Ensuring order/Job requirements


While receiving an inquiry, sales assistant enters it into the Inquiry
Register ( F-19 ) by opening the concerned file with a status sheet
(F-100) or in the computer directly to maintain the progress status
and ensures (before acceptance) the following:

 Requirements are clearly/adequately defined including the


requirements for delivery and post-delivery activities.

 Requirements not specified by the client but necessary for


specified or unintended use e.g. land condition, resources
available, etc.

 Statutory and regulatory requirements related to the


product/services.

 Any additional requirements.

Requirements confirmation incase of verbal Enquiry


Incase of verbal enquiry, the client requirements are confirmed through any of the following means and
action taken according:

Check the ability to meet the order requirements and resolve the difference:

Director/G.M. Corrosion Prevention Services or his assignee with concern function checks (before submission
of the BID) and ensures that; where applicable

 Product/services requirements are clearly and adequately defined including specification activities to be
performed against the NPSL abilities and/or material services catalogs.
 Scope of work are clearly defined including pre-design servey services operation designing, supply,
feasibility, Erection/installation, commissioning, maintenance, inspection and testing, etc.
 Availability of drawings, List of equipment or BOQ, BOM etc. and responsibility of their development.
 Designing responsibility and the capability to design.
 Responsibility of devices/equipment /material provision.
 Availability of resources and responsibility of resources provision including accommodation of labor
onsite.
 Availability of infrastructure and work environment including tools, equipment, machines, testing
facilities etc. and responsibility of their provision.
 Inspections and testing stages and responsibility.
 Worker qualification or experience certificates.
 Capable to meet statutory and regulating requirements.
 Approval stages.
 Time taken to complete the job and the availability of tools and personnel on the basis of running load.
 Contract requirements differing form those previously expressed are resolved

If the requirements need further clarification then the company contacts with the client through phone, fax, e-
mail, or send NPSL representative(s) for data collection. If the discrepancy is not cleared then take deviation
and inform the client.

Amendment

Any type of changes related to product/service requirements initiated


by the customer after order confirmation is also reviewed in the same
way. Changes needed by the NPSL are communicated to the
customer. In both of the cases changes and its acceptance is attached
with concerned file /quotation and communicated same as initial job /
order communication.

Inquiry Status logging

After contract finalization/amendment, Director/G. M. Corrosion


Prevention Services assignee marks the progress status on Inquiry
b-1 Register (F – 19) or on Sheet (F-100) or on the computerized file.

Order Planning

On the basis of given target date, Director / G. M. Corrosion


Prevention Services / Corrosion Technologist plans with the clients
given time all the activities to complete the job, coordinate ith the
client by phone or email or sends individual activity into Mobilization
and Job performance ( F-62 ) on following basis:
 Human Resource needed and their availability
 Nature and location of the job
 Time period of job
 Equipment needed and their availability
 Material (consumable or non-consumable) availability
 Vehicles needed etc.
 If client needs to be submitted the overall plan, G. M. Corrosion
Prevention services or Corrosion Techologist prepares and
submits schedule Form ( F-61 ).

Design and Development Planning

When the designing is a contractual requirement and NPSL is responsible for that then the
G. M. Corrosion Prevention Services plan and determine
 the design and development stages.
 the review, verification and validation that are appropriate to each design and
development stage, and
 the responsibilities and authorities for design and development.
 the participants for review and verification including client representative (if
F-1 required).

G. M. Corrosion Prevention Services identify and manage the interfaces between


different groups involved (if any) in design and development to ensure effective
communication and clear assignment of responsibility.

Collection of information and Field data i.e. mobilization of field CP Survey


team for various CP surveys. E-Log I test, Current drain Test, Soil resistivity,
Soil sample, marking of CP equipment, GB, Power source availability. True
dimension of drawing, confirmation of available data.

Analysis, Design Calculations, drawings, BOQ or BOM preparation. Material


specification confirmation & availability time period economically feasibility
consulting from client review and verification of Design.

Design report Dosier submission and getting its approval from client, after
completion design and development review on computer file.

Installation of CP System and commissioning operation & monitoring if required,


finally validation completion signing of F-32 or signing commissioning report or
job tickets from the clients.

