VENDOR PORTAL

OVERVIEW
WHAT IS VENDOR PORTAL?
Pro-Watch® Vendor Portal is an Internet based application that allows airport authorized
signers to view employee badge data and track progression of badge holders as they go
through the badge adjudication process.

WHAT PROBLEMS DOES THE VENDOR PORTAL SOLVE?


Vendor Portal
Reduces the constant e-mail and phone calls regarding the status of new applicants and
existing badge holders
Offers a quick view of company information
Allows authorized signers to view all employees working at the airport.

WHAT ARE VENDOR PORTAL’S BENEFITS?


Vendor Portal
Enables airport vendors such as airlines, concessionaires, contractors, and retail stores to
actively manage their employees’ airport badges
Provides a real-time view of the badge clearance process for all authorized signers
It decreases the number of unaccounted-for badges
Increases staff productivity for staff and signers
Increases financial savings for companies by preventing viable applicants from going over
30-day clearance deadline and preventing expired badges
Enhances the communication between signers and the badging staff through more timely
exchanges, fewer emails, etc.

WHAT ARE VENDOR PORTAL’S SYSTEM


PREREQUISITES?
Vendor Portal is available through a secure web application using any standard web
browser including Chrome, Internet Explorer, and Firefox.
All badged companies must have computers with Internet access.

VENDOR PORTAL USERS


Vendor Portal has two types of users:
Authorized Signer.
Security User.

AUTHORIZED SIGNER
Authorized signers are those individuals who are authorized to
create, edit and manage vendor employee airport badge data, and
sign-off on all airport badge data.
Authorized signers must be active and Vendor Portal Access must be enabled in the Pro-
Watch AP badging module in the Contacts tab of the Company module:

To register as an Authorized Signer:

Go to the Vendor Portal site:

Click Register to display the Authorized Signer Registration form:

Fill in the First Name, Last Name, Email (from Pro-Watch AP Company Contacts tab),
Password, and Confirm Password fields.
Click the Register button and the system will send a Verification Code to your email
address.
Enter the Verification Code, click OK and complete the registration.

SECURITY USER
Security users also register by using a form and process very similar to the ones used by
Authorized Users.

Security Users are Pro-Watch users who must have turned on the Security User Access
function in the Programs tab > Administration > Vendor Portal subdirectory of their user
account:

LOGGING IN AS AUTHORIZED SIGNER


To log in to Vendor Portal as an Authorized Signer enter your unique (Authorized Signer)
Email address with which you’ve registered, your (Authorized Signer) Password, and then
click the LOGIN button:

When you log in, you’ll be greeted by the Home Page:

NAVIGATION
At any page, to go back to the Home Page click the three-bars icon on the upper-left:

To make any page the default page, click the pin icon on the upper-right. To unpin it, click
the pin icon once again:

To select the proper Vendor Company, click the company icon on the upper-right:

MESSAGES
The Home Page will display the Messages (if any) entered by the Security User. The red
circle on the Bell icon will display the number of messages waiting for your attention. After
reading your messages, you can click the X-mark on the upper-right corner to close them:

Security User’s Home Page will be identical to that of the Authorized User but it will
have one extra button at the bottom: Messages.

BADGE HOLDERS
Click the Badge Holders button at the left-bottom of the Home Page to display the
default (vertical) list of badge holders for your vendor:

The total number of badge holders is displayed at the title bar of the list.

4 TYPES OF BADGE INFORMATION


Every badge will display four types of information:
The photo of the badge holder.
The Last Name and First Name of the badge holder.
The type of badge held by the individual.
The expiration date of the badge.

SEARCH AND FILTERING FUNCTIONS
You can search by name, card number, and badge type by clicking on the magnifying
glass icon:

You can filter the badge holders in terms of the expiration date of the badges by clicking
the filtering icon:

3 TYPES OF LIST VIEWS
Vendor Portal also offers you three different ways to view the badge holders list. Click the

view options icon on the upper right corner of the screen.


The viewing options are:

IN PROGRESS
Click the In Progress button at the bottom-left of the Home Page to display the In Progress
screen where you can view the progress status of those badge applicants whose applic-
ation processes are still under way:

On the left, the badge applicants are listed by photo, name, last name, and the date on
which the badge application was submitted.
Hover your cursor over any of the dots to view a COMMENT (if any) relating to that
status cell. For example:

APPLICATION STATUSES
On the right, five application statuses are listed for each applicant:
Submitted. The application is submitted (GREEN dot) on the date listed under the applic-
ant’s name and last name (on the left).
Processing. The badge application is not processed (RED dot), it is processed (GREEN
dot), or the process did not start yet (EMPTY GRAY dot).

Clearance. Clearance is denied (RED dot), granted (GREEN dot), or the process did not
start yet (EMPTY GRAY dot).
Training. Training is denied (RED dot), started (GREEN dot), or the process did not start yet
(EMPTY GRAY dot).
Issued. The card is not issued (RED dot), issued (GREEN dot), or the process did not start
yet (EMPTY GRAY dot).

REFINING APPLICATION SEARCH


To search badge applicants by name, badge type, or status, enter a search criterion into the
Refine Application field and press the Enter key to perform the search:

COMPANY INFO
Click the Company Info button at the bottom-left of the Home Page to display the Com-
pany Info screen where you can view the company information of the vendor:

This screen displays all the badge types authorized for the specific vendor whose company
name is provided on top.
Click Address to view the address of the vendor.
Click Signers to see the detailed information of authorized signers:

ACCOUNT SETTINGS
To view and edit your account settings, click your name on the upper-right of the title bar
to display the account setting options:

PROFILE DETAILS
Click the Profile Details link to display the Profile Info screen:

Here you can view the following default settings:
Default Company (e.g., “Delta Airlines”)
Pin to Dashboard (e.g., “Vendor Signatory Portal view”)
Default Badge View (e.g., “List View”)

CHANGE PASSWORD
Click the Change Password link to display the Change Password screen:

In the Reset Your Password dialog box, enter your New Password and enter it again in
the Confirm Password field. Then click Reset & Login button.

LOGOUT
Click the Logout link to log out of the application.

LOGGING IN AS A SECURITY USER


To log in to Vendor Portal as an Authorized Signer enter your unique (Security User)
Email address with which you’ve registered, your (Security User) Password, and then
click the LOGIN button:

If you experience a problem, click the Need Help? link and follow the prompts.
The system will display the Security User Dashboard:

This is identical to the dashboard we covered above in the “Authorized Signer” section
except there is one new additional function button at the bottom of the Home screen:
Messages:

MESSAGES
Click Messages function button at the bottom of the Home screen to display the Message
screen:

The messages created in this module will greet the users on the Home page every time the
users login.
To Create, Edit, Save, Toggle or Delete Messages
Click the PLUS “+” sign to add a new message and display the message editing screen:

Enter Title, Message body, and select Start and End Dates from the pop-up calendars.
To save the message, click the Floppy Disk icon on the upper-right of the screen.
To edit a message, click and select it from the list of messages on the left pane and edit
the fields accordingly.
To delete a message, select it and then click the Trash Can icon on the upper-right.
