reasons why some students are tempted to plagiarise (ibid). He also
suggests that these students could be helped by ‘demonstrating how poor many of the online papers
are’ (ibid:3).
In the above, the first use of (ibid) means that the second sentence in this excerpt is a paraphrase
of what was said by Harris on page 2 of his book. The (ibid:3) citation shows that while the source
remains the same (i.e.: Harris), the short quote has been taken from a different page, i.e.: page 3.
Note: Usually, ibid would not be used repeatedly within the same paragraph as shown above;
this has only been done here due to space limitations.
It is repeatedly noted that many students have a common tendency to use a limited range of
reporting verbs when introducing external sources in their writing; some of the most popular verbs
used are: say, argue, state, suggest and show. However, the choice of reporting verb should be
carefully considered by the writer.
When a quotation (direct or indirect) is incorporated into an assignment, the reader is also
interested in the writer’s viewpoint. Hence, the choice of reporting verb can also convey a
difference in the meaning of the student’s perspective and can differ in terms of its strength; for
example, ’X suggests’ is much weaker, and more tentative, than ‘X argues’. Consider the following:
Harris (2003) claims that students do not have a natural desire to plagiarise.
Harris (2003) states that students do not have a natural desire to plagiarise.
The use of claims above suggests that the writer disagrees (or does not totally agree) with this
premise and that s/he is about to make a counter-claim. However, states has a more neutral-to-
positive connotation, suggesting that the writer shares the viewpoint.
NEUTRAL: these verbs are commonly describe, show, reveal, study, demonstrate, note,
used to present what the writer point out, indicate, report, observe, assume, take
considers to be factual into consideration, examine, elaborate, state,
believe (unless this is a strong belief), mention…
TENTATIVE: the verbs here are used suggest, speculate, intimate, hypothesise, imply,
to speculate, with a degree of caution propose, recommend, posit the view that, question
the view that, postulate…
STRONG: these verbs are often used argue, claim, emphasise, contend, maintain, assert,
by writers to make strong claims and theorise, support the view that, deny, negate,
arguments refute, reject, challenge, strongly believe that,
counter the view/argument that…

There is some flexibility in choosing which tense to use in order to cite sources. It has been
found that the overwhelming majority of academic citations tend to use one of the three tenses
shown in Table 2. Read the examples and the brief explanation of why the different tenses
have been used in each case:
There is much variation within these patterns; for instance, the reporting verb also itself
influences the tense used. Overall, it could be said that when a writer wants to focus on what
a previous researcher did (investigated, studied, analysed, …), the past tense is used.
However, when s/he refers to what the researcher thought (stated, concluded, claimed, ...)
more tense options are possible, e.g.:
Tip: Use of the present simple tense is common when using reporting verbs, as
demonstrated in most of the examples contained in this Guide.

The following text, adapted from Tarricone and Luca (2002), illustrates most of the citation
techniques referred to in Part Three of this Guide. A Reference List corresponding to this text is also
given, followed by some questions.