Listing Of Material /Item Required

G. M. Corrosion Prevention Services prepare the “List of Item /Material”


required on the basis of drawing.

Design and Development Inputs

G. M. Corrosion Prevention Services or his assignee collects inputs needed (if


required then follow the flow from C-2) related to the product/service requirement
including

 functional and performance requirements
 applicable statutory and regulatory requirements
 where applicable, information derived from previous similar designs, and
 Other requirements essential for design and development.

These input are drive from Client Inquiry / Order / Tender / Initial Information
format (F-39) / Client Information form (F-24) / on site visit of NPSL representative
as per flow C-2 / Design Input & Processes Chart ( CH-01) (where, appropriate) /
any other source etc.

G. M. Corrosion Prevention Services reviews the inputs taken before further action.

Design and Development Calculation


and Outputs

On the basis of design and development input G. M. Corrosion Prevention


Services performs the design calculation and gets the design outputs which
 meets the input requirements for design and development.
 provides appropriate information for purchasing and for service provision
including resources needed.

 contains or references product acceptance criteria, and
 specifies the characteristics of the product that are essential for its safe
and proper use.

Design Review and Verification Incase of


design
At suitable stages, identified at the time of systematic planning, project
review and verification of design and development are performed as only
per criteria set in design planning and out put by the person or
function concern. F-1

 to evaluate the ability of the results of design and development to


meet requirements . ( G. M. Corrosion Prevention Services and
Corrosion Technologist jointly or individually, as may be
appropriate, would verify the design by checking calculations and
other parameters. Where appropriate checking may involve
inputting / outputting known data and Comparing the results.

Design and Development Changes

If the changes needed or problem identified during design and


development phase then the reviewing or verifying authorities changes
and proposes the necessary action. If the changes needed after the
F-1 design and development phase, then the identifier initiates the design
and development changes request and submit to the G. M. Corrosion
Prevention Services /Client, who review the request and
approve/disapprove it.

If the changes approved, then the design and development system


adopted same as initial otherwise continue the same.

Preparation of Drawing

On the basis of job requirement or design and development,


C-1 G. M. Corrosion Prevention Services/corrosion Technologist
draws the drawing and assigns number as per Numbering
Scheme.

Review and Approval of Drawing

G. M. Corrosion Prevention Services / supplier review


approves all drawings or submits to client for approval. E-1
If the drawing received from client, then the G. M. Corrosion
Prevention Services or Corrosion Technologist review it.

Team Formation

Mobilization of Resources

On the basis of job nature team collects required equipment, tools and other accessories from
store/site.

Onsite Working

Team follows the Manager instructions or Mobilization and Job performance (F-62) or prepares
working strategy along with the client and start working as per Standard Operating Procedures (SOPs)
and NACE specification and prepares the respective activity daily status report ( F-63 ) or client
approved format and send it to the concerned authorities directly or by emails.

Monitoring and measurement of processes and services

Head of the team leader continuously measure and monitor the processes and services. He
prepares work schedule to

 Break the whole project into activities / processes.


 Plan the duration of each individual activity / process.

During operations monitoring and measured results of different activities / processes are
maintained on daily progress report ( F-63 ) and / or concerned report, or any other project
base doc.

Services are also measure and monitored at different stage from Inquiry receiving to
Invoicing. ( Refer FCH-07 and FCH-08 )

Handing Over of Completed Job

After completing the Job, team leader prepares Completion and commission report on Format
(F-25) or on any documents approved and signed by the clients, further a Feedback Report on
Format (F-17) or on the commissioning report or on the job tickets and must get it signed
from the client representative.

Report Preparation and Submission

E-1 G. M. Corrosion Prevention Services prepares a complete dossier containing


all Survey, detail design, BOQ, detail installation and commissioning report
with all relevant data and drawings (if applicable) and submit to the client.

Invoicing

Commercial /Accounts department prepares invoice and submits to the client.

Any product which is identified as non-conforming at any stage is tagged as HOLD and the
identifier document the non-conformity on NCR (F-13) and submitted to Managing Director /
Director / G. M. Corrosion Prevention Services for disposition. After evaluation of
Nonconformity, Managing Director / Director / G. M. Corrosion Prevention Services marks
the disposition or action needed on the same form and return to the initiator.
