Business Letter Format

This format is called the ‘Full block Form’ and everything is written from the left-hand side.
And a full blank line is left between each part of the letter

The words in the bold are called ‘seven essential parts of a Business Letter’

(write Sir/Madam if the name of a person is not given in the receiver’s address. And if a name is
given then write Dear Mr. Ahmed OR Dear Ms ( if gender is unknown or not sure if married or
unmarried)/Miss (if unmarried)/Mrs. Ahmed (if married)

For Commonwealth countries:


write, A. D. Khan, A (initial of first name) D (initial of second name). Khan (last name / surname)

For USA and Canada


Write, Ahmed D. Khan, first name, D (initial of second name) Khan (last name / surname)

Subject: (write the reason for writing the letter)


Ist paragraph ( Introduction)

In few lines, write the reasons for writing the letter

Main Body (no limit on the number of paragraphs). It depends on the number of matters asked in
the question). Explain the reasons in detail.

Last paragraph (conclusion) In this paragraph the main body is summarized and the reader of the
letter is motivated or encouraged/ convinced to act on the request made in the letter

Complimentary Close

Yours Sincerely (when a name is used in the salutation) Yours Faithfully (when ‘Sir’ / Madam is
used in the salutation

NOTE:

All types of letters are written in this format.

The headings (seven essential parts) in the bold are not written when you write the letter
(except the heading of ‘subject’)