Introduction
Businesses today want much more from their employees than just putting in a day’s work. They
expect that employees have a combination of attributes that will benefit the business and contribute
to the success of the business (Johnson et al., 2000). Business success specifically means profit-
generation, and the latter does not just mean employees generating cash flow and contacts for the
business, but also includes the ability of employees to create and maintain positive working
relationships with colleagues, clients and superordinates.
Skills such as problem solving, communication, collaboration, interpersonal skills, social skills and
time management are actively being targeted by prospective employers as essential requirements for
employability, especially in team environments. Employers consistently mention collaboration and
teamwork as being a critical skill, essential in almost all working environments.
A team member who is the programmer must have acceptable technical skills in programming. This
skill can be tested for competence and classified as a ‘visible skill’ (Wysocki et al., 1995). Also,
having acceptable generic and team skills is highly desirable but not always easily testable, i.e.
testing for time management, problem solving or collaboration skills can be challenging. An
element of team skills, known as ‘social interdependence’ (Salovey & Mayer, 1990) is increasingly
being promoted as being necessary for successful teamwork. This paper will discuss the relationship
between successful teams and social interdependence and how these ‘invisible skills’ such as team
skills have a direct impact on team and business success.
Successful teamwork and its influence on business success is not a new phenomenon, but the
relationship between social interdependence theory and teamwork and its effect on business success
is a relatively new concept. Simran (1995) cited in Kets De Vries (1999: 25) explains that research
has identified effective teamwork as one of the fundamental elements of high-performing business,
and while many companies describe themselves as team oriented, in reality, they have a long way to
go before they can claim to have successfully created a team-oriented culture.
Managers must employ highly skilled individuals who can contribute to a team environment and its
success by making use of their intellectual and creative skills (Wageman, 1997; Johnson et al.,
2000). Elmuti (1996) outlines the benefits for organizations of well designed business teams,
whereas Scarnati (2001) identifies a number of factors within businesses that do not support
teamwork and fail to promote team success. When businesses realize the effect unsuccessful teams
have on productivity, the corporate climate and the eventual impact on profits, they are more likely
to take teamwork much more seriously and put into place strategies to promote and nurture team
success.
It is a synergistic process that relies on all team members to contribute and participate in order to
promote and nurture a positive team environment, and to meet the needs of clients. Team members
must be flexible enough to adapt to working in a cooperative working environment where goals are
achieved through collaboration and social interdependence, rather than individualized and/or
competitive goals. The literature consistently highlights that one of the essential elements of a team
is its focus towards a common goal and a clear purpose (Pedro, 1990; Harris & Harris, 1996; Fisher
et al., 1997; Johnson & Johnson, 1999a, 1999b).
Effective interdependence relies on the intrinsic motivation of team members and the impetus this
places on the team to accomplish desired common goals (Johnson & Johnson, 1999b). Scarnati
(2001) explains that teamwork relies upon cooperative processes which enable individuals to extend
their boundaries and achieve more through social interdependence than as individuals. Further,
Harris and Harris (1996:63) explain that:
…teams are successful and effective when they overcome difficulties – achieved through
interdependence. Thus, the major difference between successful teamwork and unsuccessful
teamwork is largely based upon team members sharing common goales (sic) and working
together to achieve them.
Cavalier et al. (1995) have identified the relationship between positive interdependent and a high
level of achievement and success within teams. They contend that behaviors needed for successful
teams include: a dynamic positive exchange of information and resources among team members;
active communication and supportive behavior; flexibility and personal attributes to cope with
changing demands; leadership and clear team roles; and interdependency among members. These
attributes contribute to team cohesion, which enables teams to work together to achieve common
goals and have a high level of motivation, which will help teams endure and persevere through
problems and setbacks.
Conclusion
At a time when both a combination between the ‘invisible’ and ‘visible’ skills are being strongly
promoted by employers and government funding authorities as being increasingly important, it
would be appropriate to say that businesses expect more from employees than just an ordinary day’s
work. The ability to contribute to a team environment and perpetuate the progression and
profitability of the business is an absolute necessity.

It is important to assess the suitability and credibility of all the sources and texts included in
academic assignments. This is particularly true of materials taken from the Internet. Published texts
that appear in a library or database tend to be rigorously checked and are widely considered to be
authoritative sources. The information available on the Internet, however, varies in terms of its
reliability and authority, and therefore it is the responsibility of the student to scrutinise the materials
before inclusion in their work. Furthermore, while the Internet is a convenient tool, over-
dependence on it can be more time-consuming and less fruitful than using the library.
Most teachers will fail to be impressed if all the references in an academic assignment are from
unknown or unpublished works. Additionally, students are expected to consult a variety of sources
in preparation for their essays, reports, proposals, papers...
Final Tips:
Do
…keep an accurate record of the bibliographic details of all sources consulted
…read widely around any given topic
…evaluate the information read and carefully assess the suitability of the source by asking
the following questions:
Don’t
…translate texts written in another language and present this as your own work
…rely heavily on one or two sources, as this will weaken the depth and breadth of the
assignment
…plagiarise – it is unethical, usually detected, and will be penalised

The BME Clerical Team will generate a report of Turnitin date-stamps to identify cases of
submissions made past the deadline. Any assignment submitted over 10 minutes late will be
penalised by subtracting 5% from the final mark for every 24-hour period, or part period of lateness.
Where a penalty has been applied, this will be highlighted in the ‘additional comments’ part of
students’ assessment forms.

2. Sources are placed in the reference list and/or bibliography in alphabetical order using the
authors’ surnames, followed by their initials.
3. A book which has several editors is divided into chapters that have been authored by
different contributors; the names of the latter appear under their respective chapter
headings on the Contents Page. The name of the editor(s) is given on the cover page.
A book with several editions will have updates, revisions and corrections made to the
newest, most recent edition.
4. An e-journal is an ‘electronic journal’ which stores archived articles, in addition to the latest
volumes.
5. False. Reference Lists are not usually organised according to text-types; the sources
consulted should be presented in a continuous list under one heading.
